The Role

You'll work directly with our CEO across executive support, sales pipeline management, and operational coordination:


Executive Support & Communications (40%) β€” Manage CEO's professional calendar with strategic intent, ensuring high-priority activities get protected time. Triage and manage email inbox, drafting responses and flagging urgent items. Coordinate meetings with internal and external stakeholders including clients, vendors, partners, and professional networks. Handle travel arrangements, events, and special projects. Act as gatekeeper and first point of contact for CEO communications.

Sales Pipeline Support (30%) β€” Manage seller lead pipeline follow-up and conversion tracking. Ensure timely responses to inbound inquiries and coordinate listing consultations. Monitor pipeline health across seller leads, recruiting candidates, and commercial opportunities. Update CRM records, track metrics, and provide regular pipeline reports. Support business development initiatives with research, outreach coordination, and relationship management.

Operations & Team Coordination (30%) β€” Build and document efficient workflows and systems to enhance operations. Support recruiting and retention efforts to attract and retain top talent.   • Ongoing Meeting Coordination & New Outreaches: Set up meetings with team members, reports, and external partners, ensuring all prep materials are ready and follow-ups are tracked.
  • Office Management: We have a small office on the East Side of Austin - you will be responsible for coordinating service workers and holding them accountable. You will have your own office, and coordinate lunch - we focus on healthy eating. Most times this just means getting folks lunch order for the day - 4 folks total usually work out of the Austin office.
  • Personal Errands & Task Management: Assist with personal errands and arrangements, including travel coordination, dinner reservations, gifts, thank you cards, and coordinating family or personal events as needed.

  • Document Preparation & Research: Prepare presentation materials, reports, and content. Conduct research or gather insights for upcoming projects or strategic decisions.

The Ideal Candidate Will Be:

  • Austin-based or willing to re-locate. While I can be flexible at times, this is most definitely an in-person role.
  • Very Strong written and verbal communication skills - it would help if you have a penchant for reading - at times I will be giving you a lot to read / research.
  • Tech-savvy with deep experience in Microsoft Office, namely Outlook scheduling tools - have some must have tools you want me to use? Awesome, bring those ideas to the table. Bonus if you’ve worked with GAI, and tools like Monday & Salesforce.

The Sales Associate must hold the critical position of acting as a Messika brand ambassador, consistently exceeding client expectations, and achieving their individual monthly sales targets.


POSITION'S MAIN DUTIES & RESPONSIBILITIES

  • Provide exceptional customer service by greeting, listening, and assisting clients by exceeding their expectations and demonstrating excellent knowledge of jewelry product and styling
  • Present the Messika brand in accordance with the brand’s image
  • Suggesting jewelry based on the client’s personal style and needs
  • Conveying Messika jewelry by staying true to the Maison’s history and spirit
  • Being attentive to the customer’s expectation and acting accordingly
  • Proactive with client outreach and demonstrating strong client follow-up skills
  • Ensuring that the client’s deliveries are prepared and organized
  • Receiving and monitoring of client product exchanges and repairs
  • Operating the sales system by updating and monitoring sales recording and client database
  • Understanding that being a Messika ambassador means conveying the brand’s spirit even outside of the boutique, by always looking for opportunities to bring in new clientele


ADDITIONAL RESPONSIBILITIES

  • Physically and attentively managing the boutique’s inventory, product replenishment, and storage
  • Responsible for producing effective quality control
  • Handling credit, cash, and tax reduction; always ensuring proper identification is requested of the client


QUALIFICATIONS

  • At least 3 years proven previous retail sales experience in fine jewelry or luxury environment
  • Well-developed written and verbal skills Excellent interpersonal skills with the ability to build and maintain strong working relationships.
  • Strong organizational skills and attention to detail is a must
  • Ability to multi-task, work in high pressure environment
  • Self-starter / proactive mindset / passion for learning Positive energy and genuine desire to work with people
  • Passion for the Brand and thriving in a selling environment
  • Intellectual curiosity and passion for learning
  • Bachelor’s degree in business-related field is a plus
  • Additional language skills are a plus
  • Passionate about luxury


DESIRED

  • Proficiency in multiple languages
  • AJP/GIA GG Certification
