Fleet & Asset Coordinator
Job Summary:
Under the direction of the Operations Director, the Fleet & Asset Coordinator will oversee and maintain the organization’s fleet of cars, trucks, specialized vehicles, and other company assets.
Duties/Responsibilities:
- Develops schedules and procedures for and ensures adherence to routine maintenance and non-routine repair of all vehicles in the company’s fleet.
- Manages vehicle registration process for all company fleet.
- Tracks and allocates expenses to appropriate jobs.
- Develops relationships with managers, staff, and vendors for all fleet and asset needs.
- Establishes a schedule for recommended replacement of fleet vehicles.
- Develops and enforces procedures, policies, and safety protocols for all fleet services staff.
- Performs other related duties as required.
Required Skills/Abilities:
- Extensive knowledge and understanding of fleet management and operations.
- Excellent organizational skills and attention to detail.
- Good communication and interpersonal skills.
- Pro-active and self-sufficient in managing duties and responsibilities.
- Proficient with Microsoft Office Suite or similar software.
Education and Experience:
- High school diploma or equivalent required; Bachelor’s degree in related field preferred or equivalent years of experience.
- 2-3 years of experience in a similar role preferred.
- Valid driver’s license.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to access and navigate job sites and maintenance facilities.

We are partnering with a nationally recognized retail and consumer goods leader to support their search for a Senior Director, Fleet & Logistics. This is a high‑impact, strategic role overseeing one of the largest commercial fleets in the sector and driving last‑mile delivery performance across the U.S. and LATAM. This position will report directly into senior operations leadership and will be responsible for shaping fleet strategy, improving delivery efficiency, and leading key transformation initiatives across a large, distributed network.

The Role:
- Lead the full strategy, lifecycle, and performance of a 5k+ vehicle fleet (passenger cars, vans, box trucks, leadership vehicles) across the U.S. and LATAM.
- Oversee final‑mile delivery operations supporting 500+ stores across 150 districts.
- Direct all routing platforms and delivery planning systems, including oversight of routing changes, vehicle classification, and performance optimization.
- Drive improvements in cost per delivery, miles per delivery, route efficiency, schedule design, and fleet utilization.
- Partner closely with IT on the integration of a new POS system, combining order management and delivery management into a fully modernized platform.
- Monitor networkwide delivery performance using analytics, KPIs, benchmarking, and continuous improvement frameworks.
- Lead change management initiatives across a large and diverse field organization, including delivery teams, dispatch, and district leadership.
- Lead and director the fleet management team
- Build strong relationships with Sales, Operations, Safety, and IT to ensure alignment across all fleet and delivery programs.
The Candidate:
- Bachelor’s degree is required, Master’s degree preferred
- Experience overseeing a large commercial vehicle fleet
- Proven background in high‑volume, rapid‑turn delivery environments
- Strong analytical mindset, with experience using data to drive decisions and performance improvement.
- Comfortable working directly with field teams, delivery personnel, and sales leadership in an operational setting.
- Experience with routing systems, delivery technologies, telematics, or POS integrations strongly preferred.

We are seeking a Fleet Coordinator to join our team.
Starting Salary: $21 - $24 (Hourly)
This role will provide comprehensive oversight of the agency's vehicle fleet to ensure safety, compliance, reliability, and costeffective operations. This position manages all aspects of fleet administration-including budgeting, maintenance, repairs, replacements, insurance, telematics, and regulatory compliance-across Kansas and Missouri. The role develops and maintains policies and procedures, ensures adherence to Council on Accreditation standards, and collaborates with internal teams and external partners to support safe, efficient, and wellmaintained transportation resources for the agency.
WHAT YOU WILL DO:
- Budgetary oversight of cost centers related to vehicles, repairs/maintenance, and fuel as appropriate.
- Maintain policies and standard operating procedures.
- Ensure applicable Council on Accreditation standards are met.
- Arrange for and ensure routine maintenance on all vehicles.
- Arrange for repairs and body work on all vehicles as needed.
- Manage fleets in Kansas and Missouri to determine when vehicles need to be replaced according to their age, mileage, or condition, making budgetary recommendations.
- Maintain the Enterprise lease in Kansas, working with the team to determine appropriate vehicles, coordinate vehicle swaps, liaise with Enterprise, and manage all lease logistics.
WHAT YOU WILL BRING:
Our ideal candidate will have 2-3 years of experience in fleet management, transportation coordination, automotive services, or related field and the following:
REQUIREMENTS
- High School Diploma or GED.
- Experience coordinating vehicle leases.
- Knowledge of DOT and state motor vehicle registration.
- At least 21 years of age and pass background check, physical, and drug screening.
- A valid driver's license in the state you reside in, proof of current vehicle insurance, and reliable transportation.
PREFERRED
- Associate or bachelor's degree in business administration, logistics, fleet management, operations, or related field.
- 3-5 years' experience in fleet management, automotive service operations, transportation coordination, or related field.

Position Description Position Summary New River Electrical is looking for a professional, reliable and detail-oriented Fleet Administrator to provide operational, administrative, and logistical support to the Fleet, Garage, and Field Operations teams.
This role is responsible for coordinating fuel card programs, managing fleet-related documentation, supporting compliance activities, policy and procedure development, and assisting with the maintenance and tracking of company vehicles, equipment, and tooling.
The position requires strong organizational skills, attention to detail, and the ability to communicate effectively with internal departments and field personnel.
This position will report to the Director of Fleet & Tooling.
Key Responsibilities Fuel Card & WEX Program Administration Manage the issuance, shipping, and distribution of WEX fuel cards.
Respond to incoming inquiries regarding card status, usage, and replacements.
Process new card orders and maintain accurate records of all active and inactive cards.
Insurance & Claims Coordination Serve as the primary liaison for insurance claims involving rental vehicles and internal fleet equipment.
Coordinate documentation, communication, and follow-up with internal stakeholders and insurance representatives.
Work Order Management Create and close work orders for all required asset inspections.
Support capital expenditure (CapEx) work orders by gathering and forwarding invoices to Accounting.
Telematics Device Coordination Schedule and coordinate telematics installations with Field personnel and Garage staff.
Communicate installation requirements, timelines, and follow-up needs.
Regulatory & Compliance Support Assist with IFTA program administration, including sticker distribution and insurance documentation.
Support compliance activities related to fleet operations and equipment tracking.
Garage & Maintenance Support Assist the Garage team with long-term repair coordination and communication.
Process invoices for routine maintenance items such as oil changes.
Review, code, and route toll invoices for payment.
Process & Documentation Support Assist in developing, updating, and maintaining fleet-related processes, procedures, and policy documentation.
Support ERP system data cleanup, asset maintenance, and identification of unreported assets.
