Wholesale Operations Coordinator
Location: Ogden, UT (On-site)
Demand Planning Team | Reports to Demand Execution Lead
Compensation: $60,000 – $70,000 annually, based on experience
Position Summary
The Wholesale Operations Coordinator is the execution backbone of our wholesale planning
function. Where the Wholesale Planner works with retail buyers on assortment strategy and
demand forecasting, this role ensures that what gets planned actually gets delivered — on time,
accurately communicated, and with zero surprises.
This person owns the PO data layer for all wholesale accounts: managing purchase order
accuracy, aligning ship and cancel dates to inbound schedules and warehouse capacity, and
maintaining the operational rhythm that keeps wholesale fulfillment running smoothly. They are
also the primary point of contact for retail buyers on order status, communicating weekly
through structured order memos that provide clear visibility and proactive substitution guidance
when inventory constraints arise.
This role works in close coordination with the Wholesale Planner and reports to the Demand
Execution Lead, who oversees fulfillment operations for the team.
Key Responsibilities
1. Purchase Order Management
• Own the accuracy and maintenance of all wholesale PO data — including quantities,
ship dates, cancel dates, and item-level details — across all key accounts
• Monitor open PO status daily, flagging date conflicts, quantity discrepancies, or data
integrity issues before they become fulfillment problems
• Coordinate PO date adjustments in alignment with inbound shipment schedules and
warehouse receiving capacity, working closely with the Demand Execution Lead to
sequence orders appropriately
• Maintain clean and current PO records in the ERP system, ensuring data is reliable for
planning, finance, and operations teams downstream
• Partner with the Wholesale Planner to ensure order commitments reflect current
inventory availability and demand plan outputs
2. Inbound & Warehouse Coordination
• Track inbound shipments relevant to wholesale account fulfillment, maintaining visibility
into expected receipt dates and flagging delays that could impact ship windows
• Align wholesale ship dates to warehouse receiving and pick-pack schedules,
communicating proactively with the Demand Execution Lead when capacity conflicts
arise
• Flag hot inbounds — shipments that are critical to meeting imminent ship dates — and
coordinate with operations to prioritize receiving and processing accordingly
• Maintain a forward-looking view of what needs to arrive, when, and in what quantity to
support the wholesale order book without disrupting other channel operations
3. Weekly Buyer Order Memos
• Produce and distribute weekly order memos to retail buyers at all key wholesale
accounts, providing a clear and consistent update on order status, expected ship dates,
and any changes since the prior communication
• Proactively identify inventory constraints that affect open orders and develop substitution
recommendations in partnership with the Wholesale Planner — communicating these to
buyers clearly and in advance of ship dates
• Maintain a professional, reliable communication cadence with buyers that builds trust
and reduces inbound inquiries by getting ahead of questions before they arise
• Document buyer responses, acceptances, and substitution decisions, keeping the
internal team informed and the PO record updated accordingly
4. Data Integrity & Operational Reporting
• Serve as the first line of defense for wholesale order data quality — catching errors,
mismatches, and stale records before they surface as fulfillment issues or buyer
disputes
• Support the Wholesale Planner and Demand Execution Lead with regular reporting on
open order status, fill rate, and on-time ship performance by account
• Maintain item-level data hygiene for wholesale accounts including UPCs, pack
configurations, and account-specific requirements that affect order processing
• Flag patterns in order discrepancies, late shipments, or substitution frequency that signal
upstream planning or supply issues worth escalating
Qualifications
Required
• 2+ years in a supply chain, operations coordination, wholesale operations, or order
management role — ideally in a consumer goods or distribution environment
• Strong attention to detail and data accuracy; comfortable managing high volumes of
order-level information without losing precision
• Proficiency in Excel and/or Google Sheets and the ability to work efficiently with
structured data exports from ERP systems.
• Clear and professional written communicator — this role writes buyer-facing memos
weekly and needs to translate operational complexity into clean, readable updates
• Organized and proactive; able to manage multiple open order books simultaneously and
flag issues before they escalate
Preferred
• Experience with ERP systems (NetSuite or comparable) for PO management and order
data extraction

