About the role:
We are seeking a Dispatcher who excels in route assignments, driver communication, and real-time problem solving. In this critical role, you will be the central hub of communication for our Delivery Service Partners (DSPs) and drivers, ensuring the efficient execution of daily routes and the highest standards of delivery performance. This role is highly hands-on and requires constant presence on the dispatch floor—managing drivers, finalizing routes, solving issues quickly, and ensuring all packages leave the warehouse according to plan. The dispatch team is the final checkpoint, ensuring that every route leaves the building accurately, safely, and on time. This is not a desk or computer-heavy role. It is a floor-based operational control role requiring fast decision-making, clear communication, and strong situational awareness.
Key Responsibilities
1. Route Assignment & Dispatch Management
- Finalize and assign daily routes to drivers and DSPs based on prepared manifests.
- Ensure each driver receives the correct route sheet, package count, and load instructions.

Project Administration & Aspire Management:
- Manage project setup, documentation, and administrative workflows within Aspire ERP.
- Create and maintain accurate project records, budgets, schedules, and job files.
- Process and track Purchase Requests (PRs) and Purchase Orders (POs).
- Ensure project data remains clean, compliant, and consistently updated throughout the project lifecycle.
- Support Project Managers with reporting, tracking, and documentation needs..
Subcontractor Agreements & Compliance
- Prepare, track, and manage subcontractor agreements for Landscape Construction projects.
- Ensure all subcontractor documentation is complete, signed, and properly filed.
- Coordinate with Operations and Finance to support subcontractor compliance and payment readiness.
- Maintain an organized subcontractor documentation and tracking system.
Operational & Finance Coordination:
- Partner with the Finance and Accounting teams to meet operational submission requirements.
- Submit proper documentation for billing, job costing, and reconciliation.
- Assist with invoice processing and approval workflows.
- Serve as a liaison between Project Managers and Finance to ensure accurate financial tracking.
Project Lifecycle Support:
- Support projects from pre-construction setup through final closeout.
- Track administrative milestones and deadlines to ensure nothing falls through the cracks.
- Assist Operations Managers, Field Supervisors and Project Managers with documentation, reporting, and compliance needs.
- Ensure consistency and organization across all active projects.
Organization & Process Control:
- Establish and maintain strong systems for organization, tracking, and follow up.
- Enforce structure and accountability in project documentation and workflows.
- Identify inefficiencies and recommend improvements to administrative and project processes.
- Maintain high standards for accuracy and consistency across all projects.
FIRST YEAR EXPECTATIONS & ONGOING EXCELLENCE
- Become fully proficient in Aspire ERP and RL’s Landscape Construction workflows.
- Own the PR, PO, and project administrative processes for the Construction Division.
- Build reliable systems for subcontractor agreements and compliance tracking.

QUALIFICATIONS:
- Bachelor’s degree in Construction Management, Landscape Architecture, Business Administration, Engineering, or a related field required.
- Entry level to 3 years of experience in project coordination, construction administration, or operations support preferred.
- Strong computer skills with the ability to learn and operate ERP systems such as Aspire and Microsoft Office tools.
- Highly organized with strong attention to detail and ability to manage multiple priorities.
- Effective written and verbal communication skills across field, management, and Finance teams.
- Self-motivated, dependable, and eager to learn project coordination and construction operations.
- Ability to work independently and within a team-oriented environment.
- Interest in long term growth within Landscape Construction and project management.

Position: Legal and JV Operations Coordinator – San Diego, CA
About the Role: The Legal and JV Oper administrative and operational support across Legal, Insurance, and Joint Venture Accounting functions. This role is responsible for managing corporate compliance filings, litigation and claims documentation, insurance tracking, JV accounting administrative processes, and invoice management. The position plays a critical role in ensuring accurate documentation, timely filings, organized contract management, and visibility into claim and insurance trends.
Specific responsibilities include:
Legal Operations & Litigation Support
- Coordinate document production to outside counsel and assist in discovery responses
- Track claims data including type, frequency, and settlement values
- Acknowledge Service of Process (CT Corp)
- Prepare, proofread, and format legal documents and presentations
- Maintain contract management and organized legal file systems
Insurance Administration & Claims Tracking
- Track insurance policies, COIs, renewals, and historical renewal costs

Position Overview
The Production Coordinator is a key operations role responsible for managing the administrative, scheduling, and logistical workflow of construction projects from award through closeout. This position serves as the central hub for project data, material coordination, scheduling, and financial documentation within the company’s project management systems.
The ideal candidate is highly organized, process-driven, and thrives in a fast-paced construction environment where accuracy, communication, and proactive problem-solving are essential to keeping projects on track.
Key Responsibilities
Project Setup & Scheduling
- Create and manage new projects within the project management system (e.g., Buildertrend ).
- Maintain synchronization between internal systems, client portals, contracts, and plan sets.
- Upload and manage construction documents, approved plans, and scopes of work.
- Generate and maintain Bills of Materials (BOMs) based on final scopes and schedules.
- Build and continuously update production schedules, coordinating crews and material delivery timelines.
Procurement & Materials Coordination
- Issue and track all Purchase Orders (POs) and electronic purchase orders (ePOs) to vendors and suppliers.
- Proactively confirm material readiness and delivery dates to support production schedules.
- Communicate delays or shortages to Project Managers and Operations leadership.
- Process and track all material returns, ensuring credits are properly issued and applied.
Financial & Subcontractor Administration
- Collect, audit, and submit subcontractor payroll and pay sheets for processing.
- Track job costs and administer back charges related to quality issues, non-compliance, or incomplete work.
- Maintain accurate financial documentation within project management and accounting systems.
- Support warranty tracking, documentation, and closeout processes.
Safety & Regulatory Compliance Support
- Submit and track all required 811 utility locate requests prior to excavation or site work.
- Maintain safety documentation and assist with OSHA recordkeeping and compliance tracking.
- Support incident documentation and reporting in coordination with safety and operations leadership.
- Ensure all required closeout documentation is collected and stored appropriately for invoicing and records.
Operations & Process Support
- Maintain organized, audit-ready project files across all systems.
- Support continuous improvement of production workflows and documentation processes.
- Act as a liaison between Project Managers, field teams, vendors, and accounting to ensure smooth project execution.
Required Qualifications
- Proven experience in a construction operations, project coordination, logistics, or administrative support role.
- Strong understanding of Purchase Orders, invoicing support, material tracking, and cost documentation.
- Advanced proficiency in Microsoft Excel and Outlook.
