We are looking for an Operations Admin to join the team in New York (Albany) immediately. This will be a fully on-site role!

You will be supporting an electronic security company that supports all New York State agencies with installation and service/maintenance for access control, CCTV and intrusion detection/alarm systems.

You will be responsible for the following:

- Processing all proposals

- Any administrative support to the Project Managers, Engineers and/or Sales Team

- Retrieving insurance certificates - Check status on equipment orders

- Customer renewals - data entry/submission for renewing service/contracts

- Talking with customers directly -- internal and external

- Working with billing and booking departments to make sure that schedules are being met

- Some basic reception duties as needed

Job Summary & Responsibilities:

• Provide administrative support to various advisors & account managers in a dynamic team environment and provide backup team support as needed.

• Maintain and coordinate detailed calendars including internal & external meetings and conference calls, prioritizing meeting requests and related logistics.

• Coordinates logistics for client calls & advisor meetings that include scheduling, teleconference rooms and calendar conflicts on an ongoing basis.

• Coordinate travel arrangements and processes expense reports in a timely manner.

• Handle highly confidential and sensitive client information with the utmost discretion.

• Prepares and distributes department correspondence, memos, letters, reports or other documents as requested.

• Interacts with high level business leaders in a professional and effective manner.

• Organizes and ships materials to clients. Responds and follows up on client requests.

• Supports the onboarding and integration of new hires on team as well as new client accounts, including performing the relevant data entry processes

• Maintains understanding of firm policies and handles certain issues independently.

• Responsible for participation in ad-hoc and general administrative duties including but not limited to copying, scanning, filing, faxing, archiving, inventory ordering, invoice submissions, shipping, mail and check related processing.

Skills & Qualifications:

• Experience supporting high level executives and/or financial advisors in complex environment, preferably in financial services, private sector or government.

• Ability to exercise good judgment and discretion in dealing with confidential material or handling of highly sensitive information.

• Requires excellent interpersonal and communication skills, both written & verbal. Ability to display a consistent, professional degree of communication.

• Extreme attention to detail and organizational skills, with ability to prioritize tasks.

• Quick learner and self-starter with excellent anticipation skills.

• Pro-active problem solver and independent thinker; ability to follow-up as often as necessary.

Minimum of 1-3 years of previous clinical RN experience in Med-Surg or Progressive Care

Excellent communication, prioritization, organizational and time-management skills

Possesses knowledge of quality concepts, principles, and problem-solving tools and techniques and demonstrates ability to apply in support of departmental and patient care quality improvement.

Essential Duties and Responsibilities include:
o    Obtains and accurately record patient’s vital signs; reports abnormal values to treating provider
o    Obtains and documents a patient’s history (Medical, Surgical and Social) and focused physical assessment, related to the clinic visit and as dictated by clinic procedure
o    Administers medications and treatments to patients in clinic, under the direction of a physician or APP
o    Participates in in-office procedure, as related to clinic specialty, under the direction and supervision of a Physician or APP and documents results in EHR
o    Performs review and triage of incoming test results, patient requests and pharmacy renewals; facilitates call-backs to patients as necessary
o    Facilitates the utilization of resources to meet patient outcomes and contribute to Facility (AMC), New York State and National Quality data metrics
o    Delegates tasks deemed appropriate per licensure of LPN and/or MA
o    Adheres to AMC’s regulatory agency (The Joint Commission) and internal compliance policies
o    Orientation and education of newly hired staff
o    Completes continuous/annual education related to Clinic specialty to maintain knowledge base on current practices
o    Provides education to patients related to their visit and overall health and wellness

Minimum Qualifications:
o    Associate’s degree of a state accredited Registered Nursing program is required
o    NYS current RN licensure to practice professional nursing is required
