JOB DESCRIPTION
Our Orange County, CA office is looking for a Practice Assistant to join our growing firm. On a day-to-day basis, works under the direction of attorneys and paralegals to whom the Practice Assistant is assigned. Under general supervision, supports the delivery of quality legal services to clients by providing secretarial and administrative assistance to attorneys, performing complex and specialized secretarial and clerical tasks, and working collaboratively and cooperatively with others in a team-oriented environment. This position supports multiple attorneys as primary assignments and also provides back-up secretarial assistance to other attorneys as assigned. May also provide back-up to receptionist as necessary, depending on size of office.
Responsibilities:
- Preparing Documents: Using word processing and document management software, the Practice Assistant prepares and processes correspondence and memoranda as well as complex legal documents according to the requirements set by each practice group. Independently composes and drafts routine cover letters and documents. Proofreads documents and checks for appropriate formatting, spelling and grammar. Prepares revisions and redlines documents as directed. Prepares documents for e-filing as required.
- Processes Mail: Reviews and routes incoming mail and fax communications. Prepares and processes outgoing mail and faxes, arranging for specialized mail or messenger services as required. Ensures that all attachments, exhibits and enclosures are included.
- Maintains Calendar: Maintains and updates the calendars for assigned attorneys, including meetings, appointments, due dates, and client-related activities.
- Maintains Files: Maintains paper and electronic files in compliance with internal policies. Performs routine filing and retrieves files as needed. Maintains chronological files and administrative files for assigned attorneys.
- Timekeeping: Prepares time entries for assigned attorneys and submits in a timely manner. Prepares expense reimbursement and disbursement requests. Prepares billing letters and coordinates client billing matters with the Billing Department in Greenville.
- General Administrative Support: Prepares and processes new matter documents. Receives and screens phone calls and takes message as required. Receives and directs clients and visitors. Coordinates travel arrangements, prepares itineraries, and prepares travel expense reports. Schedules meetings and arranges for conference rooms and meals. Communicates effectively and professionally with clients and with others in the Firm. Is proactive in anticipating the business needs of the assigned attorneys; plans ahead and meets deadlines.
- The Practice Assistant may be responsible for additional administrative assistance and may, on occasion:

Qualifications:
- 4+ years of experience as a practice assistant or legal secretary

Docket Coordinator
The Docket Coordinator will exercise discretion and independent judgment in facilitating actions required to efficiently and accurately calendar all docket activities. The Docket Coordinator is responsible for performing the day-to-day duties of the Docket Department, monitoring information entered into the Firm Docketing system, and providing general litigation support. Maintains professionalism and strict confidentiality in all client and firm matters.

