WHAT YOU’LL OWN
Platform & Menu Management
PHG operates across five platforms simultaneously. You own the accuracy and currency of all of them.
- Manage and update menu data across Tripleseat, Toast, 7Shifts, and the PHG website
- Ensure menu changes, pricing updates, and event-specific content are reflected accurately and promptly across all systems
- Coordinate with culinary and events leadership to capture updates in real time
- Serve as the internal point of contact for platform issues and resolutions
Operations & Communications
- Coordinate internal communications between leadership and team members across all PHG operations
- Manage external communications with vendors, partners, and operational contacts
- Support executive leadership with scheduling, correspondence, and day-to-day operational needs
- Ensure information flows clearly, accurately, and on time across the organization
Vendor Coordination
- Manage day-to-day relationships with vendors, suppliers, and service providers
- Track vendor contracts, agreements, and renewal timelines
- Coordinate ordering, delivery, and vendor communications in support of event and operational needs
Compliance & Licensing
- Own PHG’s master compliance calendar — all licenses, permits, certifications, and insurance renewals
- Manage business licenses and permits across Maryland and DC
- Track and renew health permits, catering permits, ServSafe certifications, and regulatory registrations
- Manage annual memberships and vendor registrations
- Coordinate business insurance policies including vehicle, workers’ comp, and umbrella coverage
HR & Team Support
- Manage job postings, resume screening, interview scheduling, and candidate communications
- Lead onboarding for new team members — system access, welcome materials, and orientation
- Maintain employee records and HR documentation in ADP
- Support performance evaluation processes, incident reporting, and offboarding procedures
- Coordinate team engagement activities and employee recognition initiatives
Event Operations Support
- Support scheduling and administrative coordination for catering and hospitality events
- Ensure event documentation, contracts, and permits are organized and compliant
- Coordinate internal communications between leadership, kitchen, and event teams

This role is designed to evolve. For the right person — someone who demonstrates ownership, operational excellence, and leadership over time — the Operations Manager position has a defined path to Director of Operations within two years.

PREFERRED EXPERIENCE & QUALIFICATIONS
- 3–5 years of experience in hospitality operations, hotel administration, catering coordination, restaurant group operations, or food service management

- Experience with platforms such as Tripleseat, Toast, 7Shifts, ADP, or similar hospitality and HR systems

- Undergraduate degree in hospitality management, business, or a related field preferred — equivalent experience considered

JOB SUMMARY
This role is responsible for maintaining profitable value-added, wholesale and PRDC business dedicated to existing Client customers. This person is responsible for establishing and maintaining active relationships with the merchandisers at each Client operating company (OpCo) to provide excellent customer service to each OpCo. This person is also the liaison between Client OpCo and the value-added and operations departments within the facility.
RESPONSIBILITIES
* Keying in orders from each operating company (OpCo) for all value-added and distribution items.
* Communicating all orders to each department in time for all cut-off.
* Distribute pick tickets and load sheets to all Client pullers once the orders are in and complete.
* Give direction to Client pullers for all changes to orders, all cross-dock information, any changes in driver schedules, etc.
* Handling all reporting requests both scheduled and those that come up during each week.
* Maintain working relationships with all departments in OpCo to facilitate complete, on time, accurate loading of all outbound Client trucks including cross-dock items.
* Develop and maintain great working relationships with all produce managers, produce specialists, sales leadership and merchandising teams at each Client OpCo servicing.
* Facilitate the pricing of all products from the value-added departments as well as distribution and ensure it has been sent off to all interested parties each week.

Partner with Outside Developers to drive sales through program compliance at all account sites
Lead Key Account selling team (i.e. category experts, site development, CSM, sales engineers, etc.) to execute account growth plan

Job Summary:
The Accounts Payable Manager oversees the daily operations of the accounts payable function, ensuring timely and accurate processing of invoices, payments, and expense reimbursements, while maintaining a strong business partnering relationship with Procurement and other areas within the company ports. This role is responsible for maintaining strong internal controls, managing vendor relationships, and leading a team of AP analysts and AP specialists to support the companys financial operations. It also oversees the annual AP-related IRS tax reporting, Connecticut Sales tax reporting, and quarterly and year-end AP accrual reporting, as well as any special projects.
The ideal candidate will bring strong technical expertise, including hands-on experience designing, building, and monitoring key performance indicators (KPIs) and operational metrics to support data-driven decision-making.
Core Responsibilities
- Manage the end-to-end accounts payable process, including invoice processing, payment runs, and expense reimbursements andmakes recommendations on hiring, performance appraisals, and all related employment issues.
- Supervise and mentor AP staff, providing training, performance feedback, and development opportunities.
- Developing, implementing, and maintaining systems, procedures and internal controls (AP-related) to ensure adherence to companypolicies, accounting standards, and regulatory requirements and drivingprocess improvements through effective use of systems.
- Design, track, and analyze AP-related KPIs and operational metrics, using data-driven insights to enhance process accuracy, efficiency, and control performance.
- Maintain accurate records and documentation for all AP transactions.
- Monitor aging reports and ensure timely payments to vendors.
- Interact regularly with upper management, other internal customer departments, and external customers to identify and integrate solutions that meet the company's goals both financially and operationally.
- Interact with the Procurement department and external vendors as needed to resolve unusual costing or receipt problems.
- Oversee IRS (1099 & 1042) and Connecticut sales tax reporting.
- Oversee quarterly and year-end AP accrual reporting and performing account reconciliations, resolving discrepancies.
- Assist with audits and provide necessary documentation.
- Research and respond to inquiries from K of C staff and vendors; resolves issues.
Skill Qualifications
