Position Summary

The Special Projects coordinator supports the execution of capital expenditure (CAPEX) and facilities-related initiatives across Family Dollar retail locations. This role provides administrative, reporting, and coordination support to the Special Projects team, including managers and directors. The ideal candidate demonstrates high attention to detail, excellent communication skills, and the ability to prioritize tasks in a dynamic environment. This position plays a critical support role in project tracking, documentation, and vendor coordination.

Key Responsibilities:

Project Coordination & Support

• Assist with coordinating special projects, including décor changes, fixture replacements, auto door installations, flooring, refrigeration upgrades, vestibules, and rebanners.
• Support project scheduling, communication, and tracking in Lucernex and Ariba systems.
• Independently manage designated project workstreams, including tracking material orders and confirming installations.
• Communicate project updates and memos to field teams, vendors, and construction personnel.

Administrative & Documentation Support

• Create and distribute project correspondence and schedules.
• Maintain project documentation, including memos, schedules, approvals, and reports.
• Process purchase orders, contractor invoicing, temp labor billing, and vendor payments.
• Support vendor onboarding, ordering, and invoice resolution efforts.
• Organize department records, shared drives, and team calendars.

Communication & Issue Resolution

• Work with the Special Projects Supervisor and Managers to resolve store—or vendor-related scheduling, materials, or installation issues.
• Escalate field and vendor issues promptly to the Manager or Director as appropriate.
• Maintain open lines of communication with internal stakeholders (Finance, AP, Legal, Operations, Merchandising, Portfolio, Construction, Procurement).

Departmental Operations

• Order department supplies and manages mailing and contact lists.
• Assist with freezer/cooler initiatives and other recurring projects.
• Participate in project close-out and data entry processes.

Minimum Qualifications

• A high school diploma or equivalent is required; an associate’s degree is preferred.
• 2+ years of experience in administrative support, preferably within construction, real estate, or facilities.
• Strong proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
• Experience working with construction management systems (e.g., SLM, Ariba, Lucernex) is highly preferred.
• Ability to manage multiple tasks and deadlines in a fast-paced environment.
• Excellent written and verbal communication skills.
• Strong interpersonal skills for collaboration across departments and vendors.

Preferred Qualifications

• Familiarity with store construction, fixturing, planning, or merchandising.
• Self-starter with the ability to work independently while contributing to team success.
• Demonstrated analytical and problem-solving abilities.
• Prior experience supporting CAPEX or multi-site project teams.

• Join, fabricate, and repair metal and other weldable material by applying appropriate welding techniques.
  
• Perform various welding processes to repair, modify and install various pipes, structures, foundations and fittings associated with shipboard hydraulic, pneumatic and water systems.
  
• Fabricate and install fixtures and jigs required for welding process alignments.
  
• Interpret blueprints, specifications, diagrams or schematics to determine appropriate welding process.
  
• Select required welding filler materials, joint design, heat ranges and most effective or required welding process/procedure to ensure quality welding operations IAW TWD.
  
• Inspect completed welds to determine structural soundness and adherence to NAVSEA, ABS & AWS standards.
  
• Install or repairs equipment, such as pipes, valves, floors and tank linings.
  
• Clamp, hold, tack-weld, heat-bend, grind or bolt component parts to obtain required configurations and positions for welding.
  
• Operate manual or semi-automatic welding equipment to fuse basic metal segments, using processes such as flux-cored arc, carbon arc, etc.
  
• Weld multiple types, thicknesses & sizes of pipe, plate & bar material in horizontal, overhead and/or vertical positions.
  
• Document objective quality evidence to the requisite Continental Tide Forms.
  
• Demonstrate the ability to estimate a drawing package / installation.
  
• Utilize the following: SMAW, GMAW & GTAW, Ship Fitting and OXY ACC & Propane GAS Cutting torch.
  
• Provides leadership to technical project teams, oversees scheduling and task execution, and delivers regular updates and briefings to both customers and/or senior leadership

• Must possess a high school, trade or vocational school degree.
  
• Target of 10 years plus of direct experience in ship repair and installation of HM&E systems and equipment.
  
• Ability to read and interpret ship installation drawings, installation specifications and NAVSEA Standard Items is preferred.
  
• Must have or have the ability to obtain a SECRET clearance.
  
• Must have the ability to obtain base access and security credentials.
  
• Travel may be required within and outside of the continental United States.
  
• Due to export control regulations, this role is open to U.S. citizens only.
  
• Possess basic and some advanced specialized welder's tools.
  
• Previous welding certifications or ability to obtain welding qualifications may be used in lieu of experience.

• Exposure to open-air environments, including noisy, hot, and cold conditions.
  
• Required to visit project sites aboard ships and rigs, both onshore and offshore.
  
• Must wear various types of personal protective equipment (PPE), such as hearing, eye, head, and hand protection, as required.
  
• Site visits may involve standing on a variety of surfaces and angles, bending, crouching, and climbing over obstructions such as scaffolding, ladders, and internal barge or boat structural components.
  
• Exposure to sound levels exceeding 100 decibels.
  
• Must possess sufficient visual acuity, peripheral vision, depth perception, and night vision to inspect marine components and systems, identify defects or irregularities, and safely operate tools and equipment.
  
• May work in confined spaces with limited ventilation.
  
• Requires prolonged periods of sedentary work, including sitting and/or standing.
  
• May be required to operate machinery, power tools, and/or heavy equipment.
  
• Must be able to communicate effectively to exchange and comprehend information.
  
• Frequent exposure to extreme weather conditions, including high heat and extreme cold.
  
• Must be able to lift and carry 30 lbs. or more, depending on the task requirements.
