Our non-profit client is seeking an Administrative & Finance Coordinator who will provide essential support across accounting, operations, and administrative management. Reporting directly to the CFO, this individual will play a key role in ensuring the smooth functioning of day-to-day organizational activities, maintaining financial accuracy, and supporting effective internal workflows.
This is an excellent opportunity for someone who wants broad exposure to non-profit operations, enjoys wearing multiple hats, and values flexibility within a supportive work environment.
This position will be HYBRID, requiring 1-2 days in office.
Key Responsibilities:
Accounting & Finance
β’ Assist with accounts receivable processing through QuickBooks Online.
β’ Ensure all monthly financial transactions are accurately recorded in Quickbooks
Online for both bank and credit card reconciliation to be completed by outside
accountant.
β’ Enter basic journal entries and maintain clean, organized general ledger records.
β’ Reconcile monthly grant payments between Quickbooks Online and nonprofit grant
system.
β’ Support the CFO in preparing monthly financial reports, budget tracking, and
grant-related financial documentation.
β’ Maintain accurate financial records in accordance with nonprofit standards and
audit requirements.
β’ Help prepare data and documentation for the annual audit and Form 990 filing.
β’ Assist with donation processing, including issuing donor acknowledgments and
maintaining contribution records.
Operations & Office Management
β’Serve as a primary point of contact for vendors, partners, and internal staff for administrative matters.
β’Support facility and office management, including supply ordering and vendor coordination.
β’ Assist with onboarding logistics for new staff (paperwork, systems access, general orientation).
β’ Maintain organized digital and physical filing systems.
β’ Support event logistics, board meetings, and other internal program needs.
Administrative Support
β’ Manage calendars, scheduling, meeting preparation, and general correspondence.
β’ Draft and format documents, reports, and communications as needed.
β’ Provide administrative support to the CFO and leadership team.
β’ Help streamline organizational processes to improve efficiency across departments.
Qualifications:
β’ 4+ years of administrative, accounting, or operations experience (nonprofit experience preferred but not required).
β’ Familiarity with QuickBooks Online
β’ Strong organizational skills with the ability to prioritize multiple projects.
β’ Comfortable working both independently and collaboratively within a small team.
β’ Detail-oriented, resourceful, and proactive problem solver.
β’ Strong communication skills and a customer-service mindset.
β’ Proficiency in Microsoft Office.
Target Compensation - Salary is up to $60,000 commensurate with experience + employer-paid comprehensive benefits and 401K match

Our client is looking for a full time Sr. Structural Engineer in the NYC area and expertise in bridge rehabilitation analysis and design to lead critical projects in New York.
NYSDOT experience is preferred. Ideal opportunity for a seasoned bridge design
engineer capable of preparing Bridge Rehabilitation Justification Reports (BRJR) and
related Design Documents and developing Preliminary and Final Design plans, leading
rehabilitation design efforts from concept through completion.
- Lead structural design and analysis and develop rehabilitation strategies, including deck replacement, structure steel retrofit, and substructure repairs of highway bridges and transportation structures.
- Prepare and oversee development of BRJR and design approval documents,
- preliminary and final design plans, specifications and cost estimates.
- Evaluate structural deficiencies and develop rehabilitation vs. replacement
- strategies.
- Perform and supervise load rating analysis and bridge design using AASHTOWare Bridge Rating (BrR) and AASHTOWare Bridge Design (BrD) software.
- Develop structural calculations, reports, cost comparisons, and life-cycle assessments.
- Ensure compliance with NYSDOT Bridge Manual, AASHTO LRFD, and applicable federal/state standards.
- Coordinate with clients including NYSDOT Structures Division and regional staff during design and review processes.
Required Qualifications
- Bachelorβs degree in Civil Engineering (Masterβs preferred).
- Active Professional Engineer (PE) license (NY preferred or ability to obtain).
- 10β15+ years of experience in bridge design and structural engineering.
- Demonstrated experience preparing or leading NYSDOT BRJR, design
- documents, preliminary and final design plans, specifications and cost estimates.
- Strong experience in bridge rehabilitation, substructure and superstructure
- design.
Proficiency in:
- AASHTOWare BrR / BrD software
- MDX
- CSI, SAP or equivalent structural analysis software
- AutoCAD and/or MicroStation (MicroStation preferred)
- Strong understanding of bridge inspection data, condition ratings, and deterioration mechanisms.
- Proven ability to lead projects and guide technical staff.
