About the Role

Position Overview
The Senior Executive Assistant helps keep the Executive Director’s (ED) work running smoothly by managing their calendar, scheduling meetings, handling communications, and making sure they are prepared for daily tasks. This role involves organizing travel for the ED, preparing materials for meetings, and keeping records up to date. The Senior Executive Assistant also supports the wider team by helping with meetings, keeping systems organized, and assisting with team events and staff development. They assist with planning and running Board meetings and support other special projects and events. The successful candidate brings experience supporting senior leaders, is confident managing complex calendars and communications, exercises discretion, and works well in fast-paced, collaborative environments.
Roles and Responsibilities
Executive Support (60%)
- Manage the Executive Director’s (ED’s) calendar, scheduling, prioritization, and daily and periodic logistics.
- Serve as the primary administrative contact for the ED; screen and route communications, requests, and inquiries, ensuring timely responses and discretion with sensitive matters.
- Track tasks, correspondence, and follow-up action items to support executive priorities; provide prompts for the ED to follow-up, as needed.
- Prepare the ED for meetings, engagements, and presentations by coordinating materials, talking points, background information, draft slide decks, and briefings.
- Draft, edit, and format professional correspondence and communications.
- Coordinate travel arrangements and maintain organized filing systems for the ED’s projects and records.
- Maintain key calendars related to governance, stewardship, partner organizations and member Tribes events, and grants to ensure that the ED has timely access to critical dates and deadlines.
Internal Operations and Organizational Coordination (15%)
- Manage meeting logistics for the office, as directed, including scheduling, calendar invites, attendance tracking, meeting packets, communications, venue reservation and set-up, meals, audio-visual set-up, and follow-up.
- Maintain internal systems, including contact lists, shared calendars, dashboards, and directories.
- Maintain and improve administrative systems, processes, and documentation to enhance organizational efficiency.

Board and Governance Support (10%)
- Coordinate logistics, and scheduling for Executive Board and committee meetings, retreats, and orientations.

- Cross-Functional Communication: Serve as a key point of contact on production status for creative and production teams, as well as brand marketing, channel teams, photo studios, and other internal stakeholders.
- Asset Management: Work with Operations to support end-to-end asset management—from capture and ingest through final delivery. Help manage workflow from raw assets to final files and use brand creative platforms to share works-in-progress and final deliverables.
Requirements

Solarcore is looking for an experienced Government Product Line Manager (PLM) to support our expansion into United States Government business, including Department of Defense contracts and federal procurement. This person must be well-versed in navigating the complex world of government contracting, compliance, and logistics.
The ideal candidate will have a deep understanding of government sales, defense procurement cycles, and must have a proven track record of securing & supporting government contracts while working within the DoD Procurement Processes.
As our Government PLM, you will need to be passionate about creating new to the world solutions across a wide variety of applications, ensuring that our products align with federal procurement standards, and developing and managing the stage gate process to smoothly move products from the ideation to the final commercialization phase.
This position will report to the VP of Product and will be a main point of contact for the entire Solarcore executive team.
Key Responsibilities
· Work with Solarcore's Government Business Development Team, OEMs, and Program Managers to understand requirements for success for all government projects and communicate this to the PD team.
· Understanding of Mil-spec requirements and standardized testing methods such as (ASTM, ISO, Oeko Tex, NFPA).
· Manage product responses to RFPs, RFQs, and government solicitations, ensuring competitive, compliant proposals.
· Develop and maintain relationships with OEMs and Program Managers across multiple channels.
· Manage the full life cycle with OEM partners to ensure continued success.
· Ensure our products are built to compliance standards (Berry Amendment, FAR , DFARS, etc.).
· Assist in developing pricing strategies for contracts of all sizes.
· Assist in 5-year planning and product roadmap for all government needs.
· Assist in creating standalone material and full application validations by designing DOEs.
· Lead internal stage gate process for the government channel.
· Track, understand, and summarize competitor products, markets, and pricing.
· Attend industry events, sales meetings, and supplier visits.
· Assist in preparing for government audits and performance reviews.
Experience and Requirements
· 5+ years of experience in government sales, contracting, or compliance, ideally in DoD, aerospace, defense, or advanced materials.
· 3+ years of project management in government sales, contracting, or compliance, ideally in DoD, aerospace, defense, or advanced materials.
· 5+ Experience working with military or defense agencies & prime contractors.
· Active security clearance or the ability to obtain one is required.
· Ability to coordinate with cross-functional teams (Sales, R&D, Operations, Legal, and Finance) to ensure compliance and execution.
· Strong understanding of defense apparel, military cold-weather gear, or industrial insulation applications is a plus.
· Passion for building things from the ground up and continued improvement of both products and processes.
