Project Operations Manager

THE ROLE
We're looking for an organized Project Operations Manager with 6+ years of experience managing competing tasks and workflows, and working with people in different roles. In addition to a strong background, the ideal candidate possesses a positive attitude, thrives in a fast-paced environment and wants to be an integral part of keeping a growing creative team of designers and production partners organized and on track. They will report directly to the Director, Operations and partner with creative, account, production, and strategy personnel.
KEY RESPONSIBILITIES
Project Intake & Operational Workflow
- Organize and manage the project intake process for all incoming event initiatives.
- Oversee the project pipeline, ensuring clear visibility into upcoming work, timelines, and resource needs.
- Lead initial project intake and coordination with clients, ensuring all project requirements are clearly captured and documented.
- Establish and maintain project setup standards within project management platforms ( preferred), including timelines, task structures, and team assignments.
- Other tasks as assigned which could include deliverables for active projects if/when this project is awaiting client feedback and approvals.
Process Development & Optimization
- Develop, document, and continuously refine operational processes that support efficient project delivery across the organization.
- Create scalable workflow frameworks, documentation, and best practices to support a growing internal team and client base.
- Identify inefficiencies and proactively implement process improvements that streamline project execution and communication.
- Own and enforce standard operating procedures (SOPs) for project delivery, communication, and documentation.
Project Management Oversight
- Work alongside project managers and ensure consistent project management standards and execution across all initiatives.
- Provide guidance on project scoping, timelines, and budget considerations.
- Support resource planning and allocation across the creative and project teams.
- Ensure projects stay on schedule, within scope, and aligned with client expectations.
Cross-Team Coordination & Communication
- Build systems and frameworks that support collaboration across internal teams including creative and account management.
- Create and manage structured communication channels and shared documentation repositories.
- Develop and facilitate internal processes that improve clarity, accountability, and alignment across large teams.
Meeting Leadership & Documentation
- Develop structured meeting agendas and run project meetings with internal teams and clients.
- Capture and distribute clear documentation, action items, and next steps.
- Ensure teams remain aligned and accountable through effective meeting facilitation.
Knowledge Management & Documentation
- Build and maintain a highly organized, shareable repository of project documentation and resources.
- Develop training materials, guidelines, and onboarding resources to support new processes and ways of working.
- Lead internal process training and knowledge-sharing sessions to drive adoption across teams.
EXPERIENCE / REQUIREMENTS
- 6+ years of experience in an operations/project manager role. Agency experience or strong client services background preferred
- Live events/experiential activations experience strongly preferred
- Top-notch project and time management skills — excellent organization, communication, flexibility and a very strong attention to detail
- The ability to anticipate and effectively communicate and solve practical problems or issues
- Professional demeanor; ability to work well with people at all levels and ability to navigate relationships with internal and external creatives and partners
- Awareness of pre-production, production, and post-production processes for various types of creative projects
- Experience in experiential marketing
- Exceptional communication, writing and time-management skills
- Candidates should be motivated, enthusiastic, resourceful, trend-aware, hard working and have the ability to switch gears on the fly

Qualifications:
• 2–4 years of experience in project management, operations, or campaign execution within media, advertising, or
marketing
• Proven ability to manage complex, multi-workstream projects with multiple stakeholders and tight timelines
• Detail-oriented with a commitment to maintaining high standards for project quality, including accuracy, consistency,
relevance, and accessibility
• Clear and confident communicator, able to align cross-functional teams and manage expectations
• Demonstrated ability to anticipate roadblocks, solve problems, and adapt plans as priorities evolve
• Comfortable managing timelines, budgets, scope, and documentation simultaneously
• Ability to balance tactical execution with an understanding of broader campaign and business objectives

Role Overview
The Inside Sales Representative (ISR) plays a critical support role within the sales organization, working alongside Account Executives to manage client relationships, coordinate deals, and ensure seamless customer experience from quote to delivery.

