As a Facilities Sanitation Team Member, you will help to keep the entire operation running smoothly. What will I do?

ABOUT THE OPPORUNITY/WORK
This is a management position, responsible for performing a wide variety of office work and clerical details relative to the operation of the front office of each agency site. The Supervisor of Clerical Operations has responsibility for the clerical operations in the office, including guiding and/or training of clerical staff in Day One and Specialized Services for Youth programs. Incumbents may be requested to perform related tasks other than those specifically presented. In addition to the duties prescribed to all office coordinators, the Supervisor of Clerical Operations is responsible for providing leadership and assistance to the clerical team in areas of problem solving, data management and billing issues. The position reports to the Associate Director of Day One.
Administrative Functions
- Plans and organizes work on a daily, weekly and monthly basis so that customer accounting functions, processing of clients’ appointments, receptionist duties, office equipment management, client records management (open and closed cases) and processing reports are recognized as priorities. The Supervisor of Clerical Operations assumes responsibility for clerical personnel meeting deadlines for all processes.
- Responsible for establishing a Performance and Quality Improvement (PQI) Plan and environment in the front office of each site in accordance with the Agency's PQI plan.
- Ensures that policies and established procedures are followed in order to provide continuity and consistency in all offices.
- Assists in managing and maintaining all business equipment which includes but is not limited to copiers, postage machines, computers and printers in each office. Communicates with the Director of Facilities and Director of IT, as needed relative to building and equipment concerns.
- Completes monthly site audits of clerical team processes and functions as determined in partnership with the Associate Director of Treatment Services.
- Responsible for monitoring materials and preparing purchase orders for required supplies at each office to include forms, files, and other necessary office supplies.
- Makes bank deposits as scheduled, including the follow-up involved with any returned checks.
- Attends meetings within Treatment Services (Day One or Specialized Services for Youth) as appropriate.
- Provides hands on accomplishment of office tasks.
- Ensures coverage at all locations is adequate and appropriate, and provides coverage at all sites, as needed.
Personnel Administration
- Supervises all clerical staff, including office coordinators, office assistants and the intake and insurance verification specialist, include training, monitoring and evaluating performance(s) and participates with the Associate Director of Day One in the recruitment and hiring of support staff.
- Communicates with the Associate Director of Day One about any personnel situations or risk issues that require intervention and resolution.
- Reviews, authorizes and coordinates requests for leave so that clerical team coverage meets the minimum requirements of the Agency. Seeks approval for all extraordinary leave requests.
- Responsible for cross-training as an Intake and Insurance Verification Specialist to assist in the provision of coverage during vacations and other leaves of absence.
- Provides leadership to the clerical team in the areas of problem solving, system and billing issues.
- Provides supervision to clerical staff using the Agency’s model of supervision, Situational Leadership. Conducts regular supervisor meetings with direct reports, maintains appropriate documentation of same.
- Completes annual performance appraisals of direct reports, including development of annual goals and professional development plan.
Oversight of Systems, Billing, Insurance and Client Accounts
- Supports effective client account management by verifying insurances monthly or annually depending on the insurance, verifying insurance changes, monitoring balances, collection phone calls, and accuracy related to co-pays and deductibles, for both the Day One and Specialized Services for Youth programs.
- Provides back up coverage to the Intake and Insurance Verification Specialist by answering over-flow services inquiries, obtaining client information, verifying client insurance and scheduling intakes.
- Supports efficient and accurate paneling of clinical staff in coordination with Quality Assurance and Clinical Supervisors, as well as maintaining accessible information regarding clinician’s status.
- Monitors the accuracy of information within CareLogic and ODIN to ensure billing processes can proceed without rejections.
- Generates and reviews reporting from CareLogic and ODIN (i.e. write-offs, client balances, failed activities, accounts receivable aging) and then provides feedback to appropriate supervisors regarding recommended procedure changes and training needs.
- Communicates problem areas or client problems with the Associate Director of Day One.
- Collaborates with external billing agency to manage and problem-solve insurance rejections.
- Mails client statements on a monthly basis.
- Responds to client phone calls, assists with troubleshooting issues, and helps to reconcile balances.
- Prepares client statements for collections monthly. Enters collection accounts on collections website and maintains contact with collection agency representatives.
- Follows-up on receivable issues as directed.

- Acts as liaison between Office Coordinator team and Associate Director of Treatment Services on areas of system issues, billing issues and process issues as deemed appropriate.

- Associate degree in secretarial science or business management or advance course work in the fundamentals of office management.

