Client Service – Relationship Management

• Maintains open and consistent communication with teammates to ensure seamless support for assigned attorneys, including cross-training colleagues to maintain continuity of service during absences.

• Delivers high-quality service to internal and external clients with a proactive, solutions-oriented mindset when handling communications and requests on behalf of attorneys.

• Actively manages attorney timekeeping by drafting, reviewing, and editing diary entries based on knowledge of attorney activity and communications. Ensures compliance with billing best practices and deadlines.

• Collaborates closely with billing coordinators to review proformas, track edits, and finalize invoices for timely client delivery.

• Supports attorneys in meeting billing targets and year-end requirements.


Project Management

• Drafts, edits, and proofreads correspondence, presentations, and other documents, demonstrating strong technical and document production skills.

• Coordinates internal and external meetings with minimal direction, arranging logistics such as conference rooms, visitor access, video conferencing, and dial-in details.

• Manages attorney travel using online tools and agent assistance, monitoring itineraries to ensure smooth arrivals and departures. Maintains updated travel preferences and prepares contingency plans when needed.

POSITION SUMMARY

The Legal Practice Assistant, working under the supervision of the Office Manager, provides a wide range of administrative, clerical, and document services to support the workflow and client service needs of attorneys and other timekeepers. ESSENTIAL JOB FUNCTIONS

  • Collaborates with firm assistants and other teams to provide designated and "as needed" administrative services to assist in delivering exemplary service.
  • Creates, edits, formats, and proofreads a wide variety of documents, including memoranda, correspondence, legal, and court documents.
  • Receive assignments from attorneys and others, performing tasks as requested; update requestor regarding receipt and status of tasks/projects, and consistently meet agreed upon deadlines.
  • Input attorney time into the WebTime time entry program. Stay up to date regarding client-specific billing requirements. Assist timekeepers with maintaining appropriate time entry requirements and standards through outreach and communication.
  • Work with the Billing department in all aspects of the billing cycle, including but not limited to the review of client billing for accuracy, edits to content/grammar; resolution of billing problems; and efficient changes to the process.

Responsibilities

This position supports senior bank and department management to be compliant with bank and investor guidelines with portfolio and investor mortgage loans, by conducting legal servicing (foreclosure and bankruptcy) functions.

Essential Responsibilities:

  • Supports CRES management in conducting legal servicing functions, in order to effectively protect bank and investor collateral by, but not limited to:
    • Foreclosure, from referral to sale/auction
    • Bankruptcy, from filing/proof of claim to discharge/dismissal
    • Administrative, from investor to protective advance workflows
    • Insurance claims, from mortgage guarantee to total loss claims
    • Legal servicing requests
  • Develops, maintains, and administers policies and procedures established and guided by the bank, investor, and/or regulatory agencies, to remain in compliance
  • Collaborates with:
    • All CRES staff to ensure borrowers are properly addressed regarding:
      • Remedying foreclosure actions
      • Handling bankruptcy accounts
    • Home retention (collections and loss mitigation) staff for:
      • Deed-in-lieu of foreclosures
      • Short sales
    • Other departments and branches to improve or develop effective practices, address needs, and expand on opportunities
    • Investors as applicable for secondary market accounts
  • Performs all collection and servicing staff duties as needed
  • Other duties as assigned
  • Maintain proficient knowledge of, and demonstrate ongoing compliance with all laws and regulations applicable to this position, ensure ongoing adherence to policies, procedures, and internal controls, and meet all training requirements in a timely manner

Ancillary Duties:

As an integral member of the CRES Department, this position is also responsible to provide assistance wherever necessary to help the Consumer Real Estate Servicing Department and the Bank in achieving their annual goals.


Qualifications

Education, Training and Requirements:

  • Bachelor's Degree or equivalent specialized training and work experience required
  • All applicants must be 18 years of age or older

Skills:

  • Proficient reading, writing, and grammar skills
  • Excellent mathematical skills
  • Proficient communicative skills.
  • Must be able to demonstrate ability to analyze data from reports/workbooks and have thorough knowledge of Excel
  • Ability to create, implement, and maintain workflows bases on regulatory guidelines
  • Highly organized; results driven with competency to meet demands of proficiency, effectiveness, and efficiency.
  • Must be collaborative, have the ability to adapt and reprioritize, and have an independently objective mindset
  • Must be able to consistently demonstrate the Company's core values; integrity, excellence, and teamwork

Experience:

  • Minimum of two (2) years with collections, foreclosure, bankruptcy, loss mitigation, finance, accounting, legal, or real estate fields strongly preferred.

Other Job Information

Hours: 40 hours/week (some OT including night, weekends & holidays)

Compensation: Commensurate with experience plus potential for annual merit increase. Prepare and revise legal documents, including wills, trusts, tax forms (706s, 709s), and asset lists.

Draft, edit, and proofread correspondence, legal memoranda, and other communications.

Transcribe dictation from voicemails and other sources accurately.

Manage incoming and outgoing mail and electronic correspondence.

Answer and direct incoming phone calls, respond to general inquiries.

Schedule and coordinate conference calls, client meetings, and appointments.

Maintain attorney calendars, track deadlines, and manage multiple schedules.

Open, organize, and maintain client files, ensuring proper filing procedures.

Review and process monthly billing memos and enter attorney time records.

Estate Planning and Probate Legal Assistant Background Profile

Minimum of five years of legal assistant experience, preferably in estate planning and probate

Strong knowledge and experience drafting wills, trusts, and related estate planning documents

Proven ability to manage multiple calendars, deadlines, and priorities

Solid working knowledge of Microsoft Office (Word, Outlook, Excel, PowerPoint)

Proficiency in electronic court filing systems (Federal and State)

Typing speed of at least 80 words per minute

706/709, NetDocs, & Orion experience is not required, but would be a huge plus

Excellent verbal and written communication skills, with strong grammar, spelling, and proofreading abilities

Strong organizational skills and attention to detail
