We’re looking for an Event Planner to support a variety of projects ranging from event planning to marketing support to administrative duties. You'll be responsible for:
Event Coordination & Logistics
- Coordinating all aspects of events, including in-person and virtual sales events, trade shows, conferences, and speaking engagements.
- Orchestrating all components of in-person events: venue negotiations/bookings, team travel/hotels, food and beverage, audiovisual requirements, décor, and preparing and shipping event materials.
- Onsite execution: Acting as a main liaison with event organizers, connecting with venues to ensure all details are communicated clearly, setting up booths, managing registration, taking event photos/videos for social media, and managing booth take-down.
Virtual Event & Webinar Production
- Managing all deliverables for virtual events and webinars: scheduling, finding panelists, asset creation, and RSVP tracking.
- Technical execution, including setting up Zoom links, creating "AddEvent" calendar codes, and managing complex breakout room assignments for the Sales Team.
- Acting as a strategic partner to the Sales Team, using clear success metrics and post-event analysis to inform event decisions and demonstrate impact on pipeline management.
- Performing follow-up duties such as registration and attendance reporting, downloading recordings, and listing chapter timestamps for video replay edits.
Marketing & Sales Support
- Assisting in the execution of various marketing initiatives (digital campaigns, newsletters, advertising, brochures, and sell sheets).
- Digital Asset Management: Duplicating and updating event landing pages (Pardot), integrating them with Salesforce, and ensuring the website event pages stay current.
- Lead Management: Categorizing prospect lists for sales and marketing leaders and ensuring all attendees are properly entered into the CRM for follow-up.
- Proposing new ideas to improve the event-planning process, such as creating event scorecards or intake forms.
Business Development & Sponsorship
- Acting as a sponsorship coordinator for major conferences, managing renewals, and conducting feedback meetings with high-level clients.
- Researching and vetting new event opportunities, speeches, and trade show sponsorships to determine best fit.
Administration & Finance
- Keeping track of event ROI and finances, including check requests, invoicing, and Amex reporting.
- Participating in budget development and entering expenses into the database.
- Providing general administrative and clerical support to the team as needed, including creating personalized itineraries for traveling team members.

The Role You’ll Play
ClassPass is seeking a driven Field Sales Executive to expand our merchant base by acquiring and onboarding high-potential local businesses in the fitness and wellness space. This is a highly field-based role (70–80% travel) and best suited for individuals energized by being in front of customers, building relationships, and representing our brand as a trusted local expert. What You’ll Do
- Build and grow our merchant network by prospecting, pitching, and closing new businesses in your assigned territory.
- Lead with a field-first approach: visit prospective merchants daily, attend local events, and nurture relationships with community and industry insiders.
- Own the full sales cycle, from outreach and drop-ins to negotiation and close, using a mix of in-person, phone, email and virtual touchpoints.

The base salary range for this position in the United States is $52,125 to $86,075. The total compensation package for this position may also include performance bonuses, benefits, and/or other applicable incentive compensation plans.

Job Summary
The Administrative Specialist, Communications Marketing and Board Governance Support provides high-level support to the Vice President, Communications and Marketing, serving as a trusted partner in advancing the department’s strategic goals. This role manages executive operations, strengthens Board and stakeholder engagement, and ensures effective coordination across the Communications and Marketing team and with external partners.
The successful candidate is a proactive, tech-savvy professional who thrives in a fast-paced environment, anticipates needs before they arise, and brings precision, discretion and innovation to the Communications and Marketing Department.
Essential Functions
Executive Operations
- Manage the Vice President’s calendar, communications, and priorities to align with the department’s strategic goals.
- Liaise with Board members, external organizations, partners and stakeholders on behalf of the Vice President.
- Coordinate travel, meeting logistics and expense reporting.
Board & Governance Support
- Plan and organize Communications and Marketing meetings with the Board of Directors and team meetings, including agenda preparation, minutes, reports and follow-up on action items.
- Maintain corporate documents, official records and filings in compliance with AOA policies and nonprofit governance requirements.
- Liaise with Board and committee members, ensuring timely communication and a professional experience.
Operations & Organization
- Coordinate internal staff meetings, retreats, and team-building sessions, ensuring clear agendas, timely documentation, and actionable follow-up.
- Manage finance workflows including invoice processing, vendor coordination, contract management with Finance/Legal, and expense reconciliation.
- Oversee department mail, office logistics, supply ordering, and document management to keep daily operations running smoothly.
- Maintain organized digital and physical filing systems, ensuring compliance with document retention policies and easy access to information.
- Coordinate Communications and Marketing team logistics, shipments, and onsite support for major AOA events, including OMED and the House of Delegates.
- Serve as the point person for operational problem-solving, helping the team stay efficient and focused.
Analytics & Reporting
- Collect, track, and synthesize key organizational data including Google Analytics, KPIs and departmental performance measures.
- Prepare concise dashboards and reports to support Vice President decision-making.
Additional Responsibilities
- Partner with the Vice President on special projects, including emerging initiatives that strengthen Communication and Marketing innovation culture and advance the department’s strategic priorities.

Minimum Qualifications
Education: Bachelor’s degree preferred
Certification: PMP or other certifications a plus.
Experience: 5–7 years in an executive assistant, administrative, or project management role; previous work Board of Directors/decision making body.
Technical Skills:
- Advanced proficiency in Microsoft Office 365 Suite (Excel, Word, Outlook, PowerPoint, Teams, SharePoint/OneDrive) and strong skills with project management tools (e.g., Asana, , Jira).
- Working knowledge of Salesforce/Fonteva, Google Workspace, scheduling and document-signing platforms, survey tools, financial/expense systems, online travel booking, analytics platforms (including Google Analytics), generative AI tools, virtual meeting software (Zoom), and basic website/CMS editing (e.g., WordPress, Squarespace).
Additional Skills:
- Strong organizational and time management skills with the ability to manage competing priorities.

Principal Duties and Responsibilities
