We are seeking a highly organized and detail-driven Tenant Coordination Manager to join an active owner and operator of retail assets based in Irvine, CA. The Tenant Coordination Manager is responsible for overseeing all phases of tenant delivery within a retail environment, ensuring that shops, restaurants, and service retailers are designed, built, and delivered according to schedule and lease requirements. This role supports the successful opening of retail tenants by coordinating across leasing, construction, design, operations, and tenant teams. The ideal candidate understands the unique demands of retail build-outs—including signage requirements, health department and restaurant permitting, and strict grand-opening timelines.
What You’ll Do:
- Act as the primary liaison between retail tenants, leasing teams, architects, contractors, and internal departments.
- Clearly define project scope, retail design criteria, and opening timelines to ensure coordinated execution.
- Support retailers in understanding landlord requirements related to storefront design, merchandising zones, and operational standards.
- Review and approve retail tenant plans, including storefront design, signage, kitchen layouts (for F&B tenants), MEP requirements, and construction drawings.
- Track tenant construction progress and ensure adherence to approved plans and retail center standards.
- Manage all contractor documentation, change orders, and project files.
- Review pay applications, verify vendor invoices, and process tenant improvement (TI) allowances in accordance with lease terms.
- Conduct site walks and generate punch lists for storefronts, interiors, and back-of-house areas.
- Confirm tenant insurance compliance and verify that all construction work meets local code, retail-specific standards, and lease requirements.
What We’re Looking For:
- Experience: Minimum 5 years of tenant coordination, construction management, or project management experience, ideally within retail real estate or shopping center environments.
- Technical Knowledge: Strong understanding of retail construction processes, storefront design, signage, restaurant build-outs, mechanical/electrical/plumbing (MEP) systems, and life-safety requirements.
- Software Proficiency: Microsoft Office Suite required; experience with Yardi or other property management systems preferred.
- Project Management: Proven ability to manage multiple simultaneous retail projects, track budgets, coordinate contractors, and meet grand-opening deadlines.

JOB SUMMARY:
As a Project Manager, you will be accountable for the overall direction, coordination, implementation, execution, control and completion of any given project. Additionally, the Project Manager ensures budget and deadlines are met and consistent with project standards.
DUTIES AND ESSENTIAL JOB FUNCTIONS:
- Create a Schedule of Values for our pay applications and submit to the General Contractor.
- Analyze the construction schedule and create a schedule for submittals, material ordering and estimated field labor durations & project completion.
- Create submittals for doors, frames and hardware from architectural plans and specification.
- Manage and respond to electronic contractual changes (RFI’s, PC’s, Etc.). Quote changes that affect our material and/or labor cost. Distribute Change Order Due letters to the contractor.
- Order materials (Purchase orders) from approved submittals for timely delivery according to the construction schedule or as agreed upon with the contractor for billed and stored material.
- Support the Performance Door project field supervisor for the timely delivery of materials according to the construction schedule. Send field use drawings periodically reflecting updated schedules incorporating project revisions.
- Provide monthly pay application to the accounting department including back up documentation for stored or FSC materials.
- Actively pursue contractual “Change Orders” from “price and proceed” CO Due letters. Take an active role in collecting money.
- Approve weekly vendor invoices for payment. Check vendor costs against our purchase order.

QUALIFICATIONS & EXPERIENCE
- 1–3 years of experience in a customer-facing role (Customer Success, Support, Account Management, Sales, or similar), preferably in a SaaS environment.
- Strong interest in Customer Success, customer experience, and technology.
- Excellent communication skills—written, verbal, and interpersonal.
- Highly organized with the ability to manage multiple tasks and priorities.
- Comfortable working with data and learning how to use metrics to guide decisions.
- Experience with tools like Zendesk, , CRM systems, or similar platforms is a plus.

Our ideal candidate has excellent communication skills, and a positive attitude, is a problem-solver with outstanding attention to detail, and has the ability to collaborate with team members. This person will be responsible for managing a portfolio of Commercial properties (office, retail, and/or industrial) in the Greater Bay Area. The ability to multi-task, manage complex schedules, take initiative, and meet deadlines in a fast-paced environment is essential for the position. As a Property Manager, you will be involved in all aspects of managing your assigned portfolio, from daily operations and financial activities to maintaining important relationships with our tenants, property owners, and vendors.
Compensation Package:
- $ 85K-93K + year-end gift

Workplace:
Where is the office? Our office is located within the Cochrane Business Ranch complex in Morgan Hill. The office is open Monday – Friday from 8:30 am -5 pm. This is an in-person position as we do not offer remote or hybrid schedules.
What is the office environment? While each person has a set list of duties and responsibilities, we often collaborate and foster a Team atmosphere. Our office is aesthetically pleasing with living plants and artwork, and our kitchen is always fully stocked with snacks and beverages to cultivate a supportive and productive work environment!
Responsibilities:
- Lease administration to include collections and compliance. Familiar with lease agreements, extensions, amendments, and other related documents
- Negotiate and document transactions with existing tenants
- Perform routine property site inspections
- Bid, negotiate, and manage all vendor contracts
- Accurately abstract all leases into Yardi Voyager
- Interface with property owners on an ongoing basis to maintain positive relationships
- Prepare operating and capital budgets, annual expense reconciliations, and tenant billbacks on time. Have a strong knowledge and understanding of CPI adjustments, escalations, recoveries, etc.
- Oversee and manage all tenant improvements, market-ready work, and property construction projects
- Approval of property expenses and payment vouchers
- Ensure tenant compliance with all insurance requirements
- Arrange for alterations, maintenance, repairs, and upgrades in accordance with the budget or management plan
- Communicate with Service Coordinator on tenant service requests
- Manage tenant move-in/move-out process
- Post tenant payments in Yardi-Elevate, A/R review, prepare past due notices and statements to tenants
- Review month-end financial reports and send to clients
- Prepare and send out tenant notices, memorandums and other communication
- Research and analyze services i.e.: garbage, utilities, and other work for proper service levels
- Other duties as may be assigned
Required Skills, Knowledge, and Experience:
- A high school diploma or a general education degree (GED) is required. Associates' or Bachelor's degree strongly preferred
- A California Real Estate Salesperson or Broker license is required
- A valid driver’s license, own a reliable vehicle, and maintain automobile insurance
- 3+ years of commercial real estate property management with increasing responsibilities. Please note that candidates with only residential property management experience will not be considered at this time
- Proficiency in the use of Microsoft Office Suite, Yardi Systems required
- Familiarity with Zoom, Slack, and Asana preferred
- Exceptional customer service skills
- Excellent oral, written, and interpersonal communication skills
- Ability to analyze, discern, prioritize, and problem solve
- Strong time-management and multitasking abilities
- Maintain the confidentiality of company information
- Ability to move, carry, or lift objects of varying sizes, weighing up to 25 lbs
- This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers
- Driving in varying weather conditions to properties is regularly required
