Provide support to trust officers and management to accomplish the duties and requirements of the trust division.

Job Summary:
This position will be responsible for ensuring that all required logistical and administrative support is provided to effectively coordinate and execute preventive and corrective maintenance activities at the respective plants.
Essential Functions:

OVERALL PURPOSE
The Senior Event Marketing Manager is responsible for the strategic planning, development, execution, and optimization of a comprehensive portfolio of high-impact events that support brand awareness, client engagement, employee culture, and business growth. MINIMUM QUALIFICATIONS
Education

Experience

- Coordinate with finance to ensure AFEs align with project financial requirements.
- Communicate with project owners regarding proposals and layouts.
Service Channel & Warranty Work Orders:
- Create work orders for warranty claims or system health issues.
- Update service trackers and coordinate with vendors to meet deadlines.
Project Close-Out & Documentation:
- Verify site installation photos and update project databases.
- Archive project data in MS Teams SharePoint Library.
Project Team Management:
- Host weekly meetings with vendors and project teams.
- Ensure project requirements are captured, delegated, and timelines are met.
- Manage project intake queues and ensure proposals are delivered on schedule.
Requirements:
- Minimum 3 years of project management experience
- Proficiency with Microsoft Office (Word, Excel, PowerPoint)
- Strong interpersonal and communication skills
- Ability to multitask and work in a team-oriented environment
- PMP or CPP certification preferred

This role serves as a key support function for our installation team, ensuring that all administrative and documentation processes run smoothly from start to finish. The position is responsible for managing and maintaining project information within Procore and internal systems, including submittals, RFIs, procurement tracking, and compliance documentation. By keeping project files organized, accurate, and accessible, this role helps ensure alignment across office and field teams. In addition, it supports coordination efforts by managing meeting logistics, tracking project updates, assisting with travel and scheduling needs, and maintaining clear communication records. Overall, this position plays a critical role in keeping installation projects organized, compliant, and on track through strong attention to detail and consistent administrative support.
Key Responsibilities
- Provide administrative support for project documentation in Procore, including but not limited to submittals, RFIs, procurement logs, drawings, and specifications.
- Prepare and maintain Submittal Logs, Material Procurement Logs, project scorecards and Change Order Requests with accuracy.
- Ensure all project-related files are organized, current, and accessible across Procore, the Project Shared Drive, and support field team site copies.
- Coordinate meeting logistics, document project meetings, distributing agendas, minutes, and supporting materials.
- Upload and track compliance-related documentation, including insurance, licensing, and safety records.
- Prepare and distribute current project documents to subcontractors and track updates and changes in Procore.
- Support project execution with travel booking, scheduling, and fleet/equipment record management.
- Maintain clear and consistent communication logs, ensuring documentation supports audit readiness and project closeout.
Qualifications
- 2–4 years of experience in project coordination, document control, or construction administration.
- Proficiency in Procore or similar project management platforms.
- Highly organized, detail-oriented, and comfortable managing large volumes of documentation.
- Strong written and verbal communication skills.
- Ability to support multiple projects simultaneously with a proactive, service-oriented mindset.

Qualifications:
- Experience in planning, scheduling, maintenance, or construction environments is preferred
- Oil and gas industry experience is preferred but not required
- SAP experience is preferred but not required, as Client will provide training on internal SAP processes
- Strong Microsoft Excel skills are highly preferred
- Strong communication skills with a customer-service mindset are required
- The candidate must be comfortable speaking and leading discussions in group settings, including MS Teams calls with 5–6 or more participants
- Ability to work cross-functionally with multiple teams is essential

Responsibilities:
- Plan and schedule maintenance and construction activities
