Position Summary

The Safety Administrative Specialist plays a key role in supporting Key Lime Air’s Safety

Management System (SMS). This position is responsible for day-to-day administration of

safety reports, maintaining safety records, assisting with Safety Risk Management (SRM)

activities, and tracking safety performance data across Part 135, Part 121, and charter

operations.

Reporting to the Operations Quality Assurance Manager, the role provides both

administrative and analytical support to the Safety team and helps reinforce a proactive,

Just Culture approach to safety. This position serves as a primary point of contact for safety

report processing, SHAIDER tracking, Safety Performance Indicators (SPIs), and safety documentation used for operational decisions and regulatory compliance.


Key Responsibilities

  • Receive, review, categorize, and process safety reports in accordance with SMS procedures.
  • Process and track SHAIDER reports, ensuring proper use of SMS taxonomy within VOCUS.
  • Maintain confidentiality and ensure non-punitive handling of safety information.
  • Track safety reports, corrective actions, and follow-up items through closure.
  • Support hazard identification thorough safety reports, audits, and operational changes.
  • Assist with the development, documentation, and tracking of Safety Risk Assessments (SRAs).
  • Monitor approved risk controls and mitigation actions for completion and effectiveness.
  • Coordinate SRM activities with other departments as part of Management of Change (MOC) processes.

The GI service line offers inpatient and outpatient GI services, in the newly opened Ambulatory Surgical Center and ambulatory clinical space. Currently, two GI providers and two nurse practitioners comprise the team; we seek to recruit 3-4 additional gastroenterologists. Rapidly growing comprehensive GI practice in Harford County, Maryland

Work description:

Three pathways available to ensure an excellent lifestyle work balance with flexibility to tailor pathways for the right applicant:

  • GI hospitalist covering inpatient consultations and endoscopy, 7 days on/7 days off, including 24-hour call for 24 weeks/year. Out-patient endoscopy is possible if desired.
  • Hybrid GI hospitalist – Mainly inpatient coverage with some outpatient duties. Similar schedule as the GI hospitalist with an extra day of ambulatory endoscopy in the ASC.
  • Outpatient/Ambulatory model – 3-4 days of outpatient endoscopy performed in the hospital endoscopy suite and ASC plus 1-2 days of clinic with a few weeks of inpatient call coverage.
  • For applicants with special interests, resources are available to build subspecialty service lines.
  • Strong academic affiliation with the University of Maryland Division of Gastroenterology and Hepatology.
  • Adjunct Assistant Professor academic appointment.
    Access to all divisional educational offerings (e.g., GI Grand Rounds, Research Conference, etc.)

DEPARMENT ESSENTIAL FUNCTIONS

Inpatient coverage details:

  • The GI team provides coverage for a 250-bed hospital, Level 1 trauma
  • Dedicated endoscopy suite with 24/7 on-call nurse and tech
  • 24/7 anesthesia service for propofol administration.
  • Olympus scopes with Hemospray, over-the-scope-clips, and other accessories available.
  • 24/7 general surgery, colorectal surgery and IR services
  • Inpatient list averages 15-20 patients/day and Inpatient endoscopies average 5-7/ day
  • Advanced endoscopy skills are not mandatory, but equipment is available. EDUCATION and/or EXPERIENCE
  • Doctoral degree in Medicine in area of specialty
  • 3-5 years of clinical experience
  • Board certified or board eligible gastroenterologists (preferred)
  • New GI Fellowship graduates and experienced GI physicians are encouraged to apply.

Job Summary:

Reporting to the Manager, Air Operations, this role is responsible for the supervision, administration, and work management of Retail Air Team. Collaborate with Management across departments, including Outside Sales, to generate retail revenue, maintain a healthy profit margin and provide optimum customer service in the retail channel. Exemplify strong time management skills with a focus on operational efficiencies and customer retention. Assume responsibility of first tier air emergency response on and off hours on a rotating basis.


Primary Functions:

  • Supervise, train and develop direct subordinates.
  • Hold all subordinates accountable in obtaining each of their strategic tactics.
  • Evaluate performance for all subordinates and provide continuous coaching throughout the year.
  • Compose and deliver year end assessments for all subordinates in adherence to company policy.
  • Work closely with retail air staff and client care center to help resolve any guest issues.
  • Review and follow up on assignments and resolve problems to provide quality customer service.
  • Review customer responses from post-booking survey to determine trends and initiate measures to correct course. Ensure escalated responses are responded to in a timely manner.
  • Assist with general administrative duties such as, but not limited to, scheduling work assignments, tracking productivity and comprehensive department training.
  • Conduct thorough interviews with prospective candidates to assess their qualifications, skills, and cultural fit for the organization.
  • Review air reservations that affect the productivity and proficiency of the department and improve guests’ satisfaction.
  • Conduct training sessions to enhance performance and skill among the Retail Air Coordinators as determined by the Manager.
  • Required to work flexible shifts, including some evenings and weekends, to accommodate air requirements and management needs.
  • Prioritize workload and manage multiple priorities to meet expected deadlines.
  • Ensure that all communication, as a representative of Collette, is professional, clear and adheres to policy.


Training:

  • Responsible for assisting in training the air department staff, answering inquiries, and monitoring the goals and objectives of the department.
  • Assist with weekly staff meetings to review contacts and enhance overall understanding of rates and carrier restrictions.
  • Assist with cross-training key departments to enhance productivity and proficiency as they relate to air operations.
  • Utilize Collette Connects to communication announcements, news stories and changes to the organization.


Knowledge and Skills:

  • Bachelor's degree preferred and encouraged, including opportunities to obtain with approved assistance programs.
  • Two years of experience desired, that is directly related to the duties and responsibilities specified.
