Job Title: Executive Assistant-CTO

Role Summary:

Executive Assistant’s main role will be to provide critical operational support to the Chief Technology Officer. The Executive Assistant will ensure smooth transitioning for day-to-day functioning of the IT department, serve as the primary point on contact for internal and external parties, prepare travel arrangements for all IT staff, prepare and execute expense reports and maintain consistent and effective communication across the organization.

Duties/Responsibilities:

  • Act as the point of contact among executives, employees, clients and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage executives’ calendars and set up meetings
  • Make travel and accommodation arrangements
  • Track daily expenses and prepare weekly, monthly or quarterly reports
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Hold weekly IT meetings with IT staff to streamline communication
  • Represent the IT department on any weekly calls
  • Distribute correspondence as needed

Skills/Requirements/Qualifications:

  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners.
  • Strong Project Management exposure and background is highly preferred.
  • Advanced proficiency in MS Office Suite, Powerpoint, SharePoint, Smart Sheets, Visio, Concur and other data management systems knowledge is required.
  • Ability to conduct research and present data in a succinct and well-written manner.

Key Duties and Responsibilities:

The Trulieve Wholesale Brand Ambassador will work very closely with the sales organization and Wholesale Marketing Manager to reach new customers/ satisfy current customers through marketing initiatives, localized marketing and/or events, and other activities that drive traffic, increase conversion, and deliver brand excitement. We are seeking outgoing, enthusiastic team members to work with dispensaries and vendors to staff various events/promotions and pop-ups for Trulieve. As a Brand Ambassador for Trulieve, you will be the face of our brands, engaging with dispensaries, retail customers, and patients while teaching them about our products. This will require being knowledgeable and educated with our processes, procedures, and products. Ideal availability will be nights and weekends.


Primary Responsibilities:

β€’ Interact in a friendly, enthusiastic, energetic and outgoing manner with dispensaries, retail customers, and patients in public settings.

β€’ Generate brand awareness and positive product impressions to increase product awareness

β€’ Assess customers’ needs and interests to best recommend products

β€’ Set up, break down, product sampling and education stations during in-store demonstrations

β€’ Timely completion of all event reports, paperwork, and on-going training commitments

β€’ Partner with Sales & Wholesale Marketing to execute marketing event and program calendars to increase awareness, drive engagement, generate leads, and support conversion rates.

β€’ Perform budtender educations, gather store contact information and educate store staff

β€’ Represent our portfolio of brands at events and provide product knowledge to patients and consumers

β€’ Travel around the state as necessary



Requirements:

β€’ 2+ years of working experience in field marketing and/or marketing space

β€’ High School Diploma preferred

β€’ Previous experience planning and executing marketing events and campaigns.

β€’ Strong communication skills

β€’ Must be able to work seated/standing as appropriate at workstations for extended periods of time, maintain body equilibrium while climbing ladders, stairways, stopping, kneeling, crouching, and reaching, and use hands/fingers to hold, grasp, turn, pick, pinch frequently/constantly to complete tasks

β€’ Must have visual acuity with/without job aids to perform activities such as; reading, viewing a computer terminal, visual inspection involving small parts/details. Clarity of vision at 20 ft or more in day and night/dark conditions

Legal Administrative Assistant

Position Summary:

The Legal Administrative Assistant supports the Legal Department by managing attorney calendars, coordinating meetings, preparing routine correspondence, and maintaining departmental processes and documentation. This role helps administer legal systems such as Legal Tracker, SharePoint, and DocuSign CLM, assists with outside counsel engagement and billing, and manages legal mailings and document handling. The position also supports entity management, organizes corporate governance records, and serves as a liaison with internal teams such as Finance and IT. Additional administrative duties will be performed as needed to ensure smooth Legal Department operations.

