Director of AI Initiatives & Adoption
✦ New
Salary not disclosed
Pinecrest, FL 1 day ago

** We will only consider applicants who are currently residing in South Florida**

About MMG

MMG Equity Partners is a Miami-based, family-led real estate investment and development platform with a portfolio of retail shopping centers across South Florida. Beyond the real estate business, MMG operates a private family office that manages investments, insurance, and financial reporting across multiple entities and family members. MMG separately owns Tamarack Resort in Idaho. We are a flat, fast-moving organization where you will work directly with principals — not layers of management.

This is a ground-floor role. We are building the function from scratch. The right person will define what AI means at MMG, then build it.

The Role

The Director of AI Initiatives & Adoption is responsible for identifying, implementing, and managing AI tools and systems that meaningfully improve how MMG operates across real estate and family office functions. Every project you take on must connect to a business outcome — faster decisions, better data, more deals, reduced overhead.

You will own four things: identifying where AI creates real value at MMG, building or procuring the tools to capture that value, driving adoption across the team and continuously improving how those tools are used, and ensuring the systems are secure and maintainable. Implementation without adoption is not success.

  • Reports to Managing Director
  • Direct reports - contractors and freelancers as needed
  • Current IT Enviroment - outsourced IT for network support

Current Tech Stack (what you are walking into)

You need to understand these systems deeply. Part of your job is figuring out how to connect them and leverage AI to make us more productive/competitive

What you will work on

Below are four areas where we believe AI creates the nearest near-term value at MMG. You first job is to work with the leaders in each area to assess each, prioritize, and build a 6-month roadmap. In addition to the below, the right individual will identify a myriad of other AI use cases to add value and reduce repetitive tasks.

  1. Leasing and Tenant Prospecting

MMG owns retail shopping centers and is responsible for filling vacancies with the right tenants – while we work with third party leasing firms, we wish to supplement their efforts by generating direct leads.

  • Design and build AI scraping tools to compile databases of South Florida retailers and service businesses for targeted uses
  • Build a tool to identify prospective uses/tenants: given a vacancy (size, location, co-tenancy, demographics), which business types and specific operators are the best candidates?
  • Design and build AI-assisted leasing outreach workflow: targeted uses identified for vacancies → database queried → outreach drafted and sent → responses tracked in Dynamics (or other CRM)
  • Activate Microsoft Dynamics (or other) as the CRM for online leasing
  • Identify tools or workflows to monitor existing tenant health (sales reporting, foot traffic, business review signals) to get ahead of vacancies before they happen
  • Identify and implement AI-assisted lease abstracting tool to best fit our environment

2. Real Estate Acquisitions

MMG evaluates potential acquisitions across South Florida. Today this process is manual and dependent on individual knowledge. AI can accelerate every stage.

  • Design and build AI scraping tools to compile databases of South Florida real estate owners
  • Build an AI-assisted underwriting workflow that pulls property data, comps, and market context into a structured analysis template
  • Identify AI tools for market intelligence — rent growth trends, cap rate movements, retail category performance by submarket
  • Evaluate AI-powered deal sourcing tools (e.g. CoStar integrations, off-market sourcing platforms

3. Private Family Office

MMG's family office manages investments, insurance, and financial reporting for family members. This is a sensitive area requiring strict data governance — but it also has high-value AI applications.

  • Addepar AI integration: explore ways to use AI to generate plain-language investment performance summaries and financial reports from Addepar data, reducing manual reporting time
  • Insurance management: build a structured database or AI assistant for tracking insurance policies (G/L, personal property, family member policies) with renewal alerts and coverage gap analysis
  • Document intelligence: connect family office files in SharePoint to an AI interface for on-demand retrieval of partnership agreements, tax documents, and legal filings
  • Evaluate data governance and access controls for family office data — this is sensitive personal and financial information; AI access must be role-based and audited