- Monitor daily receipts of all electronic court filings (ECF) to ensure that events are timely posted on attorney and firm calendars.
- Communicate quickly and clearly via email and phone to inquiries from attorneys, legal executive assistants, and paralegals regarding docket entries, court procedures, and filings.
- Participate in professional organizations that promote the on-going education of Federal, State and Local rule changes. Prepare and distribute announcements regarding same to local attorneys and legal support staff.
- Work with the Litigation Services Counsel to implement procedures for systems, processes, technology and services to ensure continual service enhancements, cost reductions, and organizational consistency with firm policy. Recommend changes in procedures to improve efficiency and effectiveness of the Department.
- Ensure consistent application of firm policy and adherence to risk management guidelines, as defined by the firm's legal malpractice carrier, to minimize potential malpractice exposure.
- Create Docket system electronic reminders and appointments/events on the attorney and firm calendar. Create and distribute printed reports, as requested, by attorneys.
- Answer and process incoming telephone calls and respond to e-mail inquiries disseminating information relative to the courts, judge's standing orders and Docket Department procedures.
- Assist with training of new Docket staff.
- Periodic review of case status (i.e. active or closed). Create and distribute reports to attorneys, obtain information and update database.
- Provide Electronic Case filing (CM/ECF) support to legal staff. Maintain knowledge base of e-filing requirements and procedures for all courts serviced by the Los Angeles and Dallas attorneys. Maintain tracking log of attorney court registrations, including expiration dates, and notify attorneys to ensure no lapse in registration. Assist attorneys with updating their PACER account for NextGen filing.
- Maintain accurate attorney filing credentials, create court admission accounts for attorneys, and troubleshoot credential issues.
- Forward court documents and incoming mail/email relating to active cases as provided by attorneys and legal support staff to appropriate firm personnel. Coordinate with the Record Center to ensure pleadings are indexed in the Records Management System.
- Perform searches for court information through on-line service providers such as Pacer, Courthouse News and others.
- Ensure exceptional client service levels are achieved in delivery of services to secretaries, paralegals, attorneys, and vendors.
- Participate in Docket Department meetings. Provide assistance with implementation of new technology and procedures affecting the firm.
- Ability and willingness to handle after hours filings when needed. Occasional overtime may be required.
Knowledge, Skills and Abilities
- Associate's Degree; college degree preferred. Three or more years of progressive docket-related experience preferably in a large law firm environment; or equivalent combination of education and experience. Prior experience and knowledge of docket tasks and procedures required. Strong knowledge of Federal/State/Local court rules required. The Legal Administrative Assistant (‘LAA’) provides high-level administrative and secretarial support to lawyers, paralegals, and administrators in various practice groups. The LAA may also provide billable and non-billable legal support as determined by the attorneys. This position requires a person who has strong communication, organizational and time management skills with the ability to work with a team and independently.
Job Duties
The following are essential job duties and responsibilities of the Legal Administrative Assistant. This list is not exhaustive, and other duties may be assigned as necessary.
- Provides word processing and document production services. Utilize office services support as appropriate.
- Drafts correspondence, having knowledge of common documents for applicable departments. For example, in litigation; pleadings, complaints, subpoenas, interrogatories, deposition notices, pretrial orders.
- Proofreads all documents produced for correct formatting, spelling, and grammar, and ensures that all attachments, exhibits, or enclosures are intact.
- Prepares documents for mailing with special attention given to completeness of enclosures, etc.
- Files court documents electronically.
- Handles incoming telephone calls, taking thorough messages. Makes sure call is given timely response.
- Handles time entry and client billing, including electronic billing. Manages the process to ensure timely completion.
- Understands requirements of the New Business Intake (NBI) software and completes process accurately and promptly, interfacing with billing attorney as necessary.
- Ability to extract appropriate billing information as requested.
- Organizes files and databases; maintain documents, both paper and electronic. Understands procedures to make files inactive and to recall inactive files.
- Attends to calendars and meeting management as required, ensuring all arrangements are complete, including any travel arrangements.
- Processes reimbursement requests.
- Dockets case/matter deadlines. Keeps attorneys apprised of deadlines.
- Tracks attorneys’ CLEs.
- Provides back‑up assistance to other administrative assistants and staff members as required.
- Notarizes documents as requested.
Requirements
Experience: 3-5 years of administrative experience in a law firm or legal services industry.
Knowledge/Skills and Abilities:
- Advanced proficiency with Microsoft Office Suite; WORD, Excel, PowerPoint; familiar with current version of software. Ability to execute advanced formatting; table of contents, table of authority.
- Knowledge of legal software and processes; time & billing, expense, scanning, PDF, etc.
- Excellent knowledge of grammar, spelling and punctuation.
- Legal writing skills, knowledge of legal terminology.
- Knowledge of office equipment such as multi-function devices, telephones, facsimiles, etc.
- Strong oral and written communication skills.
- Strong customer service orientation.

Growing commercial litigation law firm is seeking an experienced Paralegal/Legal Assistant to join our Southlake office. The ideal candidate will have a demonstrated track record supporting attorneys in active pre-litigation and litigation matters in a fast‑paced environment.
Job Summary
This position will work closely with attorneys on all phases of civil litigation and transactional matters, including case intake, discovery, motion practice, hearings, mediation, arbitration, and trial. We are looking for someone who can take ownership of files, anticipate next steps, and effectively manage deadlines with minimal supervision.
Key Responsibilities
Job duties will include some or all of the following:
- Managing litigation calendars and case deadlines, including hearings, depositions, mediations, trials, and arbitration settings.
- Preparing, filing, and serving pleadings and other documents in Texas state and federal courts and in arbitration forums (including e‑filing).
- Assisting with written discovery, including drafting shells of discovery requests and responses, organizing productions, and managing document reviews.
- Coordinating and scheduling depositions, court hearings, mediations, and meetings with clients, experts, and witnesses.
- Organizing and maintaining electronic and physical client files, including case chronologies, discovery indexes, and exhibit lists.

