Position Overview
The Project Manager – US Field Medical Capabilities will provide operational and project management support for the Medical Engagement Excellence (MedEngageX) team. This role is responsible for coordinating projects, managing meetings and training initiatives, maintaining communication tools, and supporting key business processes across multiple therapeutic areas.
The position plays a critical role in ensuring efficient project execution, streamlined workflows, and effective cross-functional collaboration under the guidance of the team supervisor.
Key Responsibilities
Project & Operational Support
- Provide day-to-day administrative and project management coordination for the MedEngageX team.
- Plan and manage multiple projects, meetings, and departmental initiatives.
- Coordinate meeting logistics, scheduling, agendas, documentation, and follow-up actions.
- Maintain project trackers and facilitate communication among stakeholders.
- Partner with MedEngageX leadership to identify opportunities to improve workflows, standardize processes, and enhance operational efficiency.
- Identify opportunities where technology or AI solutions can improve productivity and streamline processes.
Congress & Booth Operations
- Coordinate Congress booth staffing, scheduling, and priority coverage with MedEngageX Directors and Field Medical teams.
- Assist in developing training materials and executive summaries for congress events.
- Establish centralized communication channels such as Microsoft Teams and OneNote for congress activities.
- Support post-congress follow-ups, including collecting session summaries, coordinating debrief sessions, and distributing key updates.
- Manage meeting logistics and reservations to ensure smooth operations during congress events.
- Support planning sessions with US Field Medical teams.
Medical Insights Support
- Coordinate Medical Insights meetings and conference calls.
- Maintain and update Medical Insights presentation decks.
- Assist with compiling and distributing call notes and insights summaries.
- Maintain and update therapeutic area distribution lists.
Clinical Trials Support
- Maintain clinical trial communication distribution lists and tracking tools.
- Support project coordination for priority clinical trials when needed.
SharePoint & System Support
- Maintain MedEngageX resources within SharePoint and Veeva Portal.
- Ensure version control, accessibility, and organized documentation across therapeutic areas.
- Support collaboration with Global Strategy & Operations teams for system updates and content management.
Intern Support
- Serve as a secondary point of contact for summer interns, helping them understand internal processes and the MedEngageX function.
Event Logistics Management
- Provide logistical support for US MedEngageX meetings and internal events.
- Assist in creating engaging communication materials such as podcasts, narrated presentations, videos, and interactive content.
- Support storage, archiving, and documentation management across MedEngageX platforms such as SharePoint and Vault.
Additional Responsibilities

- Complete all required SOPs and training requirements within designated timelines.

Qualifications

- Independently lead the full proposal process—from concept to delivery—for custom, high-impact programs, ensuring alignment with client goals, budget, and brand identity.

About You
As a member of the Transportation Safety Department, the Transportation Safety & Compliance Administrator supports the Safety & Compliance Department by performing a wide range of administrative and data management tasks that help maintain the fleet’s overall safety and regulatory compliance. This role is responsible for establishing and maintaining comprehensive accident and damage files, updating federally mandated records such as the DOT Accident Register, and preparing monthly compliance reports. The position requires daily interaction with internal partners including Risk Management, Fleet Maintenance, and Safety Supervisors as well as external stakeholders such as insurance brokers, ticket management companies, and law enforcement agencies. The Administrator also prepares various departmental correspondence and provides general administrative support as assigned by the Manager of Safety & Compliance. Responsibilities:
The core functions of this position include, but are not limited to, the following:
- Establish, organize, and maintain comprehensive files for all accident investigations, tractor damage, trailer damage, and miscellaneous damage claims.
- Update and track all accident documentation to ensure accurate and complete file records.
- Maintain the DOT‑mandated Accident Register, ensuring all required incidents are logged and updated in a timely manner, according to DOT requirements.
- Manage data and create the Monthly Accident Register report for internal distribution.

Procurement

ESSENTIAL FUNCTIONS
Calendaring & Scheduling

Key Responsibilities:
Operations Leadership
- Serve as a strategic partner to the Executive Director and Director of Strategic Grantmaking, ensuring cohesive coordination across all operational functions in support of the Foundation’s mission
- Lead operational planning and support for Board meetings, staff retreats, and major organizational events ensuring these are aligned with and advance the Foundation’s vision
- Model and uphold the Foundation’s values, professionalism, and commitment to its mission in all internal and external activities, processes, and policies
- Perform other duties as needed in support of the Foundation’s operational success and its broader purpose.
Business Operations and Systems
- Provide strategic oversight and quality control, including identify opportunities for improvements, for core operational functions, including finance, human resources, grant administration and technology, ensuring alignment with organizational goals, mission and compliance standards
- Supervise and collaborate with Foundation staff and partners (e.g. Accountant, HR Consultant, IT Vendors) and manage relationships in ways that reflect the Foundation’s values and commitment to mission-driven work
- Oversee budgeting, forecasting, financial reporting, and audits in collaboration with finance partners; supervise compliance with nonprofit accounting standards and financial policies, including IRS regulations; present financial reports for internal use and Board review that support strategic decisions aligned with the Foundation’s mission
- Support effective recruitment, onboarding, performance management, and staff development efforts in partnership with HR consultant; promote a positive, mission-driven and inclusive workplace culture

- Supervise and support the Office Manager in the day-to-day administration of the Foundation’s physical office including office maintenance, vendor coordination, and share space management, and serve as a backup or point of escalation when needed to ensure continuity of operations
- Oversee office infrastructure and equipment, partnering with IT consultants to ensure systems are current, secure, fully functional and supportive of the Foundation’s core work and staff needs
- Maintain, ensure, and implement office procedures, safety protocols, emergency response plans, and up-to-date physical security systems

Compliance & Risk Management
- Monitor and manage organizational compliance requirements, including IRS filings, state registrations, and charitable filings in service of the Foundation’s integrity and accountability

Job Summary
The Director, Facilities Design is responsible for overseeing design projects for Sysco's global operations. Sysco Corporation's facilities design function is responsible for the conceptual design of new and renovated facilities including floorplans, site plans, and elevations. The design function works closely with Supply Chain Engineering, Construction, Finance, and Operations to develop facility designs that best meet the needs of the individual business units. The Sysco design team then collaborates with and directs outsourced architectural and engineering design teams to develop signed and sealed construction documents to be used for permitting and field operations. The Sysco design team is responsible for archiving and maintaining current all facility A/E and material handling system documents for all operations.