How This Role Fits the Team
The Wholesale Operations Coordinator works as the operational counterpart to the Wholesale
Planner. While the Planner owns the forward-looking view — assortment strategy, demand
forecasting, and account productivity — the Coordinator owns the execution layer: ensuring that
orders are accurate, dates are feasible, inbounds are tracked, and buyers are always informed.
Reporting to the Demand Execution Lead, this role is embedded in the day-to-day rhythm of

The HR Operations Specialist is the first point of contact for employee and manager HR requests through QXO’s HR Service Center. This role delivers Tier 1 case based support across the employee lifecycle by resolving standard inquiries, completing defined HR transactions, and guiding leaders and employees to the right processes, tools, and policies. Key Responsibilities

Knowledge, Digital Support, and Continuous Improvement
- Contribute to and maintain knowledge articles, templates, and standard responses to reduce repeat contacts and improve self service
- Tag cases accurately and surface trends, contact drivers, and opportunities for automation, workflow improvements, and policy clarification
- Participate in quality reviews and coaching to improve first contact resolution, cycle time, and customer experience

But that’s just a beginning in Santa Cruz and in Eugene-Springfield, and as we plot next communities to serve.
For this position, we’re seeking a spirited, top editor/news product innovator ready to work with great colleagues to take Lookout Santa Cruz specifically and Lookouts overall to next levels of journalism, community service and revenue generation. This position encompasses four main initiatives:
1) Building on the successful, Pulitzer Prize-winning Lookout Santa Cruz start of four years. Builds on Lookout’s already impactful new product creations – including Neighborhood Newsletters, Briefs, Story Maps, Events integrations and more – proactively assesses, innovates and tests new ways of creating news and information that will serve and delight audiences. Builds upon the Lookout Playbook, applying both audience strategy and judgment that maximizes the best use of now-emerging technologies. Working with the managing editor, focuses on the next phase of our coverage plans, as we increase staffing, leading to the updating of a 2025-2026 community news and information plan. In this strategic content and product analysis, and product development, works as a member of Lookout’s overall senior leadership team as well as with its product and revenue teams as well.
2) Leading, along with colleagues, Lookout’s expansion efforts to other cities. Patterned on Lookout’s highly successful fundraising, planning, hiring and deployment for Lookout Eugene-Springfield, strategizes next markets.
3) Serving as a prominent public face, with publisher-like interaction, in the wider Santa Cruz County community and nationally. Become a familiar face in civic and business circles, a company presence that augments what our correspondents, ad salespeople and community engagement people do. Include creating useful community partnerships, talks to civic groups, moderation of events, 1:1 lunches with elected, business and non-profit leaders. Works with the managing editor and community and student engagement manager on a scheduled, steady, and strategic, stream of Lookout Listens and issue-oriented forums. Nationally, becomes another key spokesperson for Lookout’s success and expansion strategy.
4) Leads, with managing editor, next plans for development and training in the newsroom, creating a development program for journalists, individually, and collectively, setting up a steady cadence of learning/training programs. The executive editor role requires a demonstrated, collegial leader, with substantial newsroom management, well-tested digital and audience experience, and one who excels in building further on both a set of products and a culture of excellence and collaboration. Working with the managing editor, who will direct the newsroom day to day, the ideal candidate both values Lookout’s early success and offers a vision of its next steps, steps that are both mission- and business-building. Deeply using audience analytics, the ideal candidate will proactively assess and recommend initiatives that do both, using emerging digital tools to their optimal points, and work closely with both the newsroom and Lookout’s senior team to advance quickly the work that must be done to push forward Lookout locally and nationally.
Responsibilities:Leadership and Team Management: Lead, along with the managing editor a growing newsroom of skilled journalists, fostering a culture of excellence, innovation, collaboration and reader service. Become a key public presence of Lookout in the civic, business and non-profit communities Mentor and develop journalistic talent, with programs of learning and training, ensuring high standards of reporting and storytelling. Engage with the community to understand their needs and interests, ensuring the newsroom’s work reflects and serves the community. Represent Lookout Santa Cruz at public events and forums, building strong relationships with community members. Aim to build local media partnerships around content and promotion.
