Your Future Duties and Responsibilities:

Operate various equipment for high-speed scanning, mail out, and metering of mail. Prepare and mail envelopes with correct passport and corresponding supporting documents. Box and archive files for storage purposes. Interface with passport applicants at Agency/Center Information and Will-Call counters: At the Information Station, ensure appointment is scheduled; review passport application, photograph, identification and supporting documentation for completeness prior to adjudication; ensure the application and documents comply with Passport requirements, photograph meets Passport standards, and customer is provided fee information. Prior to distributing to applicants, print and review passport books for accuracy and quality. Process refund/reimbursement requests. Generate a credit card payment from the applicant and distribute completed batches to the Cashier's Office. Verify all completed transactions and run designated reports. Assist with Acceptance Agent training: prepare training materials, conduct \"meet-and greets,\" set-up training sessions, conduct office tours, etc. Assist CSM in maintaining and cataloging electronic records of passport acceptance facilities. Required Qualifications to Be Successful in This Role:

Bachelor's Degree. Four years of general office experience: follow a number of specific procedures in completing several clerical steps performed in a prescribed or slightly varied sequence, such as coding and filing documents in an extensive alphabetical file; simple posting to individual accounts; opening mail; running mail through metering machines; and calculating and posting charges to departmental accounts. Three years of experience utilizing a variety of office software, specifically Microsoft Office. Capable of performing tasks while maintaining a high level of accuracy. Ability to work in one place and traverse the office on a continuing basis. Must maintain constant awareness of all aspects of internal and external security. Ability to successfully complete the CGI Background Investigation to include: 50 State Criminal, Education and Employment checks; additionally, your ability to successfully complete a Credit and/or Driving Records check may be conducted if required by the contract for continued employment. Due to the nature of the government contract requirements and/or clearance requirements, US citizenship and an ability to obtain an MRPT clearance is required.  JOB OVERVIEW:

The Administrative Assistant is responsible for providing administrative support to the company to ensure the efficient functioning of the office. Primary responsibility is to sort, process and distribute all incoming mail which includes preparing mail for bulk scanning into an electronic business application. Additional duties include back up receptionist for all incoming calls and ensuring that calls are correctly forwarded. This position provides basic training for someone new to the industry and offers opportunities for promotion.

  • Identification, processing and distribute all incoming electronic mail.
  • Reception backup – Answering telephones, routing calls to appropriate parties and greeting visitors.
  • Support Commercial Insurance, Personal Insurance and Benefits teams.
  • Assists with other related clerical duties such as photocopying, faxing, filing, collating and scanning documents.
  • Processing outgoing mail including USPS and FedEx.
  • Order office supplies and maintain inventory and organization of supply room and kitchen.
  • Contributes to a team effort by assisting in other related areas as needed.
  • Complies with all internal procedures and practices while demonstrating the ability to meet service performance and quality standards.

Skills & Qualifications:

  • High school diploma.
  • Minimum of 1-year administrative support experience required.
  • Excellent phone, written and interpersonal skills.
  • Must have experience working in multiple computer systems in addition to proficiency in Microsoft Office.
  • Experience with Sales Force is a +\
  • Ability to learn new technology and systems.
  • Experience with use of office machines such as multi-line phone systems, fax/copier/scanner and mail machine are a plus.

COMPENSATION: 

The national average hour rate for this role is $27.75 - $28.20 in base pay and exclusive of any bonuses or benefits. The base pay offered will be determined based on your experience, skills, training, certifications and education, while also considering internal equity and market data.

Job Summary

Note: This is an On-Call position that is not eligible for benefits.

Being an on-call employee means that your work schedule is not guaranteed, hours worked could range from 0 - 40 hours a week, depending on office needs. All hours worked are subject to Department of Retirement Services and Affordable Care Act reporting requirements. Hours of Work
Hours vary during core business hours typically 8 a.m. to 5 p.m., Monday through Friday. Some evening assignments may be available to provide secretarial support for community meetings. On-Call assignments may be of a limited duration and may not be a consistent source of income. Current work assignments include departmental office coverage, mailroom services back-up, and various other administrative type assignments.

Working Conditions
The work settings are primarily in a municipal office environment where an individual may be required to sit for long periods of time.
