SUMMARY
We are looking for a proactive Senior Associate, Building Science Knowledge Systems, who will support and help manage projects that strengthen the National Institute of Building Sciences (NIBS) ability to assemble, store, and disseminate codes, standards, performance criteria, and best practices in the built environment. Our goal is to make knowledge easier to access and understand so that buildings are safer, more efficient, and more innovative. This role will own defined project workstreams and support multi-stakeholder projects to ensure alignment with client goals, scope, schedule, budget, and quality standards. The Senior Associate will coordinate with internal team members and subcontractors, contribute to clear communication and reporting, and help ensure effective knowledge transfer across the organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Support planning, execution, monitoring, and closeout of assigned projects and workstreams with emphasis on building technology and innovation.
- Draft and maintain project workplans and schedules for assigned projects and workstreams.
- Support defining and documenting project scope, deliverables, KPIs, and success criteria; maintain trackers and dashboards for performance reporting.
- Support budget, schedule, and resource management for assigned projects; assist with Estimate to Complete (ETC), forecasting, and status reporting; flag variances and recommend corrective actions.
- Identify, track, and help mitigate tasks, project risks, and client relationship risks; escalate issues as needed.
- Support quality assurance activities to help ensure deliverables meet client expectations and internal standards.
- Coordinate day-to-day activities across cross-functional teams including architects, engineers, researchers, IT specialists, and subcontractors.
- Support client communications by preparing meeting materials, notes, and regular status updates; participate in client calls as needed.
- Support knowledge management practices: maintain project files, ensure accessibility of content, capture lessons learned, and contribute to continuous improvement.
- Support stakeholder engagement activities such as workshops, webinars, and technical meetings, including logistics, agendas, and follow-up.
- Monitor industry trends in digital codes & standards and AEC innovative solutions; share relevant insights and help apply best practices to project delivery.
- Surface resourcing, skill, and process gaps that may affect delivery and share recommendations with the project lead and senior leaders.
- Contribute to continuous improvement efforts by suggesting repeatable approaches, templates, and knowledge management practices; support change management activities as needed.
- Adhere to and support compliance with organizational standards, federal contracting norms, and relevant industry regulations.
- Self-manage workloads and proactively coordinate with supervisor and project lead on priorities, risks, and capacity.
- Support business development by contributing to proposal inputs, capturing client needs, and identifying organic growth opportunities through project-based relationships.
- Contribute to NIBS external presence by supporting presentations, drafting technical content, and participating in industry forums as appropriate.
SECURITY CLEARANCE
A security clearance is not required, however ability to be granted or to obtain at a minimum, an interim Secret security clearance during employment and then obtain and maintain a Secret security clearance throughout the period of employment, is strongly preferred.
SUPERVISORY RESPONSIBILITIES
This position does not have direct report responsibilities. The Senior Associate may provide task-level guidance to internal team members and contracted staff within assigned workstreams.

EDUCATION AND/OR EXPERIENCE
The ideal candidate will possess a Bachelors degree in a STEM field, project management, or construction management, though a combination of equivalent education and professional experience will be considered. The position requires 1-3+ years of experience leading, supporting, or coordinating projects, with a preference for experience within the built environment. The successful candidate will demonstrate the ability to manage defined workstreams, track scope/schedule/budget inputs, and produce high-quality deliverables with appropriate guidance. Experience supporting federal government contracting and reporting requirements is preferred.
TECHNICAL AND OTHER SPECIALIZED SKILLS AND ABILITIES:

