Responsibilities
- Lead all phases of event production, from planning through on-site execution and post-show wrap-up
- Manage the onsite team (ranging from 5-100 people) leading the execution of the event
- Develop and manage event timelines, budgets, and production schedules
- Serve as the primary client contact throughout the project lifecycle

The Director of Event Planning and Graduate Engagement is a highly responsible position dealing with university and Foundation leadership, requiring consistent professionalism and effective communication.
The position will have a dual reporting line with the event portion of the position reporting to the Chief of Staff, Communications and Government Affairs and the graduate engagement reporting to Vice President for Development at the LSUHS Foundation.
The event portion of the responsibilities involves managing all institutional events to include: commencement ceremonies in May and August, White Coat Ceremony for MD’s and PA’s, Graduate Research Day, designated retirement receptions for high level and/or long tenured faculty or administrators, milestone events for degree programs and/or schools, celebratory events due to high level recognition of the institution, a school or individual, mini-med, Preview Days for Schools, etc. Additionally, event planning guidance and execution will be provided for department-level events.
The graduate engagement portion of the responsibilities involves coordinating alumni engagement for LSU Health Shreveport’s residency and basic science graduate programs. The institution has forty-seven accredited residency and fellowship programs and several PhD and Master’s tracks in the School of Graduate Studies. The LSU Health Sciences Foundation has traditionally managed LSU Health Medical Alumni affairs and assisted with alumni programming for the School of Health Professions and Sciences. This new shared position will, for the first time, extend the Foundation’s alumni engagement services to LSU Health Shreveport’s residency and basic science graduate programs.
Position will involve evening and weekend hours.
Regular attendance is required to perform the functions of this position.
Incumbent must understand that they are the university/Foundation representative with those they serve requiring the utmost professionalism in conduct and appearance.
Essential Position Functions and Duties
45% - Event Planning
- Consultation with clients to understand the scope and objectives of the event and to determine the optimal location on campus for the event.
- Reserve event location or locations.
- Plan all aspects of the event to include budget, timeline, venue, seating, menu, guest list, audiovisual needs, signage needs, parking, etc.
- Coordinate event logistics to include IT, UPD, environmental services being onsite, delivery of tables, chairs, tablecloths, florals, food, drink, etc.
- Timely engagement of LSUHS IT and/or audiovisual staff as needed for the event.
- Timely engagement of Medical and Strategic Communication for needed signage, invitations, and directional signage.
- Timely engagement of appropriate parties for any required contracts or agreements
- Timely engagement of Communications and Public Affairs for internal and/or external marketing of event
- Have access to travel schedules of all presenters to be certain of their availability at the time they are scheduled to appear/speak at event.
- Ensure all event operations are handled in a timely and efficient manner. A standardized event-planning document should be used for all events to avoid overlooking important aspects. A post-event document should be developed to allow for analysis of events to determine if they met goals and objectives, including the budget.
- Supervise staff involved in the execution of the event, including custodial staff, caterers, etc.
45% - Graduate Engagement
- Plan residency program and graduate school alumni programming that supports the school’s strategic priorities and aims to increase alumni engagement and gift participation, targeting engagement and relational stewardship.
- Ensure accurate and complete residency program and graduate school alumni database records by capturing relevant contact, biographical, and career information through alumni communication vehicles and in-house research.
- Establish and build relationships with residency program and graduate school alumni through reunions and national conference events, as well as regular communication via direct contact, email, website, social media, etc.
- Collaborate closely with development colleagues to increase residency program and graduate school alumni support, identify and qualify prospects for giving, communicate development-related interactions via contact reports, and attend prospect management meetings
- In consultation with the LSU Health Shreveport Communications Office, develop a communications engagement strategy which may include print, websites, email, social media, etc.
- Collaborate with Foundation colleagues to establish a strategic plan for the department-based residency program alumni annual fund, ensuring it aligns with overall Institutional fundraising goals and maintains a cohesive and consistent message.
Qualifications
Minimum
- A two-year degree with six years of proven experience in event planning for large events (minimum 500 attendees), plus proven experience in strong relationship building and management.
- Bachelor’s Degree or Industry Certification from an accredited university, preferably in event management, hospitality, communications, project management, and/or a related field, with a minimum of five years of proven event planning and relationship management experience.
- MS Office Proficiency
- Exceptional organization and time management skills to plan and execute all aspects of an event efficiently, within set deadlines and budget.
- Strong communication and interpersonal skills to effectively liaise with staff, vendors, stakeholders involved in graduate medical education, including residents/fellows and their program directors and GME office staff.
- Possess proven creativity to design and implement high-quality, unique events based on client input and budget
- Possess proven ability to compile, maintain and utilize data to enhance relationship between LSUHS Foundation and LSUHS residents and fellows (GME).
Preferred Qualificaitons
- A four year degree with five years of proven experience in executing multiple, large events (1,000+) in a short timeframe among highly educated professionals. Experience in relationship building with highly educated individuals in an academic setting.

