POSITION OVERVIEW
The Maintenance Operations Manager will oversee the day-to-day maintenance of the assigned B&H portfolio. This individual will be responsible for ensuring that physical assets are maintained to the highest standards, managing on-site maintenance teams, optimizing preventative maintenance programs, and ensuring compliance with safety and operational protocols. The ideal candidate is a hands-on leader with strong technical skills, excellent organizational abilities, and a proactive, solutions-driven mindset. This role reports to the Operations Manager.
KEY RESPONSIBILITIES
Leadership and Team Oversight
- Oversee and support property level Service Managers and maintenance staff across assigned B&H properties.
- Train, mentor, and support the development of maintenance team members. Participate in hiring, onboarding, coaching, and performance reviews.
- Foster a culture of safety, accountability, and high performance throughout the maintenance team.
Preventive Maintenance and Asset Preservation
- Develop, implement, and monitor preventive maintenance programs to reduce downtime and extend the life of community assets.
- Perform regular property inspections and audits to identify maintenance needs, safety risks, and improvement opportunities.
- Confirm accurate replacement of capital items, ensuring proper evaluation of repair vs. replacement decisions.
- Ensure standard response expectations are met: completion of work orders within 48 hours (excluding emergencies) and unit turns within five (5) working days, unless otherwise directed by the Community Manager.
Project Coordination and Capital Improvements
- Partner with Operations Managers to schedule and execute renovation and capital improvement projects.
- Monitor project timelines, budgets, and vendor performance to ensure timely and quality outcomes.
Regulatory and Safety Compliance
- Ensure all maintenance activities comply with OSHA regulations and local, state, and federal laws.
- Promote and enforce safe work practices across all maintenance operations.
Vendor and Contract Management
- Manage vendor relationships and oversee third-party service providers, including those handling landscaping, HVAC, plumbing, and general maintenance.
- Ensure cost-effective use of vendors while adhering to property budgets and prioritizing quality and value.
Inventory and Procurement Management
- Maintain control of maintenance supply inventories and oversee procurement of tools, parts, and equipment.
- Ensure efficient and cost-effective supply usage across all communities.
Emergency and On-Call Support
- Provide after-hours support and respond to emergency maintenance needs across the portfolio as required.
- Ensure on-call responsibilities are distributed and covered across all communities appropriately.
Performance Monitoring and Reporting
- Track and report key maintenance performance indicators (KPIs), including work order completion times, budget adherence, and asset condition trends.
- Collaborate with leadership on improvement strategies and cost-saving initiatives.
Hands-On Support and Site Coverage
- Perform on-site maintenance work as needed to support property functionality and address high-priority issues.
- Maintain grounds as necessary to ensure a clean, safe, and welcoming environment for residents and visitors.
- Oversee the day-to-day maintenance of the assigned B&H portfolio.
- Provide assistance to other B&H assets as needed to drive broader company goals and operational success.
EDUCATION, EXPERIENCE, AND SKILLS
- Strong leadership geared towards mentoring and leading maintenance teams.
- At least three (3) – five (5) years of demonstrated success in apartment maintenance
- A minimum of 3–5 years of experience in HVAC or formal technical training in heating and air conditioning is required.
- EPA certification required for refrigerant handling, or willingness to obtain certification upon hire.
- HVAC certification, required.
- For positions that require travel between properties, a valid driver’s license and reliable transportation are required.
- Experience in residential property maintenance required.
- Working knowledge of OSHA standards and other environmental safety standards.
- Must be self-motivated, able to complete assigned tasks and can negotiate competitive pricing of supplies and contracted work.

The Project Superintendent is responsible for directing and overseeing all field operations on construction projects, ensuring work is completed safely, on schedule, and to the required quality standards. This role leads site teams, coordinates subcontractors and suppliers, and serves as the primary on-site representative for the company. The Superintendent manages daily site activities, enforces safety and quality standards, acts as the key liaison between field and project leadership, and is expected to mentor staff, drive accountability, and support company-wide initiatives.
Essential Duties & Responsibilities
- Lead field operations by setting clear goals, establishing priorities, and aligning daily site activities with project and company objectives.
- Supervise and mentor Assistant Superintendents, Foremen, Project Engineers, and field personnel, promoting professional growth, teamwork, and a collaborative culture.
- Serve as the primary on-site point of contact for owners, architects, engineers, and trade partners, maintaining strong relationships and addressing concerns proactively.
- Develop, maintain, and monitor overall project work schedules, including identification of the critical path and expediting critical materials and equipment to support timely completion.
- Coordinate and manage trade partner and subcontractor scheduling, staffing levels, logistics, and site access to ensure work is properly sequenced and integrated.
- Ensure work is installed in accordance with approved contract documents, including drawings, specifications, and applicable codes.
- Maintain a clean, safe, and orderly job site that meets or exceeds company standards for site presentation.
- Lead and enforce the site safety program: adhere to all applicable safety codes and regulations, ensure subcontractor compliance, and conduct/document regular site safety audits.
- Promote and monitor quality control in the field, identifying issues early and working with project leadership and trade partners to implement corrective measures.
- Participate in the building permit process as required and ensure compliance with permit conditions and inspection requirements.