IT Infrastructure and Security

You are not a network administrator — we have an outsourced IT firm for that. But you are responsible for AI governance at MMG: ensuring every AI tool introduced into the environment meets a clear security and accountability standard.  Practically, this means:

  • Evaluating AI vendors for data handling practices — what data leaves our environment, where it is stored, and how it is used for model training
  • Defining and enforcing a data classification policy: what information can be sent to external AI APIs, what must stay on-premise or in private cloud environments
  • Working with IT firm to ensure AI tools are deployed within the MS365/Azure security perimeter where possible
  • Evaluating the Claude Teams → Claude Enterprise migration and the Microsoft Connector configuration for SharePoint access — specifically, controlling which documents are accessible to AI and by which users
  • Vetting any third-party AI integrations (i.e. ZoomInfo, Yardi, etc.) for compliance with firm data policies

Prompt Library & AI Adoption

Building the tools is only half the job. The other half is making sure the team actually uses them — and uses them well. This requires two ongoing responsibilities that most AI roles underestimate.

Prompt Library

You will build and maintain a living prompt library — a curated set of tested, optimized prompts for every recurring AI task at MMG. Examples include: underwriting analysis from a rent roll, lease abstraction for a specific clause type, tenant outreach drafts by use category, and insurance renewal gap analysis. The library lives in SharePoint, is accessible to the full team, and is updated continuously based on user feedback and evolving business needs. A well-maintained prompt library is what turns AI from a tool that one person uses well into a capability that the whole organization depends on.

Adoption Monitoring & Continuous Improvement

You are responsible for whether AI tools actually get used — not just whether they get deployed. This means tracking adoption across the team, identifying where workflows are not sticking, providing training and troubleshooting support to staff using AI tools, and iterating on both the tools and the prompts based on real usage patterns. You will serve as the primary internal resource for the team when they hit limitations or need guidance on how to get better outputs. Deployment without adoption is a sunk cost.

What we are looking for

Required:

  • 3–6 years of experience in data, technology, or AI — ideally in a context where you had to figure things out without a large team around you
  • Hands-on experience with AI tools and LLM platforms — not just using them, but building workflows, prompts, and integrations on top of them
  • Demonstrated ability to connect AI capabilities to specific business outcomes (not just technology for its own sake)
  • Comfort with the Microsoft 365 ecosystem — SharePoint, Dynamics, Teams, Azure
  • Ability to manage and direct contractors and developers without being the one writing all the code
  • Non-technical stakeholder communication — you will regularly present AI recommendations, tool evaluations, and implementation roadmaps directly to the principal(s) who are real estate operators, not technologists. The ability to translate AI capabilities into business outcomes (not feature lists) is non-negotiable. If you cannot explain why a tool matters in terms of time saved, deals sourced, or risk avoided, you will not be effective in this role
  • In-office presence at Pinecrest HQ is required initially (possible hybrid in the future)

Preferred

  • Experience in commercial real estate, property management, or a related field
  • Familiarity with Yardi, Addepar, or similar platforms
  • Background that includes both technical work (building things) and strategic work (recommending what to build)
  • Experience implementing AI in a small-team / resource-constrained environment

Where it all began…

In 1951 SF Fire Credit Union first opened its doors from a modest 10′ × 15′ office space in 17 Engine. It was from those humble beginnings—where everyone pitched in to help one another in their community—that the organization forged its way of business forever. Today, the San Francisco-based credit union has grown to $1.7B in assets and a membership that extends from the regional firefighters we trace our roots back to throughout our many neighbors in San Francisco, San Mateo and Marin Counties. Our members benefit from the ideas and principles that have shaped us: Shared trust, continuous innovation of products and services, competitive rates, and excellent member service. These qualities foster a true sense of member-ownership and strengthen the credit union’s bond with the people for whom this credit union was created.

