Position Overview
We’re seeking a Supply Chain Manager to help drive our international supply chain operations as we scale. Reporting to the Director of Logistics, you’ll manage the daily complexities of international vendor relationships, container logistics, and buying operations while bringing strategic thinking to optimize costs and improve performance across our supply chain.
You’ll be our supply chain problem-solver—the person who manages vendor relationships across Turkey, Pakistan, India, and China, coordinates container flow into our warehouse, oversees buying and lead time planning, and holds vendors accountable to their commitments. You’ll lead a team of three (a Supply Chain Analyst, Buyer, and Supply Chain Associate) and work cross-functionally with warehouse operations, finance, and leadership to keep our supply chain running smoothly as we grow.

Key Responsibilities
International Vendor Management & Container Logistics
- Manage vendor relationships across Turkey, Pakistan, India, and China—these are your vendors to own
- Hold vendors accountable for quality standards, delivery timelines, pricing agreements, and purchase order compliance—this is non-negotiable
- Manage container flows from overseas vendors through customs clearance to warehouse receiving
- Understand daily warehouse capacity to process containers and optimize inbound flow to manage costs
- Navigate customs documentation, compliance requirements, and freight forwarding coordination
- Negotiate pricing, payment terms, and production schedules with international suppliers
- Keep vendors moving when they’re delayed or behind on shipping finished products
Buying, Purchasing & Lead Time Management
- Manage the full buying cycle: purchase orders, buying timelines, reorder points, and lead time planning
- Oversee all buying and purchasing activities, aligning orders with inventory targets, budget constraints, and demand forecasts
- Analyze landed cost calculations including product cost, freight, duties, insurance, and handling to optimize total cost of ownership
- Coordinate buying windows and seasonal purchasing cycles across product categories
- Read and interpret forecasting data from Excel sheets and forecasting tools to prioritize buying and shipping decisions
Inventory & Multi-Channel Fulfillment
- Monitor inventory levels across all channels to prevent stockouts and excess storage costs
- Understand how inventory flows across all locations: on-site warehouse, Amazon FBA/AWD
Walmart, Target, Canada
- Know what we fulfill in-house vs. what goes to other channels and how it all comes together
- Make strategic decisions on where to ship containers before issues arise
- Ensure compliance with marketplace fulfillment requirements
Warehouse Support & Container Flow
- Coordinate container receiving schedules and capacity planning with the warehouse team
- Support warehouse expansion and operations optimization initiatives
- Help manage inbound/outbound shipment flows to optimize warehouse efficiency
- Coordinate between supply chain and warehouse operations to ensure smooth container processing
Team Leadership & Cross-Functional Coordination
- Directly supervise three employees: Supply Chain Analyst, Buyer, and Supply Chain Associate
- Provide coaching, development, and performance feedback to build a high-performing supply chain team
- Drive continuous process improvements that increase efficiency and reduce costs
- Work across teams—supply chain, forecasting, warehouse, sourcing, fulfillment—to solve problems and keep operations running

Cost Analysis & Optimization
- Identify cost savings and cost avoidance opportunities across the supply chain
- Conduct landed cost analysis to determine most cost-effective shipping and routing decisions

- Track and reduce expenses across international shipping, warehousing, and fulfillment
- Present data-driven recommendations to leadership on cost optimization initiatives
Qualifications & Requirements
Education & Experience
- Bachelor’s degree in Supply Chain Management, Logistics, Operations Management, International Business, or related field
- 5–7 years of experience in supply chain operations, international logistics, or global sourcing
- Proven experience managing container flows from overseas manufacturers
- Background working with vendors in Asia (China, India, Pakistan, Turkey) preferred
- Experience with multi-channel fulfillment operations (Amazon FBA, retail fulfillment) highly valued
- Prior supervisory experience managing direct reports
Supply Chain & Technical Skills
- Strong understanding of international supply chain operations including freight forwarding, customs, and vendor management
- Advanced Excel skills required: VLOOKUP, XLOOKUP, SUMIFS, pivot tables, complex formulas for data analysis
- Ability to read and interpret forecasting data to prioritize buying and shipping decisions
- Understanding of just-in-time (JIT) fulfillment and e-commerce operations
- Experience with ERP systems (we use SellerCloud, transitioning to NetSuite)
- Knowledge of warehouse capacity planning and container flow management

