DESCRIPTION OF SERVICES:
The Medical Support Assistant is the responsible for the performance and coordination of appointment scheduling.
Responsibilities:
Consistently responds to internal and external customer requests for assistance in a courteous, professional, cooperative, and helpful manner.

Serves Patient Relations Representative and actively listens to feedback, patient concerns and can self-resolve patient complaints / co-worker concerns in a tactful, professional manner.
Understands the roles and responsibilities of others in the team, participates in team huddles. All employees are expected to be courteous and cooperative and to work to achieve the goals of the clinic. This includes professional, constructive, and open communication with supervisor and other employees. Performance must demonstrate the ability to adjust to change or work under pressure in a professional pleasant manner.
MSA manages and completes assigned work, provides input on work progress and/or impediments, works collaboratively and maintains efficient workflow.
Receives reviews, prepares, and ensures correct punctuation, spelling, grammar, format, styles and oversees the incoming and outgoing correspondence.
MSA will continuously update patient demographics, to include phone number, address, next of kin, emergency contact and insurance capture.
Proficiency and daily use of personal computers, Outlook, Teams, ISS, VISTA, CPRS, PCI, HSRM, PPMS and Consult Tracking Management (CTM).
Proficiency in updating no-shows within 24 hours of appointment. Monitoring incoming and outgoing faxes and mail, in accordance with HIPPA standards.
MSA provides support to patient aligned care team.
Knowledge in use of VA software such as CPRS, ISS, VISTA, CTM, PCI, HSRM, PPMS, and
Advanced MSA is responsible for workflow, completion, and hand-offs for assigned work, for example, the monitoring of two calls and a letter for recall reminders, which may apply to the following reports/metrics NEAR Report, 90 Day Warning Report, Primary Care Management Module, dual enrollment, and any other access related reports.
MSA routinely reviews and uses data from reports used to collaborate with team members for patient appointments and communicates scheduling issues to their supervisor.
Responsible for following scheduling practices, ensuring Veterans are scheduled within the VA guidelines.
Responsible for meeting all Compliance and Business Integrity standards regarding ICB and scheduling accuracy.
Ensure compliance with VA Community Care scheduling processes.
Responsible for meeting all workload requirements and timeliness.
Assess compliance with The Joint Commission (TJC) and other regulatory program review criteria that govern service and ensure that requirements are in place and are compliant as evidenced by both internal and external reviews.
Demonstrate participation and knowledge in the facility’s Compliance and Business Integrity Program to prevent violations of the law as well as maintaining high ethical standards.

REQUIRED AND DESIRED KNOWLEDGE, SKILLS, AND ABILITIES:

Have a High School education or GED equivalent.

Job Purpose
To develop and ensure effective implementation of the plant’s quality and food safety management systems in accordance with product specifications, regulations, and the plant’s chosen third-party food safety standards, either Safe Quality Food (SQF) or British Retail Consortium (BRC).
Key Responsibilities And Duties
Maintain a controlled Quality Management System (QMS) consisting of detailed policies and procedures supporting the corporate quality policy; federal, state, and local regulatory requirements; and food safety/defense guidelines to administer and document standardized practices in all aspects of plant operations.

- Lead multi-disciplinary teams to conduct effective problem solving to solve production and quality issues; train personnel in appropriate problem solving methodologies (SPC, Cause Mapping, 5-Whys, 8-D analysis, DMAIC, etc.).
- Enact the CQV protocol as required for new or revised equipment, molds, and processes; ensure capability and quality meets approval for production and shipment.
Maintain C.A.T. stations and NWA Quality Monitor/Analyst applications on local computers.
- Maintain measurement instrument accuracy and ensure the proper instruments are available for all product testing.
- Calibrate instruments as necessary and document all calibration and repairs.

Knowledge of SPC, SQC, metrology, problem solving, internal auditing, HACCP, Good Manufacturing Practices, and food safety audit certification (such as AIB or SQF) is desired. Requirements
- 10-15 years of experience in luxury sales, preferably in the diamond or high-end jewelry industry, with a minimum of 3-5 years of experience in a managerial role
- Strong leadership and team management skills, with the ability to inspire and motivate sales professionals
- Proficiency in CRM software or other sales tools
- Accredited Jewelry Professional or Graduate Gemologist degree from GIA, a plus