SURGICAL MEDICAL ASSISTANT

Role Scope & Responsibilities | Multiple Practice Locations — Bay Area

WHAT WE'RE ABOUT

Aesthetx is a specialized plastic surgery and dermatology practice serving Bay Area clientele from Silicon Valley to Marin — and we're not your typical clinic. We've built something different: a team of highly trained experts who are obsessed with outcomes, grounded in science, and deeply committed to the patient experience. Every treatment, every touchpoint, every hire is held to that standard.

Our vision: To set the standard for aesthetic medicine where scientific innovation, collaborative care, and outcomes define exceptional, personalized patient care.

We hire people who take their craft seriously — clinicians, operators, and leaders who want to be part of building something exceptional. If you're a surgical MA who has put in the years, knows what it takes to support a high-volume surgical practice, and wants to bring that experience to a team that will actually use it — you'll find your people here.

WHAT DRIVES US:

- High-Touch Collaboration: We succeed together. Across sites, departments, and disciplines — no siloes, no egos.

- Scientifically Backed: Every treatment and decision is grounded in evidence. We don't cut corners on outcomes.

- Patient Obsessed: The patient experience is never an afterthought. It's the filter every decision runs through — including what happens in the procedure room.

ROLE SUMMARY

The Surgical Medical Assistant (SMA) is a senior clinical team member who works directly alongside Aesthetx plastic surgeons throughout the full patient journey — from surgical consultations and pre-operative visits through in-clinic procedure support and post-operative follow-up care. This is not an entry-level MA role. The SMA brings a deep understanding of plastic surgery workflows, patient preparation, and clinical support that allows surgeons to operate at the top of their scope.

Two things happen without exception on every shift: every room and patient is fully prepared before the surgeon walks in, and every patient interaction — whether they're coming in for a consult or a week-two post-op — reflects the Aesthetx standard of care. This role requires someone who has earned their skills in the field and is ready to use them.

CORE RESPONSIBILITIES

SURGICAL CONSULTATION SUPPORT

- Prepare patients and exam rooms for surgical consultations — patient history gathered, forms completed, room configured, and all materials ready before the surgeon enters

- Assist surgeons during consultations by documenting relevant clinical notes, capturing measurements or markings as directed, and ensuring the patient's questions and concerns are recorded accurately in the EMR

- Educate patients on what to expect before and after surgery — walk through pre-op instructions, answer questions within scope, and escalate anything requiring provider input immediately

- Coordinate with the front desk and scheduling team to ensure consultation flow is smooth, on time, and that all required paperwork and imaging is complete before the appointment

- Maintain a complete and accurate consultation record in the EMR — history, physical notes, surgeon recommendations, and follow-up plan documented before the patient leaves

PRE-OPERATIVE CARE

- Conduct pre-o PRE-OPERATIVE CARE perative patient visits: review surgical instructions, verify medical clearances, confirm medication holds, and document all required pre-op assessments in the EMR

- Prepare pre-op packets, consent forms, and surgical marking documentation per surgeon preference — ensure nothing is missing before the day of procedure

- Communicate pre-op instructions to patients clearly and empathetically — they're about to have surgery; this interaction sets the tone for their entire experience

- Coordinate with surgeons and clinical leadership to flag any pre-op concerns, incomplete clearances, or patient anxiety requiring additional support before the scheduled procedure date

- Set up and stock in-clinic procedure rooms per surgeon preference — correct instruments, supplies, and sterile field configuration ready before the patient arrives

IN-CLINIC PROCEDURE ASSISTANCE

- Provide direct surgical support during in-clinic plastic surgery procedures — assist with instrument handling, maintain sterile field, and support the surgeon throughout the procedure

- Anticipate the next step in a procedure and have instruments, sutures, and materials ready without being asked — this is the standard for someone with 2–3+ years of surgical MA experience

- Maintain strict sterile technique during all in-clinic procedures without exception — identify and immediately address any breach

- Assist with specimen handling, labeling, and documentation per established protocols

- Break down and clean the procedure room after each case — proper sharps disposal, instrument decontamination, and surface disinfection per clinic standards; restock and reset for the next patient

