Position Overview

The Senior Executive Assistant helps keep the Executive Director’s (ED) work running smoothly by managing their calendar, scheduling meetings, handling communications, and making sure they are prepared for daily tasks. This role involves organizing travel for the ED, preparing materials for meetings, and keeping records up to date. The Senior Executive Assistant also supports the wider team by helping with meetings, keeping systems organized, and assisting with team events and staff development. They assist with planning and running Board meetings and support other special projects and events. This is a key role that works closely with many people and helps the organization stay organized and on track. The successful candidate brings experience supporting senior leaders, is confident managing complex calendars and communications, exercises discretion, and works well in fast-paced, collaborative environments.


Roles and Responsibilities

Executive Support (60%)

  • Manage the Executive Director’s (ED’s) calendar, scheduling, prioritization, and daily and periodic logistics.
  • Serve as the primary administrative contact for the ED; screen and route communications, requests, and inquiries, ensuring timely responses and discretion with sensitive matters.
  • Track tasks, correspondence, and follow-up action items to support executive priorities; provide prompts for the ED to follow-up, as needed.
  • Prepare the ED for meetings, engagements, and presentations by coordinating materials, talking points, background information, draft slide decks, and briefings.
  • Draft, edit, and format professional correspondence and communications.
  • Coordinate travel arrangements and maintain organized filing systems for the ED’s projects and records.
  • Maintain key calendars related to governance, stewardship, partner organizations and member Tribes events, and grants to ensure that the ED has timely access to critical dates and deadlines.

Internal Operations and Organizational Coordination (15%)

  • Manage meeting logistics for the office, as directed, including scheduling, calendar invites, attendance tracking, meeting packets, communications, venue reservation and set-up, meals, audio-visual set-up, and follow-up.
  • Maintain internal systems, including contact lists, shared calendars, dashboards, and directories.
  • Maintain and improve administrative systems, processes, and documentation to enhance organizational efficiency.
  • As directed by the ED, support internal team culture by coordinating onboarding and internal communications.

Board and Governance Support (10%)

  • Coordinate logistics, and scheduling for Executive Board and committee meetings, retreats, and orientations.
  • Prepare meeting materials that include draft agendas, talking points, presentation slides, and collating background information.
  • Prepare, archive, and track Board documentation such as agendas, minutes, reports, and follow-up actions.
  • Provide administrative support to Board members, including travel arrangements, reimbursements, and other requests.
  • As directed, assist the ED with coordination of special projects in collaboration with Tribal leaders of ATNI member Tribes, ATNI Committee Co-Chairs, and other high-priority partners.
  • Take notes and develop draft meeting minutes.

Event and Project Support (10%)

  • Support the ED by facilitating communications with Member Tribes and dignitaries to ensure timely distribution of event announcements, updates, and related communications.
  • Assist with strategic projects by conducting background research and preparing materials.
  • Collaborate with cross-functional teams to plan, support, and document project activities and deliverables.
  • Provide operational assistance to ATNI staff as directed by the ED.

Other Duties as Assigned (5%)

  • ATNI is a growing organization. You may occasionally be asked to support ATNI activities that are outside of this position description.

Required Qualifications

  • At least three years of experience in executive-level administrative support, operations coordination, or a similar role.
  • Demonstrated success managing complex calendars, scheduling, and high-level logistics.
  • Strong writing and editing skills, including experience preparing materials for meetings and events.
  • Proven ability to manage tasks independently while maintaining strong attention to detail and meeting deadlines.
  • Experience with supporting cross-functional teams, including coordinating projects or meetings.
  • Proficiency with standard office and collaboration tools (e.g., Microsoft Office, Google Workspace, Zoom).
  • Willingness and ability to occasionally travel for meetings, events, or retreats.
  • Experience working with diverse communities.


Preferred Qualifications

  • Experience working in a Tribal organization, inter-Tribal association, or Native-led nonprofit.
  • Familiarity with nonprofit Board operations, including minute-taking and governance logistics.
  • Background supporting internal operations such as staff engagement and project tracking.
  • Experience coordinating events or retreats, including logistics, materials, and vendor relations.
  • Knowledge of key Tribal issues or initiatives related to governance, climate, education, and/ or economic development.
  • Experience working within non-profit, membership-based organizations

Work Conditions

This is a regular, full-time exempt position based at ATNI’s Portland office. Working hours are Monday through Friday, with occasional weekends and evenings. Employment is dependent upon the successful completion of a background check.


Travel

This role will be required to travel to in-person meetings and will travel throughout ATNI’s territory (Oregon, Washington, Idaho, Western Montana, Northern California, Nevada, and Southeastern Alaska) frequently and occasionally nationally. Travel for this position is estimated at 15-20% of the time. Employees receive mileage reimbursement and per diem allowances consistent with Federal rates.

As an eLearning Instructional Designer and Developer you will be a key contributor to this training by helping to advance and innovate the on-demand training program which currently includes close to 100 courses, certificate programs, and a certification program. This role is a full-time hybrid (position based in the New York, N.Y. headquarters).