Qualifications
- 3+ years of civil litigation paralegal or litigation legal assistant experience in a law firm setting (construction/commercial litigation experience a plus).
- Strong understanding of Texas state court procedures; familiarity with federal court practice is preferred.
- Proven experience with e‑filing in Texas state courts and, preferably, federal courts and/or arbitration forums.
- Mindset of a team player who thrives in a supportive team environment.
- Dependable and punctual attendance with strong ownership of deadlines and follow‑through.
- Proficient computer, organization, time management, and communication skills.
- Experience with Clio or similar practice/file management software is a plus.

JOB DESCRIPTION
Legal Secretary is responsible for providing a full range of administrative support to multiple attorneys in the Litigation Section. The Secretary must have the ability to work in a cooperative, positive manner with all co-workers, clients, and attorneys and must observe confidentiality in all matters relating to the Firm.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential functions are primarily job duties that employees must be able to perform unassisted or with some reasonable accommodation made by the employer.
- Prepares draft documents such as briefs, complaints, motions, subpoenas, and summonses, using firm templates and information from attorneys.
- Coordinates multi-documents for filing, formatting as appropriate for each court (consistent with litigation filing requirements). E-files in both State and Federal courts, as needed.
- Enters and maintains all case information in Court Alert (dates, reminders, etc.)
- Prepares notebooks, binders, exhibits, and other documentation as needed.
- Opens new client/matter files and runs conflict checks in coordination with the New Business Intake team.
- Organizes and maintains all documents in the document management system. Maintains documents in an efficient and effective manner.
- Coordinates document management with either Litigation Support Managers or by saving to the appropriate file management location.
- Proofreads documents for grammar, punctuation, syntax and formatting consistency.
- Manages calendar and assists timekeepers in meeting deadlines. Apprises timekeeper(s) of responsibilities in advance of commitment, as needed.
- Coordinates conferences and meetings, including conference room scheduling, video conferencing scheduling, coordinating meals, and preparing materials, as necessary.
- Handles billing process under the guidance of the attorney, including time entry and billing memos. Ensures timekeepers time entry is closed in a timely manner.
- Receives clients and visitors. Maintains excellent customer service with clients. Observes confidentiality of attorney/client relationship. Prepares materials for client meetings, updates client contact lists, interfaces with client questions.
- Handles check requests, travel expenses and travel arrangements, including airline, car and hotel reservations.
- Processes new attorneys’ admissions to jurisdictions needed for them to be able to file with the court.
- Assists attorneys with memberships outside of the Firm, as needed.
- Coordinates CLE’s for attorneys (submitting for approval, etc.).
- Reads, sorts and dates incoming mail. Ensures outgoing mail is timely delivered. If necessary, routes mail to specific delivery service and follows up on timely delivery.
- Prepares materials for publication or speaking engagements.
- Performs research as needed, utilizing the internet or other web-based programs.
- Coordinates secretary backup support in accordance with the scheduled time off to ensure assistance is provided as necessary.
- Adheres to Firm policies and procedures as outlined in the Firm Handbooks.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
- Bachelor's degree preferred.
- 2-5 years Litigation experience required. Mid-to-large size firm preferred.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel), document management systems (NetDocs), billing software (Carpe Diem) and expense software (Emburse).
- Solid experience working in ECF and Texas state e-filing systems. Familiarity with state and federal rules and procedures.
- Ability to prepare complex documents using advanced word processing features including styles, section formatting, merge, tables, redlining, cross referencing, indices, table of contents, table of authorities, etc.
- Strong attention to detail, proof-reading skills, organizational skills, and ability to manage time effectively.
- Excellent interpersonal and communication skills and the ability to collaborate well in a team.
- Self-starter with the ability to work independently and to perform with a high level of accuracy in a high-volume environment.
- Ability to multi-task while maintaining a quality work product, balancing workload, and meeting deadlines.