OBJECTIVES

KEY RESPONSIBILITIES
Event Leadership & Execution

Team Leadership, Training & Development

- Design and deliver a comprehensive seasonal onboarding and training program for Event Managers and AEMs, equipping them to lead FOH and BOH operations to WOI standards
- Support Event Managers in hiring, onboarding, and developing the 250+ seasonal employees in their teams
- Build a culture of accountability, clear communication, and operational excellence across the entire seasonal workforce
- Establish performance expectations, conduct evaluations, and partner with our staffing team on strategy and workforce planning
- Serve as the primary escalation point and field coach for Event Managers navigating complex operational situations
Events Coordinator Oversight
- Supervise the Seasonal Events Coordinator, who provides administrative support across all event operations
- Ensure the Coordinator maintains accurate records, documentation, and operational tracking across markets
- Leverage the Coordinator role to keep logistics, scheduling, and cross-team communication running smoothly throughout the season
Guest Relations Oversight
- Supervise the Seasonal Guest Relations Coordinator, who manages a team of Guest Relations Representatives and all customer-facing service channels
- Ensure the GR Coordinator establishes and upholds consistent service standards for handling guest inquiries, ticketing reschedule requests, refunds, and chargeback escalations
- Review escalated guest issues and set clear resolution frameworks and response time standards
- Monitor guest satisfaction metrics, NPS scores, and CRM reporting to identify service trends and drive continuous improvement
- Ensure all guest-facing channels : from in-person relations to digital inquiries : reflect WOI’s commitment to an exceptional guest experience
Operational Systems & Optimization
- Design and maintain scalable operational systems, documentation, and reporting frameworks
- Identify and implement improvements to reduce friction and increase efficiency as WOI grows
- Oversee admissions and merchandise inventory to optimize sales performance and prevent shortages
- Use operational data to identify trends, guide decisions, and surface insights for leadership
- Collaborate cross-functionally with Marketing, executive leadership, and other departments.
Budget & Vendor Management
- Develop and manage seasonal event budgets covering labor, equipment, and operational expenses
- Build and maintain strong vendor and partner relationships that support high-quality production
- Negotiate contracts and ensure all deliverables meet company standards, timelines, and budget targets
- Monitor financial performance and identify cost-saving opportunities without compromising guest experience
Post-Season Evaluation & Planning
- Lead post-event and post-season operational reviews covering performance, guest satisfaction, and financial outcomes
- Document lessons learned and operational insights to strengthen systems ahead of the next season
- Present findings and strategic recommendations to VP of Operations and executive leadership
- Support succession planning to develop Event Managers for expanded responsibilities season over season
QUALIFICATIONS & REQUIREMENTS
- Bachelor’s degree in Event Management, Hospitality, Business Administration, or related field preferred
- Proven experience in large-scale live event operations, seasonal entertainment, or venue management
- 3+ years of experience leading and managing teams : multi-site and seasonal workforce experience strongly preferred
- Demonstrated success training and developing event managers or supervisors who lead frontline teams
- Experience managing or overseeing customer service or guest relations functions, including complaint resolution, refunds, and chargeback escalations
- Deep knowledge of event logistics, FOH/BOH operations, safety compliance, and risk management
- Advanced proficiency in ticketing platforms, box office operations, and CRM software (ZenDesk preferred)
- Strong background in guest relations and service excellence standards
- Proficiency in G-Suite; experience with Deputy or similar workforce scheduling software is a plus

OVERALL PURPOSE
The Senior Event Marketing Manager is responsible for the strategic planning, development, execution, and optimization of a comprehensive portfolio of high-impact events that support brand awareness, client engagement, employee culture, and business growth. This role oversees a high-volume annual event calendar (300+ events per year), including high-profile sponsorship activations, customer appreciation events, executive programs, internal employee engagement events, and community initiatives.
This position leads the end-to-end event marketing lifecycle—from strategy and planning to execution and measurement—ensuring each event delivers exceptional experiences aligned with brand standards and organizational objectives. The Senior Event Marketing Manager works cross-functionally with internal stakeholders, external agencies, and vendors to deliver premium, high-touch events while maintaining operational excellence, budget discipline, and measurable outcomes.
Ensures all activities comply with applicable laws, regulations, and organizational policies.
ESSENTIAL RESPONSIBILITIES
35% – Strategic Event Planning and Program Management
Develops and manages a comprehensive annual event strategy aligned with organizational marketing and engagement objectives. 30% – Event Execution, Logistics, and Stakeholder Management

Partners closely with senior leadership, marketing teams, internal stakeholders, and external partners to coordinate logistics, messaging, and program delivery. Ensures seamless execution and quality control across all events while managing multiple concurrent initiatives.
20% – Sponsorship and Partnership Activation
Manages strategic sponsorships and partnership activations, ensuring maximum brand visibility and engagement opportunities. Oversees sponsorship deliverables, asset coordination, stakeholder communications, and activation strategies to ensure contractual obligations and brand objectives are met.
Works with marketing, communications, and community teams to maximize the value of sponsorship investments through integrated event experiences and strategic storytelling.
10% – Budget Management and Performance Measurement
Develops and manages event budgets, forecasts, and financial tracking across the event portfolio. Evaluates vendor proposals and negotiates contracts to maximize cost efficiency while maintaining premium event quality.
Tracks event performance through defined metrics including attendance, engagement, brand exposure, and stakeholder feedback. Uses insights to continuously improve event strategy and execution.
5% – Cross-Functional Collaboration and Program Support
Partners with marketing, communications, leadership teams, and external agencies to support integrated campaigns and organizational initiatives. Provides guidance and best practices related to event marketing strategy, operations, and experience design.

The Contractor shall provide event management support for Mplify’s Global NaaS Events Series, a year-round member engagement platform which includes two Summits (EMEA, Americas) virtual events/webinars and regional workshops.