OVERVIEW
Job Overview
The Event Sales Manager is responsible for event sales and all related duties: event prospecting, revenue strategy, logistics planning, and client communication. Additionally they are responsible for conveying event details to the internal operations team and ensuring that events are planned in a manner that operations can execute. Occasionally, there will be planning of events that are done for marketing or programming purposes.
The position will handle event booking and planning from start to finish, working alongside a dedicated in-house operations team to execute the event. As the primary point of contact for all events, you will primarily coordinate details with the event clients, the Authentic management team, Authentic staff, and Authentic’s marketing team.
Primary duties include, but are not limited to, the following:
- Oversees private event bookings for assigned market segments and venues, including Broken Shaker, Bar Calico, and Georgia Room, managing events from initial inquiry through post-event follow-up and closeout.
- Manages day-to-day sales leads and inquiries; conducts site visits; prepares and negotiates contracts; secures deposit payments; and ensures successful execution of events in accordance with detailed Private Party Orders (PPOs).
- Plans and coordinates events from inception to completion, ensuring Operations, Culinary, and Food & Beverage teams receive accurate and timely information necessary for successful event execution.
- Creates and manages BEOs and event contracts, including programming and special initiatives, as requested.
- Exercises independent judgment in event planning and client management, including direct collaboration with Culinary leadership to review and modify menus consistent with client expectations and operational standards.
- Maintains and ensures accuracy of event management systems, including Tripleseat; provides training, mentorship, and technical guidance to team members on proper system utilization and reporting standards.
- Demonstrates financial literacy related to private events, including generating monthly revenue reports and bi-weekly forecast reports; reviewing events for financial accuracy prior to closeout; and partnering with Operations on event-related financial inquiries.
- Develops and executes a structured prospecting strategy to drive private event revenue during low-demand periods and maximize performance during peak seasons; identifies growth opportunities and implements targeted initiatives to capture market share.
- Develops and maintains a robust network of local, national, and international contacts within the New York market; actively prospects new business opportunities; attends industry and networking events to generate qualified leads.
- Identifies key calendar opportunities (e.g., NYFW, Frieze Art Week, Tech Week, and similar citywide events) and develops targeted outreach strategies to capture related private event business.
- Ensures compliance with all applicable insurance requirements, contractual obligations, health and safety standards, and venue policies in connection with private events.
- Conducts post-event follow-up with clients to obtain feedback, finalize billing, address payment inquiries, and cultivate repeat business opportunities.
- Reports to the Director of Events & Marketing and collaborates closely with Food & Beverage, Operations, and Culinary Management to ensure departmental alignment.

As the Senior Solution Advisor for Perioperative Services, you will be a critical subject matter expert and trusted advisor, bridging the gap between the client’s surgical and anesthesia departments and the capabilities of the Oracle Health (Cerner) Millennium EHR. Key Responsibilities:
Client & Stakeholder Engagement:
Serve as the primary consultant for perioperative leadership on all aspects of the Oracle Health SurgiNet and Anesthesia solutions.
Provide expert support and knowledge transfer on perioperative best practices, including governance for preference cards, block scheduling, and charge capture.
Work directly with client counterparts to facilitate design workshops, review deliverables, and drive consensus on perioperative workflow and build changes.
Solution Design & Workflow Analysis:
Lead the analysis and design of the end-to-end perioperative workflow, including case scheduling, pre-admission testing (PAT), intraoperative nursing and anesthesia documentation, and PACU.
Oversee the design and maintenance strategy for foundational elements like surgical preference cards, resource scheduling (rooms/equipment), and integration with supply chain/inventory management.
Define requirements for the Anesthesia Information Management System (AIMS), including its integration with bedside monitors via CareAware for real-time data flow.
Implementation & Solution Management:
Act as a lead or driver for testing events, including developing and documenting scripts in an Application Lifecycle Management (ALM) tool to validate complex surgical and anesthesia workflows.
Provide expert support for cutover planning, go-live execution, and post-go-live sustainment, including ticket management for perioperative issues.
Assist in the review of training manuals and job aids to ensure they accurately reflect the configured workflows and system design.
Required Qualifications:
Experience: A minimum of 5-7 years of combined experience in perioperative informatics, surgical services leadership, or as an OR nurse/technologist with significant "super user" or implementation experience.
Oracle Health/Cerner Expertise: Direct, hands-on experience with the Oracle Health (Cerner) Millennium platform. Specific expertise in SurgiNet, Anesthesia Management, Preference Card Management, and CareAware is required.
Domain Expertise: Demonstrated expertise in perioperative workflows, sterile processing, preference card management, surgical billing/charging, and resource management.
Communication: Excellent verbal and written communication skills, with the ability to effectively engage with both technical teams and senior clinical/surgical leadership.
Education: Bachelor’s degree in a related field. A clinical background and license (e.g., RN, CST) is strongly preferred.