The Purchasing Agent is responsible for monitoring costs associated with products in both development and construction phases, collaborating with other departments to identify and implement new and more cost-efficient methods and materials, sourcing new vendors and trades, vendor/trade negotiations to obtain reduced costs, and purchase order/work order execution. Duties include:
Controlling and Reducing Costs
- Choose vendors using a balanced approach, including quality, cost, and service.
- Procure contracts and material costs at the lowest possible cost while maintaining quality and service standards.
- Work with other departments to value engineer new product and projects.
- Provide support and feedback for purchasing strategy adjustments.
- Work with peers to come up with ideas to cut costs; motivate each other to achieve these goals.
- Complete detailed estimates of costs and quantities of residential products using comparative and differential estimating techniques in Microsoft Excel and/or Google Sheets.
- Design and implement strategies that reduce build-times, cost, and maintain or increase quality standards.
- Directly responsible for purchasing information accuracy on sales documents (option prices, custom option costing and pricing, selection, colors, etc.).
New Communities
- Provide accurate quantity takeoffs for new plans.
- Create accurate material list for each new plan.
- Create accurate contract budget for each new plan.
- Negotiate with trade contractors and vendors to deliver high value.
- Create accurate lot premium budget for each new subdivision.
Variance Reporting
- Track VPOs on a dialy basis on the VPO Log.
- Forward all "VPO Approved" e-mails to the appropriate Superintendent to make them aware of the extra material thiat is ordered.
- Review the VPO Log at month end and give recommendations for changes to improve future variances.
- Submit Variance Report to the Purchasing Manager by the 25th of the month for all homes closed in the previous month.
- Process Exception Reports within 3 to 5 hours of receipt from Accounting (submit to Construction by 12PM and to Accounting by 1:30PM).
Hard Costs
- Complete all hard cost updates by the assigned deadline.
- Bid lumber by the assigned deadline.
- Run and review Hard Cost Report (following Hard Cost Process exactly).
- Run and review Option Price Updates (following Option Price Update Process exactly) and turn into Purchasing Manager 3 days prior to option price deadline.
- Enforce vendor increase policies.
Custom Options
- Track custom option requests and status on Custom Option Tracker.
- Estimate custom options (ensure all estimates are completed within 3 days of the request or within 5 days for structural requests that require a drawing).
- Responsible for the accuracy of all custom option estimates for Sales.
House Release
- Follow House Release process exactly to ensure correct variance reporting.
- Provide detailed Load Budget Request Sheet to Accounting with proper expectations when asking for budgets to be loaded.
Cost Cuts
- Strive to achieve cost cut goals each quarter through negotiating and value engineering.
- Record progress on Cost Cut Tracker.
Vendor Paperwork
- Update Vendor Paperwork Tracker every Thursday.
- Record date of the most recently signed Schedule A for all vendors.
Rebates
- Ensure that Hakes Brothers is submitting and collecting on all rebate programs on a quarterly basis by the 10th of the month.
Builder of Choice
- Help Hakes Brothers become the Builder of Choice for our trade contractors. Manage trade contractors and supplier relationships so they can accomplish their jobs effectively and efficiently. Work with trade contractors to create value for them, as well as for Hakes Brothers. About this Position:
Lead and manage New Model project for new launches in North America through cross-functional coordination and cost roll-up of automotive parts sourced within Global and North American supply base, all which have significant impact on HDMA financial performance. - Create, maintain, and manage multiple new models (13-17) project schedules to meet overall schedule milestones and deliverables
- Represent the Department independently in project team meetings, theme activity, and evaluations; communicating across DEB areas to share ideas and gain consensus on key decisions and milestones
- Independently summarize Unit activity, conduct periodic reviews with Unit, Department & Division management to confirm new model status. This includes Supplier and Cost strategy items.
- Create and manage new model cost targets through cost correlation activity with design, effectively managing performance and implementing countermeasure plans accordingly (annual supplier spend $3.2B/$38M investment).