POST-OPERATIVE CARE & FOLLOW-UP

- Conduct post-operative patient visits: assess incision sites and healing progress as directed by the surgeon, remove sutures or drains per protocol, and document all findings in the EMR

- Review post-op care instructions with patients at each visit — ensure they understand wound care, activity restrictions, signs of complications, and when to call the clinic

- Identify and escalate any signs of post-operative complications, patient concerns, or abnormal findings to the attending surgeon immediately — do not delay

- Complete all post-visit documentation accurately and in real time, including wound status, patient-reported symptoms, and any changes to the care plan directed by the provider

- Proactively follow up with surgical patients between scheduled visits when directed — check in on healing, answer questions within scope, and escalate anything that needs provider review

COMPLIANCE, SAFETY & DOCUMENTATION

- Maintain full HIPAA compliance in every patient interaction, documentation entry, and conversation within the clinic

- Follow all infection control protocols, sterile technique standards, and clinic safety policies without exception

- Identify and report any patient safety concern, near-miss, or compliance gap to the Clinical Supervisor the same day it occurs

- Complete all required compliance training and certification renewals on schedule

- Ensure all clinical documentation — consult notes, pre-op records, procedure notes, post-op entries — is complete, accurate, and timely; no blanks, no assumptions

QUALIFICATIONS

REQUIRED

- High school diploma or GED required; Medical Assistant certificate or diploma from an accredited program required

- Minimum 2–3 years of hands-on surgical MA experience in a plastic surgery, aesthetic surgery, dermatology, or equivalent surgical outpatient setting — this is a non-negotiable baseline

- Current BLS/CPR certification

- Demonstrated proficiency in sterile technique, instrument handling, and infection control protocols for in-clinic surgical procedures

- Direct experience supporting surgical consultations, pre-operative visits, and post-operative care in a high-volume clinical environment

- Proficiency with EMR documentation — Nextech experience a strong plus

- Strong interpersonal and communication skills — able to support patients through anxiety, answer clinical questions within scope, and communicate clearly with surgeons and clinical staff

PREFERRED

- 2+ years specifically in plastic surgery or aesthetic surgery clinic — hands-on experience with rhinoplasty, abdominoplasty, breast procedures, liposuction, facelifts, and related post-op care

- Certified Medical Assistant (CMA — AAMA) or equivalent clinical certification

- Experience with surgical wound care, suture and drain removal, and post-operative assessment documentation

- Familiarity with cosmetic dermatology procedures: Botox, fillers, laser treatments, chemical peels

- Bilingual (Spanish / English) a plus

FULL-TIME BENEFITS

- Generous PTO + 8 Paid Holidays — take the time you need to rest and recharge

- Medical, Dental & Vision — 100% employer-paid for your individual coverage, so you can prioritize your health without thinking twice

- 401(k) with Employer Match — we invest in your future the same way you invest in ours

- FSA & HSA options to maximize your healthcare dollars and reduce your tax burden

- Life Insurance provided at no cost to you — protection for the people who matter most

- Short & Long-Term Disability coverage — income protection if life takes an unexpected turn

- Legal Plan — access to legal guidance when you need it, without the out-of-pocket cost

EMPLOYEE PERKS

- The treatments you help deliver, available to you — complimentary aesthetic services including Botox, facials, and more, plus discounts on our full product and treatment menu*

- A lunchroom that actually earns its name — gourmet coffee, fresh snacks, and a fully stocked kitchen ready every day

- Frequent team lunches, catered and on us — because great work deserves a great meal

- A calendar full of fun — themed employee events and celebrations throughout the year that make this a place people actually want to be

Position description

Position Overview

The University of California, Agriculture and Natural Resources (UC ANR) invites applications for a UC Cooperative Extension (UCCE) Area Weed Science Advisor at the Assistant rank serving Sonoma, Napa, and Marin counties.

The Weed Science Advisor will implement an innovative multi-county extension education and applied research program to address weed management challenges in the three-county region, including alternatives to glyphosate, the effectiveness of organic weed control methods, herbicide resistance, air and water quality issues related to weed control practices, and the control of invasive weed species.