What You’ll Do
- Support Account Managers in managing and growing existing client relationships and prospects
- Serve as a key point of contact for customer needs, ensuring clear communication and follow-through
- Manage the full quoting and order process, including deal registration, order placement, and status updates
- Coordinate with internal teams (Purchasing, Finance, Project Management, Engineering) to ensure accurate and timely execution
- Build and maintain strong relationships with vendors, manufacturers, and distributors
- Assist with new client onboarding and support customer account setup and issue resolution
- Participate in customer meetings, project kickoffs, and strategic planning sessions as needed
- Engage in weekly sales meetings, pipeline discussions, and marketing initiatives
- Support vendor certifications and maintain knowledge of partner programs
- Collaborate across teams to support active client projects and ongoing account growth
- Manage pricing, discounts, and customer expectations to ensure satisfaction and margin alignment
- Make day-to-day decisions that support client success and business objectives
Key Qualifications
- 2–3 years of experience in a VAR, IT solutions provider, or related environment
- Proven success in customer service, sales support, or account coordination
- Strong interest in sales with a desire to grow and earn commission
- Excellent communication and interpersonal skills
- Highly organized with strong attention to detail and follow-up
- Ability to manage multiple priorities in a fast-paced environment
- Team-oriented mindset with a proactive and solutions-driven approach
- Bachelor’s degree or relevant experience preferred

Behavioral Health Quality Improvement Manager
Schedule: Full-Time
Shift: Days (8:00 AM – 4:30 PM)
Overview
The Behavioral Health Quality Improvement Manager supports the development, implementation, and oversight of quality improvement initiatives across inpatient and outpatient behavioral health services. This role focuses on regulatory compliance, incident investigation, performance improvement, and data-driven quality initiatives to enhance patient outcomes and maintain accreditation standards.
Key Responsibilities
- Support the design, implementation, and oversight of quality improvement programs across behavioral health services.
- Conduct thorough Root Cause Analyses (RCAs) for reportable incidents in collaboration with the Risk Management team, ensuring appropriate documentation and follow-up actions.
- Partner with program leadership to develop, implement, and track corrective action plans through completion.
- Maintain compliance with applicable regulatory and accreditation standards including state, federal, and accrediting body requirements.
- Align behavioral health quality initiatives with broader organizational strategic and performance goals.
- Oversee quality data collection and reporting processes while collaborating with Information Technology to ensure accuracy and timeliness of metrics.
- Implement and manage routine audits including:
- Medical record documentation reviews
- Environment of care inspections
- Compliance-focused evaluations in inpatient and emergency behavioral health settings
- Monitor inpatient psychiatric core measures, develop performance improvement plans, and provide education to staff to support clinical outcomes and regulatory compliance.
- Lead sustainable quality improvement initiatives by engaging leadership, frontline staff, and patients/families to identify priority areas and drive measurable improvements.
- Serve as project lead for statewide behavioral health collaborative initiatives, including suicide prevention and behavioral health data transparency programs.
- Conduct proactive risk assessments to identify operational vulnerabilities and implement mitigation strategies.
- Coordinate and complete treatment-over-objection processes for inpatient behavioral health units in accordance with regulatory guidelines.
- Contribute to departmental performance improvement initiatives and special projects as assigned.
Required Qualifications
- Master’s degree in Social Work, Psychology, Mental Health Counseling, Nursing, or a related field.
- Applicable professional license if required by discipline.
- Minimum of 3 years of experience in behavioral health quality or regulatory roles including:
- Medical record review
- Incident management and regulatory reporting
- Quality data analysis
- Performance improvement initiatives
- Survey readiness activities
- Experience working in licensed inpatient and/or outpatient behavioral health settings.
Preferred Experience
- Experience with behavioral health regulatory reporting and incident management.
- Knowledge of state oversight agencies and behavioral health reporting standards.
- Experience monitoring and improving behavioral health quality metrics and core measures.
- Strong data analysis and quality improvement project leadership experience.
- Experience across both inpatient and outpatient behavioral health environments.