- Motivate the team by providing clear direction and goals.
- Assist with weekly team meetings to discuss progress on initiatives and to drive performance.
- Lead the development and production of regular reporting.
- Prepares documentation for project gateway and approval processes.
- Develop overall guidelines for project level chartering and partnering.
- Review the Project Master Schedule for sequencing, interface milestones, and critical path elements (developed by others).
- Develop and recommend the project budget, cash flow and financial plan.
- Oversee and lead the risk management process for the project.
- Develop the work plan that forms the Project Execution Plan (PEP) for the project.
- Review, critique and submit for approval the Project implementation plans as developed by the project supporting PMCM teams.
- Manage Project Estimating and life cycle (total cost of ownership) asset costing, including contingency methodology and estimate evolution through the project lifecycle.
- Develop and submit for approval change management and impact mitigation strategies throughout the life of the project. This includes, but is not limited to scope, cost, schedule control, and cost reduction initiatives.
- Develop the set of controls to assure team performance against the Project baseline metrics.
- Develop protocols and guidelines for Diversity Compliance, Monitoring, and Reporting.
- Establish the metrics and basis for progress reporting against the Project, Projects, and Contracts. Reporting shall include Performance Measurement, Forecasting, Trending, Issues, Actions, Progress, and Overall Status.
- Develop project guidelines and protocols for cost reduction initiatives. Review project level cost reduction recommendations.
- Review project level diversity recommendations.
- Review construction progress and approve recovery plans.
- Review the claims resolutions recommendations.
- Collaborate with appropriate internal and external stakeholders to achieve consent.
- Establishes ongoing risk process and coordinates regular Monte Carlo analyses.
- Project intake: Consider expansion of deliverables to ensure more robust business cases/estimates/schedules are developed.
- Consider the development of an end-to-end process that captures the project controls information from intake through to closeout. Including incorporating a feedback loop for intake/cost/scheduling closeout information.
- Consider the integration of intake/cost/scheduling reporting to provide a holistic approach to project controls.
- Leads the Project Controls Team and ensures deliverables with quality control and assurance.
- SOX control responsibilities may be part of this role, which are to be adhered to where applicable.
Business line requirements:
- 10+ years' experience
- Experience with lean methodologies and have worked in the biotech or related life science industry is a plus
Qualifications:
- Bachelor's degree in construction management, cost management, quantity surveying, engineering or field related to construction.
- Graduate degree in quantity surveying, cost management, construction management, or engineering is preferred.
- 10+ years of relevant project controls experience.
- 2+ years managing high performing project control teams in a consulting environment.
- Knowledge of multiple contract delivery methods and the merits of each.
- Displays track record of proven success with schedules, cost control, estimating and risk management.
- Proven and demonstrated experience in implementing and managing a project controls system, including financial and scheduling controls, for a major capital project.
- Experience in establishing and monitoring project baselines and performance metrics.
- Proficiency in project management software (e.g., Primavera P6, Microsoft Project) and advanced knowledge of Microsoft Excel for data analysis and reporting.
- Exceptional analytical and problem-solving skills, with the ability to interpret complex project data and provide meaningful insights and recommendations.
- Knowledge of regulatory requirements, industry standards, and compliance frameworks relevant to the project domain.
- Demonstrates leadership skills and the ability to influence and motivate project teams towards achieving project control objectives.

Job Summary:
The Project Specialist supports project cost and financial control activities to ensure accurate and timely reporting. This role assists with budgets, change orders, earned value tracking, and project status reporting, and works with Project Managers, Branch Managers, and Regional Controllers to provide clear visibility into overall project performance.
Specific Role Responsibilities:
- Ensuring all project budgets are set up in Vista (ERP)
- Ensuring all project related costs are booked to the correct project, phase code and cost type each month.
- Ensuring all Purchase Orders are properly managed by the requestors.
- Ensure monthly accruals are made at month end to project cost
- Reviewing and auditing job cost on projects to ensure accuracy
- Ensuring all Change Orders on projects are executed and projected revenue, cost and gross profit numbers are updated in Vista each month
- Ensuring all projects are billed to clients weekly and/or monthly
- Ensuring scope, cost, and schedule risks are brought before the Project Managers to assist with their decision making.
Required Skills and Abilities:
- Experience with project accounting and cost control
- Construction Scheduling & Cost Control and/or Industrial Project Controls courses (preferred but not required)
- Hands-on exposure to tools like Primavera P6, MS Project, Excel/Power BI, and cost reporting (preferred but not required)
- Ability to review, interpret and organize data and information
- Understand financial terms and basic financial instruments (bonds; guarantees; payment security)
- Experience in Vista ERP beneficial

- Process Discipline: Follows and enforces established financial processes to ensure consistency, compliance, and audit readiness across all projects.
- Situational Adaptability: Adjusts priorities and approach to meet changing project demands, deadlines, and operational needs.
Education and Experience:
- Associate’s degree or equivalent industry experience required; Bachelor’s degree preferred.
- At least 1+ years of experience in project management, estimating, or sales within the construction or related industry preferred.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Ability to walk job sites as needed.
- May be required to travel to job sites or other locations as necessary.