Editorial Direction: Shapes and guides the next generation of editorial vision and strategy for Lookout Santa Cruz, applying Lookout’s overall model and high standards of reporting, editing and presentation. Reviews current product set and lead adjustments in it with renewed strong focus on audience and analytics, working with managing editor, newsroom team and Lookout’s leadership team. Includes, website, apps, metro, niche and neighborhood newsletters, email alerts, notifications, forums. Proactively innovates touchstone series for which Lookout can claim – and fulfill coverage – on topics of known audience interestPuts into effect a story/series planning regimen that maximizes productive work, improves workflow and is of visible use to the Commerce & Community team. Ensures the production of high-quality, engaging, and reader-centric news and information products that drive both mission and business results. Shapes expanded “Info Central” vision of positioning Lookout as a center for many kinds of information as well as news. Maximizes regional, state and national content partnerships that add depth to Lookout Santa Cruz’s local-first position.
Digital Expertise: Eagerly apply current digital tools and emerging technologies that grow our impact in news delivery and reader engagement. Drive innovation in digital storytelling, ensuring content is optimized for various platforms and devices, and reaches diverse audiences, including increasing integration of video and audio storytelling.
Collaboration with Business Side and in Building Lookout Network: Partners, along with the managing editor, with the business team to align editorial and business goals. Work collaboratively to create products and initiatives that meet the needs of readers and support business objectives. Drives larger Lookout network expansion through both Santa Cruz and innovations beyond
Editorial Integrity and Standards: Uphold the highest standards of journalistic integrity and ethics. Ensure all content is accurate, fair, and non-partisan.
Qualifications: Proven, substantial leadership and management experience in a similar role within a news or media organization. Strong background in digital journalism and audience/product-focused analysis and familiarity with current digital tools and platforms. Excellent editorial judgment, great editing chops from daily to investigative storytelling. Demonstrated ability to create and sustain a collaborative, high-performing newsroom culture. Experience working closely with business teams to align editorial and business strategies. Passion for Lookout Santa Cruz’s mission and a deep understanding of the local community. We are looking for a technically strong, business-minded developer to design, build, and maintain internal applications and automations that improve how our team’s work. This role supports business processes, data, and technology and plays a key role in modernizing workflows across the organization. This role is suited for a strong mid-level to senior developer who can work independently while collaborating closely with team members and stakeholders.
While Microsoft Power Apps and Power Automate are core tools today, this role goes beyond low-code development. The ideal candidate brings strong fundamentals in application design, data flow, and user experience, with the ability to build scalable, secure, and well-documented solutions that can grow with business.
Key Responsibilities
- Design, build, and maintain end-to-end internal business applications using Microsoft Power Apps and related technologies.
- Develop business logic and workflow automation using Power Automate, integrating with internal and external data sources including Dataverse, SharePoint, SQL databases, and third-party APIs.
- Partner with stakeholders and leadership across multiple departments to understand business processes, gather requirements, and translate needs into practical, scalable technical solutions.
- Design secure, role-based solutions with appropriate permissions, governance controls, and environmental strategies following Power Platform ALM best practices.
- Ensure applications are well-structured with clean data flow, clear separation of logic, and thoughtful handling of edge cases and exceptions.
- Monitor, enhance, and support existing applications and automations to improve reliability, performance, and user adoption over time.
- Produce clear and thorough documentation covering business requirements, technical design, data structures, workflows, and known constraints.
- Contribute to and follow established development standards, templates, and best practices to ensure solutions are consistent, maintainable, and easy for other developers to support or extend.

Technical Requirements (Must Have)
- Hands-on experience building and maintaining custom, end-to-end applications using Power Apps.
- Strong experience developing business logic and workflows using Power Automate.
- Experience integrating multiple data sources, including Dataverse, SharePoint, SQL databases, and external APIs.
- Ability to design secure, role-based solutions with an understanding of Power Platform governance, environments, and ALM practices.
- Strong understanding of user-centered design principles and how they influence application structure, usability, and adoption.
- Proven ability to design solutions with well-organized data flow and clear movement of information between systems.
- Strong written communication skills, with the ability to create detailed technical and functional documentation.
Preferred Skills
- Power BI development experience using existing datasets and data models.
- Strong working knowledge of DAX and Power Query (M language).
- Experience building reports or dashboards that support operational or financial decision-making.
Experience Requirements

UI & Front-End Development Foundations
Even when working within low-code platforms, developers in this role are expected to understand core UI and front-end concepts, including:
