About the role
We are seeking a detail-oriented and highly skilled HRIS System Administrator to join our HR team and manage our UKG (Ultimate Kronos Group) HR system. The ideal candidate will be responsible for ensuring the effective functioning, configuration, and maintenance of the HRIS system. This role will collaborate with various departments to optimize system performance, implement updates, troubleshoot issues, and provide user support to ensure the HR system meets the needs of the organization.
What you’ll do
HRIS System Management
- Administer and maintain the UKG HR system, ensuring data integrity and system functionality.
- Configure system settings, workflows, and user access within UKG to meet business requirements.
- Support the HRIS team in implementing upgrades, enhancements, and patches to the UKG system.
- Perform regular audits of system data to ensure accuracy and compliance with internal policies and external regulations.
- Coordinate with the IT department to ensure system security, data backups, and disaster recovery plans are up-to-date.
User Support and Training
- Act as the primary point of contact for HRIS-related inquiries and troubleshooting.
- Provide technical support to end users, resolving system issues and providing guidance on system features.
- Develop and deliver training programs for HR staff and other system users on UKG functionalities.
System Optimization and Reporting
- Collaborate with HR and IT teams to enhance system efficiency and user experience.
- Generate and maintain custom reports and dashboards using UKG tools to support HR metrics and decision-making.
- Analyze system data and provide actionable insights to improve HR processes.
Compliance and Security
- Ensure the HRIS complies with applicable laws, regulations, and company policies.
- Maintain user access controls, ensuring that sensitive data is protected according to security protocols.
- Work closely with legal and compliance teams to ensure the HRIS aligns with data protection standards (e.g., GDPR, HIPAA, etc.).
Project Management
- Lead or assist in the planning and implementation of HRIS-related projects, such as system integrations, migrations, or process improvements.
- Track project progress, manage timelines, and communicate project status to key stakeholders.
What we are looking for
- Bachelor’s degree in Human Resources, Information Technology, Business Administration, or related field (or equivalent work experience).
- 2 years or more experience organizing data reports and utilizing Human Resources Information Systems such as UKG and/or Kronos preferred
- Strong experience in generating reports and data analysis within HRIS systems.
- Ability to speak and understand Spanish / English
- Excellent analytical, problem-solving, and troubleshooting skills.
- Strong communication skills, with the ability to interact with both technical and non-technical users.
- Project management experience is a plus.

Essential Job FunctionsAcademic Support
- Works with faculty, Chairperson, and Curriculum Management to setup/modify/build course sections each semester.
- Works with faculty to obtain contract "load and reassigned time" forms each semester, submit to the Chairperson for review/approval, and enter approved information into system of record.
- Collects faculty office hours information, syllabi, and final grade spreadsheets. Works with Office of the Executive Vice President Administrative Operations (EVPAO) to ensure faculty/adjust load information is accurate every semester. Runs faculty workload reports for the Chairperson.
- May also review and provide feedback to the Chairperson regarding faculty workload reports.

Office Support
- Provides comprehensive administrative and clerical support to the Department Chairperson, faculty, and staff to ensure the efficient operation of the department.
- Establishes and maintains organized filing systems in both digital and physical formats, ensuring accurate recordkeeping, easy retrieval of documents, and compliance with institutional procedures.

- Orders office and classroom supplies, as necessary. Organizes the ordering and storing of supplies as needed.
- Acts as liaison between Bookstore and faculty for textbook adoptions and classroom supplies.
- Initiates work orders such as housekeeping, general maintenance, etc. and follows through until completion.
- Makes facilities requests on behalf of the department.

About the role:
The Office Assistant has to ensure day-to-day office tasks, functions and deliverables are being managed. This role requires being hands-on, executing best practices to ensure efficiency is always forefront. Daily functions include distributing mail, managing kitchen and supply inventory, purchasing, coordinating office events, assisting IT with various tasks, connecting with vendors, and making recommendations.

About the Role

Under general direction from the Business Office Manager, this position is responsible for providing exceptional customer service in a fast paced, team-oriented environment through the facilitation of the sales, auction, and appraisal process. These processes include responsibility for cash management, processing and auditing of paperwork associated with sales, and providing exceptional customer service by answering questions and handling incoming calls.
Essential Responsibilities:
- Assists store personnel and all store departments in their daily functions while adhering to CarMax guidelines
- Provides customer service by greeting customers, balancing overflow traffic, listening to and answering customer questions and explaining paperwork process
- Seeks win/win solutions for the customer and partners appropriately
- Processes paperwork associated with retail/wholesale automobile sales may include printing daily reports, maintaining deal jackets, contacting finance companies regarding contracts, obtaining required information regarding registration and/or titling, processing reassignments, and auditing completed paperwork
- Processes auction sales, dealer registration, and/or appraisal lane purchases to include the collection of titles (calls and follow up), payoffs, proper paperwork and signatures from customers in order to send the appropriate documentation to the Home Office for the funding of drafts
- Manages multiple pay types including receiving and counting money, distributing funds, preparing deposits and handling of the safe with considerations to security and loss prevention
- Processes paperwork affiliated with the state DMV. This may include submitting paperwork necessary to title or and register a vehicle for a customer after the sale or obtaining a title for a customer after the sale
- Mentor new Business Office Associates, as well as, train other store departments on Business Office process and procedure
- Clerical responsibilities may include, but is not limited to: copying, filing, reconciliation of missing dealer plates or information and data entry into Microsoft Excel and proprietary systems as required for logging vehicle registration tags
- Answers multi-line phone system, responds to callers' needs and direct calls as appropriate
