POSITION TITLE: Senior Administrative Coordinator

POSITION OVERVIEW
The Senior Administrative Coordinator plays a critical role in supporting the organization’s day-to-day operations and administrative functions across teams. This position requires exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced, dynamic environment.
The Senior Administrative Coordinator is responsible for complex calendaring and scheduling, preparing and maintaining accurate reports and records, and ensuring thorough documentation of Board, Executive Committee, and key organizational meetings. The role also provides coverage for front desk operations as needed to ensure continuity of service.
ESSENTIAL FUNCTIONS
Calendaring & Scheduling
- Manage heavy and dynamic calendars for multiple staff and executive team members, balancing competing priorities and making real-time adjustments as needed.
- Coordinate meetings across multiple time zones and internal and external stakeholders, ensuring clear logistics, timely communication, and accurate calendar details.
- Anticipate scheduling conflicts and proactively recommend solutions to support efficient use of time and smooth workflow.
Meeting & Governance Support
- Prepare, record, and distribute accurate meeting minutes for all Board and Executive Committee meetings in accordance with established timelines.
- Provide audiovisual (AV) setup and operational support for meetings, ensuring equipment is prepared, functional, and issues are addressed promptly to support meeting continuity.
- Maintain and organize official Board and Executive Committee records, ensuring prior-month meeting minutes are reviewed, finalized, approved, and properly archived after each meeting, in accordance with established quality standards, timelines, and accuracy requirements.
- Coordinate and process Board and Executive Committee resolutions, including obtaining required signatures promptly and filing fully executed documents in the designated resolution folder immediately following meetings.
- Track and document all electronic votes (e-votes), including related email correspondence, ensuring each action is accurately recorded and stored in the appropriate governance folders.
Reporting & Documentation
- Build and maintain HR and Finance reports as assigned, ensuring data accuracy, consistency, and timely completion.
- Compile and organize information for recurring and ad hoc reporting, including payroll-related data and compliance requirements.
- Track, reconcile, and report monthly expenses for staff, ensuring completeness, accuracy, and adherence to internal reporting standards and deadlines.
Administrative Support
- Provide comprehensive administrative support primarily to the HR and Finance teams, with additional support to other departments and staff as needed.
- Maintain confidential records and files, handling sensitive information with discretion and in accordance with organizational policies.
- Provide project and research support, including gathering information, tracking tasks, and supporting follow-through as assigned.
- Oversee the inventory, maintenance, and upkeep of organizational equipment and property, ensuring assets are functional, tracked, and properly maintained.
- Coordinate and manage building maintenance services, serving as the primary point of contact to ensure requests are addressed promptly and fully resolved.
SCHEDULE REQUIREMENTS
- This is an exempt position that requires schedule flexibility, including availability during early mornings (as early as 7:00 a.m.) and evenings (after 5:00 p.m.), as needed to support Board and organization-related meetings and events.

- Advanced proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, Teams, and Planner, with the ability to produce accurate, professional-quality documents and reports.
- Strong experience creating forms and fillable PDFs using Adobe Acrobat, including formatting, version control, and usability considerations.

- Monitor branch performance metrics and implement strategies to meet goals.
- Drive and grow the office's loan and deposit portfolios through proactive client relationship management, business development, and community engagement.
- Manage the office's daily operations, including cash flow, reporting, account management and security procedures.

Maintains a strong pipeline of prospects through proactive business calling. Ask questions to understand the needs/goals of the business to make appropriate recommendations while looking for opportunities to bring in partners to help strengthen the business's relationship with the bank. Builds the bank's presence in the community.
- Community Office Manager, AVP- Including the above plus independently processes all Business Banking loan requests up to $250,000. Has the capacity to review and understand financial statements, providing an appropriate analysis of business performance.
- Community Office Manager, VP- Including the above and focuses on high level strategy, financial performance, and risk management.

QUALIFICATIONS, EDUCATION, & EXPERIENCE
To perform this position successfully, an individual must be able to perform each essential position requirement satisfactorily and a skills inventory is listed below. A high school diploma or general education degree (GED) is required, with related experience and secondary education preferred. A background screening will be conducted.
- LANGUAGE SKILLS: Ability to read, comprehend, and interpret documents. Possesses professional communication and interpersonal skills to write and speak effectively both one-on-one and before groups of clients or employees of the organization. Ability to communicate to clients directly and effectively.
- TECHNOLOGY SKILLS: Ability to utilize telephone systems and possess good digital literacy including email, internet and intranet use. Prior experience or the ability to learn core transaction system, debit card system, statement processing system, cash advance machines and any other computer programs pertinent to performing job duties.
- MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure.
- REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to solve challenging problems involving several variables in a standardized situation.

This position operates in a professional office environment with considerable time spent at a desk using office equipment such as computers, phones, and printers. Responsibilities:
- Recruiting Process- Identifies opportunities for efficiencies in the recruiting process, diligently tracks efforts and suggests solutions for efficiency increases. Assists the HR Director with identifying and recommending salary ranges, incentives, start dates, and other pertinent details.
- Job Posting- Collaborates with department managers to draft detailed and accurate job descriptions, hiring criteria and job scorecards. Owns the job posting process. Identifies optimal posting strategies and channels incl. unchartered channels.
- Candidate Search- Conducts proactive searches for qualified applicants through approved channels. Screens applications and pre-selects qualified candidates. Attends and participates in college job fairs and recruiting sessions with the objective to recruit for active openings as well as build a candidate pipeline.
- Application Process- Owns the application process through the offer stage and proactively drives candidates forward incl. liaison and follow-up with hiring managers, scheduling, application review, interview preparation and assistance with conducting interviews. Provides full set of information and makes fact-based recommendations on hiring decisions to the HR Director.
- Reporting- Diligently tracks recruiting efforts and reports on required metric. Meets recruiting targets.
- Onboarding- Manages new hire onboarding with the help of the HR Assistant, ensures a stellar onboarding experience and process integrity through all stages.
Requirements:
- Recruiting experience required. College education in Human Resources, Business
Administration, Psychology, or related field strongly preferred. Experience recruiting in banking preferred. - Experience in an administrative or support role required.
- Proactive self-starter with the ability and desire to thrive in a fast-paced, fast growing environment with frequent routine changes that require adaptability and flexibility.
- Ability to anticipate needs, use all available resources and complete assigned tasks with limited oversight.
- Excellent communicator both spoken and in writing; ability to connect and communicate with a wide range of stakeholders up to and including C-Suite leadership.
- Excellent knowledge of MS Office products and ability to learn new technology quickly.