The Trade Show & Event Coordinator owns trade show strategy, execution, and performance measurement across Canada, USA, Mexico, and Central America for Performance Materials, Human Nutrition, Animal Nutrition, Pharmaceuticals, and Personal Care.
This role ensures Barentz is represented as the premier distributor and technical expert in every market we serve. Trade shows must deliver measurable commercial impact while strengthening brand awareness and market positioning.
This is a cross-functional role partnering with Divisional Presidents, VP of Sales, Division Marketing Managers, Principal Managers, MAG, and Global Marketing.
Core Responsibilities
Trade Show Strategy & Calendar Ownership
- Develop and manage the annual trade show master calendar across Canada, USA, Mexico, and Central America.
- Align participation with divisional priorities, principal initiatives, and growth objectives.
- Establish measurable KPIs for each event including pipeline targets, qualified meetings, and brand exposure.
- Lead pre-event alignment and post-event debrief meetings.
When four or more trade shows overlap, partner with Division Marketing Managers to prioritize and support execution of key events.
Event Execution & Logistics
- Manage booth selection, contracts, booth builds, meeting room and suite rentals, and vendor negotiations.
- Oversee exhibit design aligned with global brand standards and vertical-specific messaging.
- Coordinate all operational requirements including material handling, furniture, flooring, electrical, rigging, cleaning, refrigeration, catering, audio-visual, and team registration.
- Procure and maintain booth assets, promotional materials, and giveaways.
- Manage shipping, samples documentation, customs (as required), installation, and breakdown logistics.
- Ensure premium execution consistent with Barentz brand positioning.
On-Site Oversight & Team Coordination
- Attend major trade shows where Barentz has significant financial investment or strategic importance.
- Provide on-site leadership to ensure brand standards and lead capture protocols are executed properly.
- Coordinate hotel accommodations, transportation, and team logistics.
- Define attendee roles, expectations, and meeting schedules prior to events.
Experiential Marketing & Promotion
- Plan traffic-driving initiatives including coffee stations, sponsorships, networking events, and customer entertainment.
- Partner with Sales and MAG to coordinate targeted prospect and customer meetings.
- Collaborate with Marketing on pre- and post-show promotion including LinkedIn, email campaigns, and principal visibility.
Lead Management & ROI Reporting
- Standardize lead capture and CRM/BRM integration processes.
- Ensure timely data entry and alignment with sales follow-up expectations.
- Track and report leads generated, qualified opportunities, pipeline value, revenue influenced, and cost per lead.
- Deliver post-event performance summaries within 10 business days.
Brand Awareness & Market Positioning
- Ensure each event reinforces Barentz as a premier distributor and industry expert.
- Elevate booth presence to reflect premium positioning and technical authority.
- Measure brand impact through inbound inquiries, digital engagement, principal feedback, and leadership evaluation.
Budget Responsibility
- Develop and manage the annual trade show budget across all divisions.
- Monitor booth, travel, activation, and promotional expenditures.

Opportunity
ChartRequest is looking to add a dynamic Event Marketing Manager to our growing team in the Scottsdale, AZ market. This role is central to our 2026 market expansion strategy and will be the primary driver of pipeline generation through conferences, trade shows, healthcare summits, and field marketing programs. The ideal candidate is an organized, creative, and results-oriented professional who can own the entire event lifecycle — from strategy and logistics to lead capture and ROI measurement.

Primary Responsibilities
• Event Planning & Execution. Own the end-to-end planning and execution of ChartRequest's presence at trade shows, healthcare conferences, regional summits, and company-hosted events (8–12 events per year). Manage logistics, vendor relationships, booth setup, travel coordination, and on-site staffing.
• Pipeline & Lead Generation. Partner with the Sales team to develop pre-event outreach campaigns, on-site engagement strategies, and post-event follow-up sequences designed to drive qualified pipeline. Track and report on event-sourced leads, opportunities, and closed revenue.
• Budget Management & ROI Tracking. Develop, own, and report on the event marketing budget. Analyze cost-per-lead, cost-per-opportunity, and overall event ROI to inform future investment decisions. Present findings at Customer Acquisition Committee meetings.
• Brand Representation & Activation. Ensure ChartRequest is consistently and compellingly represented at every event. Collaborate with Marketing and Design to produce booth materials, collateral, branded swag, and presentations that reinforce our market position.

Compensation

Hybrid Policy
This is a hybrid role based in Scottsdale, AZ. Team members are expected to be available for in-person collaboration at the Scottsdale/Phoenix office and are required to attend and staff events locally and nationally as needed. Some travel (25–40%) should be expected.