UCCE Advisors are responsible for conducting applied research and extending knowledge. Research activities are applied and mission-oriented, focused on addressing challenges in our communities. Extension activities are the educational methods that advisors use to share research results directly with clientele and communities, increasing knowledge and understanding of science-based research that promotes the adoption of practices and technologies to solve local problems. Extension activities may include individual farm consultations, presentations, or organizing educational workshops, short courses, and field demonstrations. Information may also be disseminated through various channels, such as radio, webinars, fact sheets, policy briefs, news blogs, social media, and other outlets. Publications are expected in various formats, including newsletters, popular press articles, curricula, conference proceedings, and peer-reviewed journals.

Successful research and extension programs result in new information that improves knowledge or understanding, and eventual adoption of new skills or practices, changed attitudes or policies, and improved environmental, economic, or social conditions. UCCE Advisors are evaluated through an academic advancement system based on four criteria: 1) extending knowledge, 2) applied research and creative activity, 3) professional competence and activity, and 4) university and public service.

Location Headquarters: This position will be based at the UC Cooperative Extension Office in Sonoma County, located at 133 Aviation Blvd., Santa Rosa, California 95403.

Position Details

Weeds are a critical challenge to the regional productivity of agriculture, pasture, and rangelands, and are responsible for significant production losses, management costs, and labor requirements each year. Growers, ranchers, dairy producers, pest control advisors, and the UC Cooperative Extension network need an Area Weed Science Advisor to provide locally relevant expertise to address production efficiency, crop safety, livestock forage, and environmental issues related to sustainable weed management in the region.

This position will take an integrated approach to weed management, encompassing organic and conventional approaches, while serving a broad range of clientele across multiple cropping systems, pasture, and rangeland. In addition to working across a spectrum of weed management practices, the position will develop expertise and deliver information on related topics, including weed identification, invasive plant management, cover crops, and livestock-crop integration, in collaboration with relevant colleagues. The position will also address aquatic weed identification and management in agricultural water sources, such as irrigation ponds and reservoirs.

The advisor will extend science-based information to clientele who grow grapes, olives, apples, and other orchard crops, a variety of specialty crops, and graze livestock on organic and conventional pastures and rangelands. Key clientele groups include agricultural producers, dairy producers, livestock producers, rangeland managers, Pest Control Advisors (PCAs), Agricultural Commissioner office staff, public resource management agency staff (e.g., Natural Resources Conservation Service, Resource Conservation Districts, Cal Trans, regional parks), and nonprofit conservation organizations. Collaboration with these groups will identify issues and opportunities to extend information through seminars, workshops, field days, internet resources, and publications, both producer-oriented and peer-reviewed.

The advisor will collaborate with other Cooperative Extension Advisors, Specialists, and clientele to conduct applied research that facilitates the broad implementation of integrated weed management programs across diverse agricultural and grazed landscapes. The advisor's research program will utilize a variety of cultural and mechanical controls, along with emerging technologies, to reduce reliance on herbicides as the sole control tool while stewarding the natural resources that are integral to the sustained health of agricultural and rangeland production systems.

In addition to collaborating with UC colleagues, the advisor will work with external networks, including, but not limited to, the Sonoma, Napa, and Marin Weed Management Areas, the Sonoma County Agricultural Preservation and Open Space District, the Napa County Regional Parks and Open Space District, the Napa Land Trust, the Marin Agricultural Land Trust, and private industry.

Counties of Responsibility. This position will serve Sonoma, Napa, and Marin counties.

Reporting Relationship: In this appointment, you will report directly to the UC Cooperative Extension Area Director for Sonoma, Napa, and Marin counties. This is not a remote position; the advisor must be available to work onsite at the headquarters location and travel to and be present in the other assigned counties. Specific expectations for maintaining office hours and fieldwork in the geographic area covered by this position will be outlined by the supervisor upon hire.
