About the Role:

Overview:

The Office/Community Coordinator is responsible for our office, ensuring our team, both remote and local, have the resources and environment needed to be successful.

 

Key Responsibilities:

 

Office Management:

  • Proactive communication and support for anyone who works in or visits our office to ensure a welcoming environment  
  • Keep office organized and professional. Maintain/manage off site storage. Prioritize a positive, productive, and brand right environment.
  • Manage inbound and outbound mail and shipments
  • Coordinate with office related services including janitorial, landlord (??), security, groceries, and other
  • Coordinate with landlord and/or contractors for any office needs
  • Manage parking assignments and security procedures including distributing access codes/keys, keeping technology equipment and confidential documentation secure in the office
  • Support for community building activities including delivering supplies, organizing events and monthly staff meetings
  • Facilitate Tea meetings, events, interview schedules and/or appointments. Manage internal documents and databases, and create standardized organization systems
  • Prepare office for photo shoots and then ensure office is ready for regular work after photo shoots are completed
  • Provide ad hoc support during Photoshoots including coordinating basic logistics, cleaning services, food and permits as needed.
  • Occasional support for Leadership Team members on an as needed basis; direction given each week. For example: facilitate all staff meetings (materials, technology, scheduling, etc)

Community Building/Support:

  • Plan community building activities and events for the team including periodic off-site meetings and retreats.

Primary Purpose


The Community Engagement and Belonging (CEB) Program Assistant provides administrative, programmatic, and on-site support to advance Otis College’s Community Engagement and Belonging initiatives. Reporting to the Assistant Dean of Community Engagement and Belonging, this fixed-term, part-time role supports the planning and execution of campus programs, cultural observances, and signature experiences that foster connection, belonging, and student engagement.

Core Duties and Responsibilities


2.1 Program & Event Support

Co-develop and support Community Engagement and Belonging programs tied to cultural month recognition and awareness initiatives, including but not limited to Black History Month, Women’s History Month, Autism Acceptance Month, Arab American Heritage Month, Asian American and Pacific Islander Heritage Month, Jewish American Heritage Month, Mental Health Awareness Month, and Sexual Assault Awareness and Prevention Month.

Provide in-person and logistical support for signature programs such as:

  • MLK Jr. Day of Service
  • BIPOC Student Summit
  • International Women’s Day / International Women’s Dinner
  • Otis Creatives Institute (OCI) programming, including required in-person support from August 14-23, 2026, for student leader training, student leader retreat, and the OCI Pre-Orientation Program.
  • Creatives Institute Peer Mentor (CIPM) community programming: Black Creatives, Latinx Creatives, and Queer and Trans (QT+)
  • Culture Fest and end-of-year celebrations
  • Support planning and execution of lunches, vendor fairs, community check-ins, and student engagement activities.


2.2 Administrative & Operational Support

  • Provide administrative support to the Assistant Dean of Community Engagement and Belonging, including:
  • Coordinating meetings
  • Creating agendas and taking notes
  • Managing calendars and email correspondence
  • Completing payment requisitions for artists, speakers, and vendors
  • Assist with room reservations, catering requests, supply ordering, event setup and cleanup, preparing disbursements and honorariums, etc.
