Healthcare Administrative Assistant

Location: New York, NY 10016

Schedule: Monday–Friday, 9:00 AM – 5:00 PM

Duration: 2-Month Contract

Position Summary

We are seeking an experienced Administrative Assistant to support departmental operations through a wide range of administrative, financial, and coordination duties. The ideal candidate is highly organized, detail-oriented, and able to manage multiple responsibilities in a fast-paced environment.

Duties and Responsibilities

• Research, locate, and compile information for reports; assemble and categorize figures for calculations; prepare statistical reports.
• Prepare and monitor budgets and grant allocations; maintain accruals and balanced accounts for review and approval.
• Maintain departmental employee files and ensure compliance with regulatory standards.
• Initiate and process human resources and payroll transactions, including weekly payroll submissions.
• Liaise with HR and Payroll to resolve issues and ensure smooth processing.
• Assist with planning and logistics for forums, conferences, seminars, meetings, and visiting professorships.
• Develop and coordinate informational packets; transcribe and distribute meeting minutes.
• Investigate and resolve routine administrative or operational issues.
• Review materials submitted for supervisory approval to ensure completeness and proper authorization.
• Monitor and restock departmental supplies; manage vendor contracts and coordinate with Purchasing to secure competitive pricing.
• Track vendor contract expirations and renew as needed.
• Serve as liaison with internal departments and external partners to accomplish objectives.
• Participate in grant applications, special projects, and survey preparations (including regulatory surveys).
• Coordinate travel arrangements; prepare travel reimbursements and expense reports.
• Screen and prioritize incoming mail and phone calls; respond or route as appropriate.
• Schedule appointments, referrals, and maintain patient billing records when applicable.
• Perform other related duties as assigned.

Required Skills and Qualifications

• 4+ years of related administrative or business experience.
• Intermediate proficiency in Microsoft Office Suite.
• Strong adaptability and ability to manage change effectively.
• Ability to quickly assimilate and apply new information.
• Excellent customer service and relationship-building skills.

Position Summary
This is telework position with up to 50-75% travel in designated region of Illinois. Standard working hours can be anywhere within 8am - 9pm as needed to meet business needs. This Care Manager BH role requires working until 9pm for two (2) days a week. Care Manager BH coordinates all case management activities with members to evaluate medical needs and to facilitate the overall wellness of members. Develops strategy to address issues to outcomes and opportunities to enhance member's overall wellness through integration. Instructs programs and procedures in compliance with network management and clinical coverage policies.

Essential Duties and Responsibilities:

• Executes evaluation of member needs and benefit plan eligibility and facilitates member transition to the organization's programs and plans

• Applies advanced clinical judgement to incorporate strategies designed to reduce risk factors and barriers, and to address complex health indicators that impact care planning and resolution of member issues.

• Handles reviews of prior claims to address potential impact on current case management and eligibility.

• Creates a holistic approach to assess the need for referrals to clinical resources and to assist in determining functionality.

• Ensures case management processes follow organization and regulatory requirements.

• Implements systems to maximize member engagement, discern health status and needs, and to assess member levels of work capacity and restrictions.

• Coaches and trains junior colleagues in techniques, processes, and responsibilities.

• Primarily works with members enrolled into Pathways to Success Program for intensive care coordination support.

• Minimum two years experience working with children living with special needs or children in foster care

This pay range represents the base pay for each In-Home Health Evaluation (and associated visit) completed by a physician.  The number of In-Home Health Evaluations (and associated visits) completed per day may vary. Pay is dependent on a variety of factors including experience, education, geography and other relevant criteria.  This position is eligible for other reimbursement opportunities, including pay per completed Diagnostic and Preventative Services (DPS), as ordered, in addition to the base pay listed above. You’ll play a critical role in building trusted relationships to make people healthier, helping bring flexible, comprehensive and personalized health evaluations right to people’s front doors.

Job highlights

The visit, which lasts about 45 minutes, allows for time to connect one-on-one and answer health questions. It includes a medication and medical history review, a physical evaluation, and, if ordered by the person’s health plan, additional diagnostic tests (i.e., diabetic eye exams, spirometry, etc.). You’ll use an iPad and an intuitive clinical workflow for each evaluation and are not required to prescribe medicine, order lab tests or alter people’s current treatment regimen. 

In this role, you will:

• Bring your heart into every visit, joining a national network of purpose-driven clinicians dedicated to improving health outcomes

• Be part of our efforts to visit millions of people nationwide with the goal of providing connections to the right care for people’s unique needs

• Work with Signify Health as a clinician colleague, fulfilling the requirements of the specified role

• Be flexible to travel locally and within licensed states, as needed 

• Conduct virtual visits as needed

• Provide all Signify Health services as indicated including Diagnostic & Preventive Services products (i.e., spirometry, DEE, bone density screening, etc.)

As an in-home health clinician, your primary workplace is the private residence of our members. We are dedicated to providing care wherever our members call home. These environments are diverse and may present a variety of conditions. Candidates must be able to comfortably and safely perform their duties in homes that may contain household pets, secondhand smoke, and other potential airborne allergens or irritants.