About the Position

Join the skilled ANA MTDC team delivering top-tier self-paced learning to leading organizations worldwide. We are seeking an experienced eLearning Instructional Designer and Developer (IDD) to both design and develop interactive eLearning course experience. Development will be your primary responsibility, and instructional design will be your secondary responsibility. As an instructional designer, you will help identify content needs, build a pipeline of design and development projects, work with subject matter experts to develop/update/redesign instructional materials based on proven instructional design methods, and collaborate with course developers. As a course developer, you will be very skilled in technical course development and convert instructional materials into interactive/engaging courses using various course authoring software, platforms for AI-generated content and videos, visual/graphic design tools, and audio/video software.


What You Will Be Doing


Instructional Designer (approximately 30% of your time, subject to change based on business needs):

  • Creating, managing, and maintaining the scope of the course design and development projects
  • Identifying marketing industry learning needs and on-demand channel gaps for course development projects
  • Identifying and working with subject matter experts on the on-demand course projects and keeping the course development pipeline filled on an on-going basis
  • Refining supportive course design processes and templates for subject matter experts
  • Following established eLearning design and development standards/guidelines, while continually enhancing them with innovative approaches
  • Designing instructional materials with subject matter experts that will deliver engaging and interactive eLearning courses with multiple lessons, case studies, activities, knowledge checks, downloadable tools, and assessments
  • Designing new microlearning courses and AI-generated course learning experiences
  • Creating eLearning activities that provide practical learning application and enhance retention
  • Developing storyboards, video scripts, and audio scripts for course development
  • Applying knowledge of copyright and intellectual property guidelines for eLearning
  • Collaborating with course developers on the vision for eLearning courses and providing guidance for compelling learning experiences and outcomes


Course Developer (approximately 70% of your time, subject to change based on business needs):

  • Building, redesigning, and/or updating SCORM compliant courses using course authoring tools, primarily Storyline 360, RISE, and other platforms (e.g., HeyGen) that use AI to generate content and course videos
  • Refining and building new supportive course development project processes and course templates
  • Creating multimedia, visual/graphic design, and interactive course solutions
  • Supporting audio production, producing videos, and editing audio/video for course development
  • Collaborating with instructional designer on the vision for eLearning courses and providing compelling learning experiences and outcomes
  • Performing quality assurance (QA) and testing of courses prior to their release
  • Collaborating with LMS administrator on testing, publishing, and launching of courses on the LMS and ANA website


Both Roles:

  • Building cross-functional partnerships and working with all project stakeholders internally and externally
  • Continually evaluating user feedback and working to ensure all instructional materials are consistent and up-to-date and redesigning/updating course content when needed
  • Maintaining well organized project documentation and folders with all content and course assets
  • Providing customer support help as needed for member, registration, course, and LMS inquiries
  • Other eLearning instructional design and development responsibilities as deemed necessary for the business


What We Need to See From You

  • Bachelor's degree along with a minimum of 3-5 years of experience designing eLearning instructional design materials with subject matter experts (approximately ten or more projects annually) and
  • developing eLearning courses (including microlearning) in Storyline 360, RISE, and platforms that provide AI-generated content and course videos (e.g., Synthesia) (approximately ten or more course projects annually)
  • Exceptional knowledge and working experience in the application of adult learning theories and instructional design approaches in eLearning courses
  • Excellent communication (written, verbal, interpersonal) and collaboration skills – with the ability to provide thoughtful and logical feedback to subject matter experts
  • Ability to write effective copy and instructional text with proven grammar and editing capabilities
  • Above average proficiency in Microsoft Office applications, especially in PowerPoint – you should be a super user!
  • Strong multimedia skills specifically visual/graphic design skills and audio/video development and editing capabilities – to enhance the learning experience – a must have!

Salary and Total Rewards Package

GENERAL SUMMARY OF POSITION:

The Videographer is responsible for the end-to-end production of high-quality video and photo

content. This role oversees both pre- and post-production workflows, including shooting, editing, and equipment maintenance, to support diverse marketing initiatives and company events. The

Videographer ensures all visual assets align with established brand standards and contribute to the

overall growth of the company’s digital presence.


CORE & ESSENTIAL:

TASKS:

● Create, produce and edit high quality videos (footage, motion graphics, narration, music, etc.),

audio, and photography for marketing initiatives, company events and social media

● Responsible for lighting and shooting a diverse range of high-quality video content;

maintaining video, lighting, and audio equipment; and naming, transferring, and storing media

● Conduct professional photography at various job sites and company events to support

marketing assets.

● Ensure all marketing materials reflect the Company’s brand character and adhere to established

brand standards.

● Determine and prepare necessary equipment for each job, including cameras, audio and video

QUALIFICATIONS & SKILLS:

Possession of a high school diploma or equivalent, a four-year college degree in Visual

Communication Technology (VCT) or a related field and 2 to 4 years of work experience in video

editing required. In lieu of a degree, a comparable combination of education, job specific

certification(s), and experience (including military service) may be considered. Need to be

comfortable with heights; ability to climb ladders/extension ladders. Ability to climb, traverse and

maneuver across different roof levels while adhering to fall protection requirements as necessary.

Skills required in Adobe Creative Cloud include Premiere Pro, After Effects, Photoshop, and Audition. Knowledge in InDesign, Illustrator, Acrobat along with proficiency in Microsoft Office a

plus. Adherence to health and safety regulations (e.g. use of protective gear). Driving is a requirement for this position. Must have the ability to think creatively, multi-task, work independently and also cooperatively as a team member. Must be able to work with minimal supervision and ability to create on a short deadline. Must possess excellent verbal and written communication skills.
