We are currently recruiting for an Executive Assistant in New York City (Midtown). This is a temporary (possible Temp to Perm) opportunity. Hybrid schedule in-office 3 days and two days remote (with some flexibility on days and support hours based on Executive needs and travel). The Executive Assistant will provide comprehensive administrative and coordination support to the CEO. Responsibilities:
- Support the coordination and maintenance of the CEO’s complex and dynamic schedule, working closely with the primary executive assistant, internal leadership, and external contacts to facilitate high-priority meetings and engagements.
- Ensure the CEO has clear visibility into upcoming commitments by maintaining an accurate and well-organized calendar and proactively flagging priorities, conflicts, and required materials in advance.
- Coordinate scheduling adjustments and logistics in real time to ensure meetings and commitments proceed efficiently.
- Maintain systems to track requests, deadlines, and follow-ups related to the CEO’s schedule to ensure timely responses and completion of commitments.

About the Role

-Perform all financial and accounting activities, including financial statement preparation, forecasting, budgeting, bank statement reconciliation, Payroll, Accounts Payable, Accounts Receivable and Treasury.
- Assist in maintaining accounting ledgers; preparing cash transaction entries for general ledger; posting and reviewing journals; monitoring investment fees; updating dividends; reconciling accounts by comparing and adjusting transactions.
- Assist in maintaining special market accounts by ensuring compliance with procedures for safekeeping, maintenance, and control of special market collateral; executing and maintaining investment accounts; maintaining records and control of investment accounts; completing accounting functions. Verify accounting transactions and reports by reviewing and controlling accounting activities, including generally accepted accounting practices changes to investment accounting practices.
- Complete investment reports for tax return preparation by completing required information.
- Represent the Company in protesting property tax appraisal values.
- Prepare federal, state, and local tax documents by preparing property tax returns, state pages, and federal, state, and municipal returns, extensions, and quarterly payments. Maintain compliance with regulations by forwarding required information to federal, state, and local authorities.

RESPONSIBILITIES
Business Development & Market Growth
- Develop and execute strategic initiatives to increase Vistage's presence and growth in priority markets.
- Engage C-level candidates (CEOs, Key Executives, and Business Owners) in consultative conversations and presentations to uncover their needs and connect them to the Vistage community.
- Partner with building Chairs to identify, recruit, and enroll high-caliber members into Vistage groups.
- Create and manage territory sales pipelines and forecasts to meet or exceed regional revenue and growth targets.
- Utilize CRM tools (Salesforce) to manage prospect activity, track sales progress, and report on business development initiatives.
Strategic Relationship Development
- Identify, develop, and maintain relationships with strategic partners and local centers of influence.
- Expand Vistage's visibility through engagement with organizations such as chambers of commerce, business associations, and professional networks.
- Build trusted relationships with senior executives and business leaders within the territory.
Event Leadership
- Design and execute high-value executive events and business development meetings that introduce prospective members to the Vistage experience.
- Facilitate events that showcase Vistage's value proposition and support Chair group development.
- Collaborate with internal teams to coordinate and deliver impactful prospect engagement initiatives.
Consultative Sales & Market Strategy
- Conduct presentations and strategic discussions with business leaders to uncover needs and demonstrate the value of the Vistage platform.
- Partner with field management and Chairs to identify opportunities for market penetration and expansion.
- Provide strategic recommendations to regional leadership on opportunities to maximize growth and member acquisition.
- Lead initiatives that strengthen regional sales performance and drive sustainable market growth.
QUALIFICATIONS
- Bachelor's degree or equivalent professional experience.
- 7+ years of progressive experience in business development, strategic sales, or related leadership roles, with a track record of driving market growth.
- Demonstrated success in consultative, solution-based sales within complex or professional services environments, engaging senior executives and business owners.
- Proven ability to develop and expand a market or territory by identifying strategic opportunities and executing initiatives that drive sustained revenue growth.
- Advanced ability to build credibility and trusted relationships with C-suite leaders and business owners, serving as a strategic advisor.
- Proficiency in Salesforce CRM and Microsoft Office tools (Word, Excel, PowerPoint, Outlook), with the ability to leverage data to guide strategic decision-making.

TOTAL COMPENSATION RANGE
The expected annual pay range for this position is $140,000 – $166,200. This range includes a target annual bonus of $13,000 and target annual incentive compensation of $53,200.

This is an on-site role based at our 5th Avenue office near Union Square. Candidates must be able to commute to the NYC office five days per week. Hours are M-F from 8:30am - 5:30pm.
The Executive Assistant/Office Manager will play a critical support role for the CEO and Chairman of the firm and facilitate the functioning of the entire office. You will serve as the primary administrative partner to the CEO, acting as a gatekeeper, liaison, and strategic support resource. In addition to executive support, you will oversee light office management and HR coordination responsibilities to ensure smooth day-to-day operations for our 12-person Manhattan office.
The Executive Assistant will have the ability to work independently on projects, from conception to completion with minimal oversight, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The Executive Assistant should be a natural leader who’s friendly and warm with an approachable demeanor. He or she will be a proactive, intuitive, resourceful, and technologically savvy problem solver who anticipates executive needs.
It is important for the candidate to have a polished, professional presence and be comfortable and experienced with interacting with senior level executives within and outside the Company. Key Responsibilities
Executive Support
- Provide high-level daily administrative support to the CEO, including managing heavy email correspondence.

- Coordinate detailed travel itineraries for frequent domestic travel.
- Support the Chairman and Founder as needed for miscellaneous tasks.
- Collecting and organizing tax documentation for accountants for business entities and family foundation.
- Support for AI initiatives to be incorporated into daily office operations.
- Monthly expenses department coding on corporate credit cards.
- Maintain internal leasing/financial/tracking documents to be updated and filed in both hard copy and electronic formats.
- Occasional personal tasks to be completed, no more than 15% of workload.
Office Management & HR Support
- Act as a central point of contact for the 12-person Manhattan office.
- Planning & executing of company wide Annual Meeting in November with support of COO.
- Coordinate with vendors & manage invoices, office supply orders & restocking, FedEx & USPS mailings
- Work closely with COO and a third-party PEO company to help manage employee benefits and ensure compliance with state and federal employment laws, manage open enrollment & new employee set up.
- Assist with the hiring process, including but not limited to job posting, resume review, initial screenings, setting up second & third round interviews, and onboarding once hired.
- Planning volunteer days and office activities.
Education & Experience Requirements
- 5+ years of direct experience supporting a CEO, C-Suite, or senior-level executive.
- BA/BS degree or higher in a relevant field.
- Notary Public license in New York (will be required to obtain if not already licensed).
- Demonstrated experience within the real estate industry strongly preferred.
- Must be able to commute to the NYC office five days per week (M-F).