Essential Duties and Responsibilities:

  • Support Legal Department with clerical and general administrative functions.
  • Update and maintain attorney calendars, including scheduling appointments, coordinating meetings, and prioritizing schedules. Ensure meeting logistics are arranged and adjust schedules proactively to resolve conflicts.
  • Draft routine correspondence using attorney-approved templates.
  • Coordinate Legal Department operations by creating, maintaining, and updating process documentation in conjunction with LegalOps. Keep all operational manuals and records current.
  • Utilize and coordinate department usage of Legal Tracker, SharePoint for document management, internal resources for entity tracking, DocuSign CLM, and outside vendors for entity formation, dissolution, and DBAs.
  • Assist with intake/engagement of outside counsel, including providing billing and matter management guidelines, setup in Legal Tracker, Q&A and technical support within the matter management platform.
  • Manage legal billing and settlement payment processes.
  • Handle mailing and courier services related to legal documents and filings as needed.
  • Support entity management with CSC (or similar provider), including formations/dissolutions, annual reports, DBAs, and filings; maintain the entity register.
  • Act as inter-departmental liaison with Finance, IT, Marketing and others as needed to support the Legal Department.
  • Organize corporate governance documents (e.g., consents, operating agreements, EIN letters).
  • Liaise with IT and internal partners for access/process questions; handle business-critical mailings (FedEx/UPS/USPS, certified mail).
  • Perform other administrative duties as assigned.

Qualifications:

  • High school diploma or equivalent required; Associate's/Bachelor's preferred.
  • 4+ years in legal administration/operations, e-billing, contract support, or professional services operations.
  • Experience partnering with Legal, A/P, Payroll, IT, and external law firms/vendors.
  • Proficiency with legal e-billing/matter management platforms (Legal Tracker or similar).

JOB RESPONSIBILITIES:

The Human Resources Business Partner will assist the in the assigned HR functions to support company culture and growth. This role will facilitate employee relations on behalf of the company within the different locations in the designated geographic area(s). The Human Resources Business Partner will help to provide an excellent workplace experience, assisting with inquiries about company policies, and ensuring best employee relations practices.

ESSENTIAL FUNCTIONS AND BASIC DUTIES:

  • Meets regularly in the assigned locations and attends department meetings to understand goals and objectives to provide appropriate guidance and support.
  • Provides day-to-day assistance to all employees within the geographic area in any HR related matters maintaining effective communication.
  • Recognizes sensitivity, complexity, and urgency of employee relations issues and takes appropriate action to provide sound guidance on resolutions protecting sensitive information or escalate issues to Senior Human Resources Manager.
  • Serves as the initial contact and liaison for intake and assessment of employee issues and complaints.
  • Responds to fact-findings and to conduct prompt, thorough, neutral, and accurate workplace investigations related to employee misconduct, discrimination, and other complaints.
  • Conducts high-level workplace investigations on short timeframes ranging from simple to, sometimes, complex issues and escalating most significant issues to Senior Human Resources Manager.
  • Tracks and logs thorough documentation of all incident reports and investigations on employee-related incidents following company protocols and in the corresponding company systems.
  • Assesses training needs and provides recommendations on topics of employee-related training with Regional HR and assists with the coordination of training as needed.

  • Provides feedback to the Senior Human Resources Manager and Area Managers regarding trends revealed when conducting exit interviews.
  • Provides feedback to Talent Acquisition Recruiters regarding the competency of terminated employees.
  • Participates in legal hearings to provide testimonies and monitoring proceedings.
  • Assists the HR team with ensuring Employee Handbook is updated with current policies and procedures.
  • Works closely with management and employees to improve work relationships, build morale, increase productivity, and retention.
  • Provides recommendations on policies and procedures that support best practices and a positive work environment

REQUIRED EDUCATION AND EXPERIENCE:

  • Bachelor’s degree in human resources or related field required.
  • Minimum of three years of professional HR experience. One year of employee relations experience or equivalent through training and/or education.

SKILLS/ABILITIES:

  • Excellent oral and written communication skills, including excellent documentation and presentation skills.
  • Thorough understanding of state and federal laws concerning labor relations, employment laws, EEOC, ADA, and any others.
  • Ability to comprehend, interpret, and apply the appropriate sections of applicable laws, guidelines, regulations, ordinances, and policies.