Job Summary:
The APM works with St. John Properties personnel, tenants, contractors, vendors and the general public to manage and/or assist his/her property, portfolio and fellow Property Managers. The APM is on call 7 days a week and 365 days a year to respond to emergencies. The APM must be very familiar with the tenants, the building and know what the Landlord and tenant lease requirements are and enforce such requirements. The APM’s number one priority is to build value within their portfolio by exercising the following duties:
Job Duties:
Tenant Retention and Satisfaction
Make regular visits to all tenants to address any problems and build good relations with tenants at all buildings. The APM, in coordination with their assigned Property Manager(s) will visit all tenants at least 2 times per year; once between January 1 and June 30 and once between July 1 and December 31, as part of the tenant retention and outreach program; visit all new tenants or existing tenants who renew, within one week of their move in date; visit all expiring tenants six (6) months prior to expiration to understand and address any open issues prior to renewal discussions. Additionally, tenant problems or complaints will be brought to the attention of the Senior Vice President of Property Management
The APM, in coordination with their assigned Property Manager(s) shall respond to all tenant problems or complaints within one (1) hour of any service call and no later than three (3) hours of the service call or contact by tenant. All tenant calls, shall be followed up on to ensure prompt and complete tenant satisfaction.
The APM shall make themselves aware of tenant maintenance calls made to Tenant Maintenance Coordinators.
Revenue and Expenses
The APM shall assist their PM(s) with and monitor the work of the Lease Administrators to ensure that the Lease Administrators bill tenants correctly for CAM, taxes, insurance and other services provided, collect all rents due from tenants and enforce all lease requirements.

Work with Lease Administrators to monitor tenant payments and help with timely collection of all open balances. Continually negotiate, bid and supervise all service contracts for the properties to ensure that we are receiving the best possible service at the most competitive market price at the highest level of quality. Follow and exercise scheduled budget expenses.
Review and approve all invoices and purchase orders. Administer prompt payment to vendors or contractors for products or services rendered. Research all problem invoices to provide an expeditious solution. Research all utility invoices and spread sheets for problems, trends and accuracy.
Physical Building
Working with the Director of Property Managers and their PM(s), the APM shall identify, evaluate and implement capital and operating projects for the properties as they are planned. Solicit specifications and proposals for minor and major improvements based on the budget schedule. Recommend and implement improvements to increase value by reducing expenses and or increasing income.
Perform semi-annual building evaluations for each building and work with the Senior Vice President of Property Manager(s) to review problems and opportunities and to improve the property’s value. Each building evaluation will be set on a schedule for completion and periodic review.
Conduct housekeeping, safety, security and night inspections on a monthly basis to ensure the
Properties and buildings are well lit, clean, and safe for the tenants and general public.
As needed fill out incident reports and insurance claim reports to be filed with the Firm
Administrator and submitted to the insurance adjuster.
Assist PM(s) in inspecting all vacant spaces on a weekly basis. Spaces must be clean and present an excellent first impression to prospective tenants.
Leasing
The APM shall assist their PM(s) in inspections of all vacant spaces within 48 hours of the tenant vacating, fill out a vacancy report and commence preparation of space(s) for leasing.
Personnel
Work harmoniously with the Director of Property Managers, Lease Administrators and Tenant Maintenance Coordinators to be aware of all maintenance, financial and tenant issues.
Administrative
Send out correspondence as needed to confirm and follow up on actions as well as memos to tenants in various buildings to communicate information on a regular basis.
Meet biweekly with Property Managers and Lease Administrators to review AR aging reports.
Working with PM’s, prepare and submit annual expense budgets each Fall by calling all service contractors and soliciting prices by October 31, of each year for the coming year. Additionally, assist the PM(s) in soliciting 3 bids from all service contractors that have indicated they will increase their rate for the next year.
Financial
Review and fully understand each property’s expenditures each month and operate each property within the budget. Discuss budget variances with the Senior Vice President of Property Management on a quarterly basis.
Roles and Responsibilities:
The Assistant Property Manager is responsible for overseeing all operations of their portfolio. This role requires the ability to work with all employees within St. John Properties.
Job Qualifications:
- 1-3 years’ experience in commercial real estate management preferred
- BA/BS degree required; Accounting experience a plus
- Proficiency in Microsoft Office Suite including Outlook, Word, Excel
- Experience in MRI preferred
- Must possess strong verbal and written communication skills
