10% – Budget Management and Performance Measurement

Develops and manages event budgets, forecasts, and financial tracking across the event portfolio. Evaluates vendor proposals and negotiates contracts to maximize cost efficiency while maintaining premium event quality.

Tracks event performance through defined metrics including attendance, engagement, brand exposure, and stakeholder feedback. Uses insights to continuously improve event strategy and execution.

5% – Cross-Functional Collaboration and Program Support

MINIMUM QUALIFICATIONS

Education

Bachelor’s degree from an accredited institution in Marketing, Communications, Business, Hospitality, Event Management, or a related field, or equivalent professional experience.

Experience

Minimum 10+ years of experience in event marketing, experiential marketing, or corporate event management, with demonstrated success managing a large-scale event portfolio (300+ events annually).

Experience planning and executing high-end, high-visibility events, including:

Company Description


The Director of Event Planning and Graduate Engagement is a highly responsible position dealing with university and Foundation leadership, requiring consistent professionalism and effective communication.

The position will have a dual reporting line with the event portion of the position reporting to the Chief of Staff, Communications and Government Affairs and the graduate engagement reporting to Vice President for Development at the LSUHS Foundation.

The event portion of the responsibilities involves managing all institutional events to include: commencement ceremonies in May and August, White Coat Ceremony for MD’s and PA’s, Graduate Research Day, designated retirement receptions for high level and/or long tenured faculty or administrators, milestone events for degree programs and/or schools, celebratory events due to high level recognition of the institution, a school or individual, mini-med, Preview Days for Schools, etc.  Additionally, event planning guidance and execution will be provided for department-level events.

The graduate engagement portion of the responsibilities involves coordinating alumni engagement for LSU Health Shreveport’s residency and basic science graduate programs. The institution has forty-seven accredited residency and fellowship programs and several PhD and Master’s tracks in the School of Graduate Studies. The LSU Health Sciences Foundation has traditionally managed LSU Health Medical Alumni affairs and assisted with alumni programming for the School of Health Professions and Sciences. This new shared position will, for the first time, extend the Foundation’s alumni engagement services to LSU Health Shreveport’s residency and basic science graduate programs. 

Position will involve evening and weekend hours.  

Regular attendance is required to perform the functions of this position.

Incumbent must understand that they are the university/Foundation representative with those they serve requiring the utmost professionalism in conduct and appearance.


Essential Position Functions and Duties

45% - Event Planning

  • Consultation with clients to understand the scope and objectives of the event and to determine the optimal location on campus for the event.
  • Reserve event location or locations.
  • Plan all aspects of the event to include budget, timeline, venue, seating, menu, guest list, audiovisual needs, signage needs, parking, etc. 
  • Coordinate event logistics to include IT, UPD, environmental services being onsite, delivery of tables, chairs, tablecloths, florals, food, drink, etc.
  • Timely engagement of LSUHS IT and/or audiovisual staff as needed for the event.
  • Timely engagement of Medical and Strategic Communication for needed signage, invitations, and directional signage.
  • Timely engagement of appropriate parties for any required contracts or agreements
  • Timely engagement of Communications and Public Affairs for internal and/or external marketing of event
  • Have access to travel schedules of all presenters to be certain of their availability at the time they are scheduled to appear/speak at event.

45% - Graduate Engagement

  • Plan residency program and graduate school alumni programming that supports the school’s strategic priorities and aims to increase alumni engagement and gift participation, targeting engagement and relational stewardship.
  • Ensure accurate and complete residency program and graduate school alumni database records by capturing relevant contact, biographical, and career information through alumni communication vehicles and in-house research.
  • Establish and build relationships with residency program and graduate school alumni through reunions and national conference events, as well as regular communication via direct contact, email, website, social media, etc. 
  • Collaborate closely with development colleagues to increase residency program and graduate school alumni support, identify and qualify prospects for giving, communicate development-related interactions via contact reports, and attend prospect management meetings
  • In consultation with the LSU Health Shreveport Communications Office, develop a communications engagement strategy which may include print, websites, email, social media, etc.

Qualifications

Minimum

  • A two-year degree with six years of proven experience in event planning for large events (minimum 500 attendees), plus proven experience in strong relationship building and management.

