Job Duties and Responsibilities (Essential Job Functions)
- Cultivates partnerships with local real estate sales offices by marketing property management services to agents and managers.
- Onboards new accounts, including providing recommendations to owners in terms of marketability, improvements, and pricing.
- Markets rental properties through the Multiple Listing Service and advises owners of progress of showings, feedback and applicants.
- Processes applicants for tenancy after obtaining screening with owner consultation.
- Conduct, coordinate and review property surveys/inspections for lease compliance, maintenance oversight and recommendation for lease renewal.
- Prepares all management leases. Assures that certified funds and security deposit have been collected. Monitors unpaid rents and assures delinquency notices are sent. Recommends initiation of legal actions in a timely manner as needed.
- Coordinates and negotiates lease renewals, including recommended rent increases
- Communicates and advises owner in a timely manner of actions and or funds needed to maintain property.
- Maintains property files in AppFolio and keeps operations team and Customer Experience team updated on status of properties.
- Communicates with owners regarding vacancies, leasing activity, applications, new tenants, lease renewals and property legal matters such as HOA, condo or formal complaints in.
- Stays informed on maintenance, inspections, and other items that involve the property.

Education:

Tenant Relations:
- Interact and correspond with tenants to address problems or complaints, as it relates to housekeeping, maintenance, leasing or accounting

- Assist Property Manager with weekly tenant visits as required by client and maintain tenant visit log
- Prepare monthly newsletters and other publications (Fire Plan, Tenant Manual) for distribution.

Facility Management:
- Walk buildings and inspect for maintenance, janitorial & landscape issues
- Walk and inspect vacant suites bi-weekly; complete check list and call in necessary repairs
- Complete monthly building inspections for assigned buildings and place service requests and follow up on completion
- Maintain building signage, order/remove and bill back
- Maintain building access system, handle tenant request for access cards and keys
- Assist Property Manager with construction and interact with contractors for the completion of tenant improvement projects. Prepare specs and obtain bids for building improvements Document incidents and make sure report is routed to all parties
Administrative Responsibilities:
- Responsible for administrative tasks including, but not limited to filing, mailing, ordering office supplies, preparing monthly expense reports for Property Manager and Maintenance Staff, etc.
- Prepare and track all vendor contracts. Maintain current vendor list. Obtain current COI, business licenses and W-9 on all Vendors
- Maintain and keep up to date tenant contact lists and current (COI’s) certificate of insurance
- Update Clients web site monthly with current tenant contact information
- Maintain and keep up to date web base program for building information and preventative maintenance work order system
- Maintain on site lease files
Financial Reporting:
- Prepare monthly budget variance reports for assigned buildings for the Property Manager’s review
- Assist Property Manager with placing calls to tenants regarding collection of past due rents on the 10th, 20th and end of month. Produce MRI Aging Report. Correspond with Tenant and update MRI reports
- Assist in budget planning, i.e., print reports and obtain bids
- Assist Property Manager with invoices, i.e., tenant bill backs, researching invoices, GL coding, etc.
- On a monthly basis, prepare meter reading and tenant bill backs for accounting
- Upload bill backs in the accounting web base program
- Review rent rolls for accuracy and compare with MRI rent roll
Performs other related duties and assignments as required.
Qualifications:
- College Degree preferred or progressive work experience addition to the qualifications below
- Real estate license or ability to obtain license
- Front desk or office management experience
- Two (2) + years’ experience in commercial real estate environment
- Proficient in Microsoft Office Products, Word, Excel and Outlook
- Publisher and Digital Camera knowledge helpful
- MRI Real Estate Software experience or ability to learn new programs quickly
- Desire to pursue CPM designation
- Excellent grammar, clear written and oral communications skills are essential

The Assistant Property Manager compensation will be based on experience and qualifications. This range is subject to local, state and regional dynamics and may be adjusted up or down depending on market conditions.

About the Role

- Provides support for the presentation, discussion, and auditing of diagnostic estimates within key regional markets, contributing to the assessment of estimate quality. During a catastrophe, or post event, performs property reinspections for catastrophe claims with a minimum of 28 consecutive days during the catastrophe event or post event. Requires working time requirement of 7 consecutive days, 7:00AM 7:00PM, member time.
- Ensures risks associated with business activities are effectively identified, measured, monitored, and controlled in accordance with risk and compliance policies and procedures.

As a dedicated Quality Property Reinspector, you will ensure a quality property repair estimate and valuation product by focusing on targeted areas to continuously calibrate the reinspection process, validates reported findings and provides an objective subject matter expert (SME) knowledge to the Property Claims community and Third-Party vendors. What you’ll do:
- Measures property estimates accuracy and efficiency through conducting thorough, timely re-inspections/audits of property and property repair estimates, and reports on payment accuracy and compliance by method of inspection (Staff, PDRP, Independents and Third-Party vendors).
- Reports reinspection/audit findings on estimate accuracy and compliance by method of inspection (Staff, PDRP, Independents and Third-Party vendors) for corporate score cards.
- Assesses the health of property estimating through participation in ad-hoc and market audits, working closely with Claims stakeholders to identify areas for improvement.
- Provides objective, proactive, and actionable feedback of Physical Damage (PD) policy, procedures and regulations to the Claims Stakeholders and Third-Party vendors.
- Creates awareness and drives understanding of Property adjusting and estimating procedures by delivering a work product that is consistent and compliant with policy, procedures, and regulations to Claims Stakeholders.
- Serves as a Property Adjusting SME on property estimating through post audit calibration meetings, ride-a-longs with other Property employees inspecting property, training materials, Property Director teleconferences and Property Champion teleconferences.
- Applies expert knowledge of P&C insurance industry products, services, and processes to include P&C insurance policy contracts and coverages, USAA property estimate/repair process and procedures.
- Provides support for the presentation, discussion, and auditing of diagnostic estimates within key regional markets, contributing to the assessment of estimate quality. During a catastrophe, or post event, performs property reinspections for catastrophe claims with a minimum of 28 consecutive days during the catastrophe event or post event. Requires working time requirement of 7 consecutive days, 7:00AM 7:00PM, member time.
- Ensures risks associated with business activities are effectively identified, measured, monitored, and controlled in accordance with risk and compliance policies and procedures.
