West Coast Resolution Group (WCRG), a division of NCRC, provides exceptional and affordable mediation services to the legal community. Our panel of experienced neutrals brings extensive expertise mediating a wide range of cases. Through this work, we continue NCRC’s mission of helping resolve conflicts in our society, one mediation at a time.
Position Overview
The Case Administrator supports WCRG by assisting with case management and providing administrative support to the case management team, mediators, attorneys, and clients. This role plays an important part in ensuring mediations run smoothly from initial setup through completion. The position includes a combination of administrative case management, client interaction, and mediation support for both remote and in-person sessions.
This is a hybrid/remote position requiring the candidate to work three days per week in the office and two days per week remotely. This schedule is subject to change as needed.
Key Responsibilities
· Creates and organizes case file documentation in the MyCase case management software, including initial case setup with clients, attorneys, mediators, and key deadlines for payments, mediation briefs, and signatures.
· Coordinate logistics for virtual and in-person mediations, including preparing conference rooms and managing Zoom breakout rooms.
· Welcome mediators, attorneys, and their clients and assist with conference room or virtual room assignments.
· Collect and track signed confidentiality agreements prior to mediation.
· Assist in ensuring mediation briefs are submitted to the mediator before the session.
· Prepare conference rooms for mediations and restock supplies as needed.
· Coordinate lunch orders for mediation sessions when required.
· Ensure department laptops and technology are functioning properly for mediations.
· Provide light front desk support.
Qualifications
· Bachelor’s degree or Associate’s degree in a related field.
· Demonstrated experience working in a professional environment.
· A combination of education and 2–3 years demonstrated administrative or clerical experience in an office setting will be considered.
· Strong organizational skills with exceptional attention to detail.
· Ability to manage and prioritize multiple tasks.
· Dependable, professional, and able to maintain confidentiality.
· Experience in a legal or mediation office is preferred but not required.

Promotion Planning

On‑Target Earnings (Examples):
- 12 hires/year → $70,000–$75,000
- 24 hires/year → $100,000–$110,000
- 36 hires/year → $120,000–$140,000
The primary focus of the Client Administrator is to provide technical support to Client Executives and to clients in maintaining Business Insurance insurance policies in accordance with the objectives and procedures outlined by the Business Insurance Procedures Manual and by the Director, Client Services.
Essential Duties & Responsibilities
- Process paperwork for new and renewal business to include:
- Applications and other documents required for a submission
- Binders
- Certificates of Insurance
- Policies
- Invoices
- Finance Agreements
- Endorsements
- Audits
- Perform account reconciliation.
- Review Loss Runs and Claim Status Reports. Order any missing loss runs or request updated loss runs as needed for marketing submission.
- Prepare Summary Of Insurance.
- Have good verbal and written communication skills for both client and internal communication.
- Maintain client files.
- File all documentation in ImageRight per regions filing guidelines.
- Manage Tasks within ImageRight.
- Participate in Errors & Omission audits.
- Establish and maintain positive and effective working relations with other Associates and clients.
Education and/or Experience
- A bachelor’s degree is required, or a minimum of 2 – 5 years industry experience showing increasing responsibility directly related to the performance of the above duties
- A good understanding of insurance terminology, the general functions of an insurance broker, and the various lines of Business Insurance insurance.
- Demonstrated ability to successfully perform the duties of an Insurance Associate if currently employed at Marsh & McLennan.
- Possess and maintain a valid unrestricted California Fire & Casualty Solicitors License.
- Currently hold or be in the process of obtaining an insurance designation with a willingness to pursue advanced insurance designations and continuing education.
- Proficiency with MS Office software (i.e., Word, Excel and Outlook).
- Prioritize tasks, and set and achieve goals, think logically in solving problems and present results neatly, with clarity and precision in both oral and written form.
- Strong attention to detail.
Work Environment & Physical Demands
- Ability to use computer keyboard and sit in a stationary position for extended periods as well as use office machinery such as fax and copy machines, and telephones.
- Work is performed in a typical interior office environment.
The applicable hourly rate range for this role is $21.05 to $44.92.
The hourly rate offered will be determined on factors such as experience, skills, training, location, certifications, and education. Decisions will be determined on a case-by-case basis.