OBJECTIVES

  • Take a leadership role in event setup, ensuring all components, including step-and-repeats, popup banners, and meal/happy hour arrangements, are strategically placed and organized.
  • Lead event day operations, ensuring smooth registration and check-in processes and serving as a primary contact for troubleshooting issues.
  • Continuously improve logistical elements of the event to ensure a superior attendee experience, from registration to departure, by streamlining processes and reducing friction points.
  • Serve as the lead for maintaining event supplies and collateral, conducting weekly and monthly inventories to ensure preparedness for upcoming events.
  • Liaise with the Client Concierge team to ensure all client information is up to date and accurately reflected in event planning, including payment statuses and attendance details.
  • Track and analyze event logistics data, providing post-event reports that highlight successes, challenges, and areas for improvement, while leveraging data to inform future planning.


COMPETENCIES

  • Ability to lead small teams during event setups and take charge of event day logistics while mentoring junior staff.
  • Possess technical acumen to accurately update Events website.
  • Proficiency in G-Suite, including advanced experience with Google Sheets and Docs for tracking client data and event information.

EDUCATION AND EXPERIENCE

  • Minimum of 4 years of experience in event management or coordination roles, with at least 2 years in a senior or lead role.
  • Degree in Hospitality Management, Public Relations or relevant field is preferred.
  • Substantial experience with G-Suite (Slides and Docs).

Job Overview

The Event Sales Manager is responsible for event sales and all related duties: event prospecting, revenue strategy, logistics planning, and client communication. Additionally they are responsible for conveying event details to the internal operations team and ensuring that events are planned in a manner that operations can execute. Occasionally, there will be planning of events that are done for marketing or programming purposes.


The position will handle event booking and planning from start to finish, working alongside a dedicated in-house operations team to execute the event. As the primary point of contact for all events, you will primarily coordinate details with the event clients, the Authentic management team, Authentic staff, and Authentic’s marketing team.


Primary duties include, but are not limited to, the following:

  • Oversees private event bookings for assigned market segments and venues, including Broken Shaker, Bar Calico, and Georgia Room, managing events from initial inquiry through post-event follow-up and closeout.
  • Manages day-to-day sales leads and inquiries; conducts site visits; prepares and negotiates contracts; secures deposit payments; and ensures successful execution of events in accordance with detailed Private Party Orders (PPOs).
  • Plans and coordinates events from inception to completion, ensuring Operations, Culinary, and Food & Beverage teams receive accurate and timely information necessary for successful event execution.
  • Creates and manages BEOs and event contracts, including programming and special initiatives, as requested.
  • Exercises independent judgment in event planning and client management, including direct collaboration with Culinary leadership to review and modify menus consistent with client expectations and operational standards.
  • Maintains and ensures accuracy of event management systems, including Tripleseat; provides training, mentorship, and technical guidance to team members on proper system utilization and reporting standards.
  • Demonstrates financial literacy related to private events, including generating monthly revenue reports and bi-weekly forecast reports; reviewing events for financial accuracy prior to closeout; and partnering with Operations on event-related financial inquiries.
  • Develops and executes a structured prospecting strategy to drive private event revenue during low-demand periods and maximize performance during peak seasons; identifies growth opportunities and implements targeted initiatives to capture market share.
  • Develops and maintains a robust network of local, national, and international contacts within the New York market; actively prospects new business opportunities; attends industry and networking events to generate qualified leads.
  • Identifies key calendar opportunities (e.g., NYFW, Frieze Art Week, Tech Week, and similar citywide events) and develops targeted outreach strategies to capture related private event business.
  • Ensures compliance with all applicable insurance requirements, contractual obligations, health and safety standards, and venue policies in connection with private events.
  • Conducts post-event follow-up with clients to obtain feedback, finalize billing, address payment inquiries, and cultivate repeat business opportunities.
  • Reports to the Director of Events & Marketing and collaborates closely with Food & Beverage, Operations, and Culinary Management to ensure departmental alignment.

The Position


Event Operations is an entry-level role responsible for the day-to-day operations of ATV event venues. This person owns the client experience from first inquiry through event wrap-up: managing site visits, floor plans, vendor relationships, and on-site execution.