- Showroom Hours: 9:00 am to 6:00 pm and SoHo boutique retail hours as needed

TITLE: Sales Manager
REPORTS TO: Store Manager / Regional Manager
OVERALL DUTIES:
The Sales Manager is responsible for day-to-day staff productivity development in
line with the store’s strategy, building highly motivated teams and developing the
staff to the next level. Ensuring established sales and profit goals are met both
individually and as a team. This individual will assist with supervising and providing
the staff with support to reach their goal while modeling MaxMara standards of
customer service. In addition, all floor related operational activities are
responsibility of the Sales Manager.
CORE RESPONSIBILTIES:
1. Customer Service
• Must have the ability to maintain and communicate the Company’s
commitment to goals, drive sales, and motivate team’s performance
• Assist assigned stylist by Store Manager in their daily appointments
and operations. Assist all other sales associates as needed.
• Actively builds client confidence by creating an engaging interactive
experience
• Assist assigned stylist with retaining and gaining new clients, meeting
conversion goals and continues to service existing client base
• Resolves customer service issues swiftly
• Ensure customer’s needs are met without hesitation.
• Assist sales associates in consistently meeting /exceeding both store
and individual sales goals including KPI’s
• Maximize the customer experience
• Maintain positive outlook and professional demeanor while
supporting company initiatives
• Stresses importance of developing a local clientele with the goal of

• Ongoing reinforcement of all aspects related to clienteling
2. Staff Development
• Monitor and encourage client development by supporting assigned
top stylists, as per directive of Store Manager and Regional Manager,
with all CRM related tasks such as client outreach, client lists analysis,
management of follow ups, operational activities (approval &
appointment set up, ringing sales etc.)
• Manage on the floor to maintain a strong presence
• Can align other team members to reach goals to support the business
• Creates a store environment that emulates the company DNA
3. Operations
• Achieve and exceed individual sales goals. Assist with achieving the
Company’s sales plan for your boutique or outlet by leading the store
team to drive sales through constant training and modeling of
outstanding customer service skills
• Perform all point-of-sale (POS) cashier-level functions
• Ring any approvals going in/out of the stylist
• Ringing all of assigned stylist individual sales and returns and all
other associate’s as needed.
• Check on the finished alts, B2E orders and COP’s for assigned stylist’s
clients.
• Daily communication with assigned stylist and have merchandise for
client appointments set up in the fitting room.
• Communicates all store related issues to Store Manager when unable
to solve on their own
• Answer all incoming calls and direct customer inquiries to
appropriate party
• Assist with closing and opening procedures to ensure the store is
ready for business, including compliance to visual merchandising
standards
• Maintain and monitor the staff’s compliance with Company policies
and procedures on sales, customer service, dress code, etc., and
provide feedback to Store Manager and Assistant Store Manager as
needed.
4. Human Resources
• Ensure all company policies and procedures are being followed on the
sales floor
• Exhibit strong communication skills that are clear and concise with
the store team, assigned top stylists, Management and Regional
Manager
• Create a positive store atmosphere that consistently motivates the
team
• And other duties assigned from time to time
REQUIRED SKILLS/EDUCATION
• BA a plus
• Minimum 2 years of supervisory experience in the apparel industry
with a proven track record of driving sales and excellence in customer
service; luxury a plus
• RTW and/or shoe experience is a plus; product experience in luxury
or high-end retail is strongly preferred
• Strong interpersonal, organizational, and communication skills
• Training, interviewing, organizational, and performance management
skills.
• Able to work independently as well as collaboratively
• Proficient computer skills
• Ability to manage conflict
• Must be able to lift, carry, or otherwise move objects weighing up to
15 pounds when merchandising sales floor using ladders or stairs.

Your Role
Inventory & Diamond Management
- Maintain precise tracking of diamond and gemstone inventory including carat weight, specifications, certification numbers, and costs
- Manage agreements with suppliers, tracking deadlines and coordinating returns
- Coordinate stone deliveries with suppliers and couriers, maintaining chain of custody documentation
- Organize and maintain GIA/IGI certificates and authentication documentation
Production Coordination
- Track all active projects to ensure production milestones are met on time
- Coordinate across designers, jewelers, and vendors to keep timelines aligned
- Flag delays early and problem-solve to keep projects on track
Shipping, Packing & Logistics
- Pack high-value jewelry pieces to ROEN standards with meticulous attention to presentation and security
- Manage shipping logistics including insurance, signature requirements, and tracking
- Coordinate local deliveries, pickups, and courier services with urgency and care
- Manage calendar for client pickups, deliveries, and deadlines
Administrative & Compliance
- Maintain insurance documentation for inventory and shipments
- Reconcile inventory costs with sales for financial reporting