About the Role
As the Operations Analyst, you are a data-driven problem solver and operational thought partner. You have deep experience in transforming complex, messy data into actionable insights, a strong understanding of operational processes, KPIs, and performance measurement, and a proven track record of building analytical tools, dashboards, and reporting that enable operations leaders to execute more effectively. This role is critical to improving decision-making, streamlining operations, and strengthening Curio’s ability to scale through insight-driven execution.
**This role is for candidates who reside within 60 miles of our 9th Street SE office in Minneapolis, MN**
You will be handed messy data regarding complex problems with general guidance about what insights would be helpful, but little prescriptive direction on next steps or how to solve the underlying issue. What You’ll Do
- Work deeply within data and systems, becoming intimately familiar with how our business systems (ERP, Data warehouse, etc.) function
- Leverage data from the multiple sources and systems to create insights and analytics leveraging tools like Excel, SQL and PowerBI that equip functional teams with insights and tools to measure and improve their processes
- Create systems and reports that enable efficient internal data communications
- Execute scrappy analyses on short timelines to answer questions quickly, while also identifying and developing more scalable solutions that will make CURiO successful in the long term
- Collaborate across functions and learn CURiO’s business top-to-bottom. You will engage with Supply Chain, Manufacturing, Customer Experience, Finance, Engineering, Brand Marketing, Sales, and more.

What You Bring
Qualifications:
- 1-3 years of experience working in an omnichannel retail and/or manufacturing within supply chain, internal operations, or business analyst role.
- Experience supporting forecasting, inventory, demand, sales, or other business planning analysis
- Excellent communication and relationship-building skills.
- Advanced proficiency in Microsoft Excel.
- Experience with information systems, data, BI/Data Visualization, reporting and analytics
- Exposure to ERP systems and BI tools preferred, with the ability and willingness to learn new platforms quickly.

About the Role:
The Front Desk does everything from scheduling personnel, checking-in clients, tidying the studio and ordering supplies to being the sales leader of the studio to grow sales and profits. The Front Desk must enjoy interacting with clients, stay cool under pressure, enjoy sales and must love what they do. Overall, the Front Desk must have a strong sense of ownership, loyalty and involvement to make the studio profitable each month per company goals. In this role as the Senior Lead Front Desk Host, there needs to be an elevated sense of ownership in regards to the brand’s success, the growth of the team in your studio as well as supporting the growth of the other Leads in other locations, and overall the growth and success of your location and the other locations combined. This role is utilitarian in the sense of jumping into support of the studios where needed as things unfold.
Duties & Responsibilities:
- Help Director of Sales / Operations with additional tasks including but not limited to:
- Schedule support / creation for FD Hosts and Lead FD Hosts
- This person will also be responsible for helping cover shifts if and when there is no additional coverage amongst the other team members
- This person may flex into helping support in other locations for training, hiring, and community engagement support
- Follow up with clients around membership - acquiring new members to our studios and helping support membership for our current members
- Making calls to members to utilize their packages
- Call members on their milestone dates to build community support
- Converting members who visit on intro visits or drop in sessions not memberships or packages
- Assist with freezing and cancellation of memberships
- This role will also jump into helping resolve membership needs in other locations for others leads as needed
- Support with supply orders within the studio and managing our inventory
- Support with scheduling personal, semi personal, and small group sessions for members and future members
- Assist / aid in Mariana Tek + all other tech programs we use in studio to support optimal success for the internal teams and members
- Show up to events or experiences we host / help put on events or experiences for our members and future members
- This person will be on the ground for their own studio events while also taking on supporting in scheduling other studio events with the other leads and Dir. of S&O
- They may on the rare occasion need to be at the events of other locations with as much notice in advance as possible
- Loves to be the face of the brand! This person understands what it means to be “on brand”, loves taking care of our community, and keeps the studios best interest at heart
- Interact with clients and deliver a high level of customer service at all times in a professional, courteous, sensitive and friendly manner.
- Maintain positive energy and high-end feel to the studio, by remembering clients and their names, answering phones and emails appropriately, welcoming guests, answering questions, resolving conflicts, helping the teachers, etc.
- Make sure you and the entire staff are working as a team to keep common areas neat and clean for both appearances and safety. Manage and coordinate periodic cleaning staff
- Help teachers set up appropriate props and apparatus for each class. Help the teacher put away items and reset for the following class
- This person will work closely with the Lead Instructor of their region to ensure they are set up when it comes to their needs in the studios
- Motivate staff by acknowledging strong performance. Give constructive feedback in a timely manner to elevate individual output and eliminate conflict
- Report performance deficiencies to management, as appropriate
- Actively sell and promote studio products and classes and monitor theft
- They will be involved in the help of facilitating additional training with the Dir. of S&O in regards to sales, sales support, membership offerings, etc.
- Stay knowledgeable about all of our products and classes
- Although we absolutely do not require experience or a background in pilates, we do want to bring people onto our team who have a strong interest in taking the classes and loving our product we have to offer!
- Stay knowledgeable about competitive products, classes and programs
- Maintain accurate, thorough and timely data/information in all appropriate systems for reporting and statistical purposes and provide quantitative and qualitative analysis and feedback as requested
- Help organize weekly meetings and special events
- As-needed, help in leading/supporting staff meetings
- Any other tasks required to operate the studio and help meet company goals

Speir Pilates is a privately held boutique Pilates studio in West Hollywood and Venice, with plans for additional expansion. We offer group Pilates classes developed by celebrity instructor, Andrea Speir. Each class fuses pilates with intense circuit training, great music and positive vibes. - Hospitality, retail or customer service role - health and wellness is strongly preferred however not required
