What is an Organ Recovery Coordinator?
Using their nursing background, Organ Recovery Coordinators (ORCs) oversee the process of procuring the gift of organ donation. Key responsibilities this position will perform include:
- Evaluates patient suitability for organ donation by reviewing medical records and consultation with medical staff.
- Coordinates organ placement and allocation with transplant programs and surgeons.
- Coordinates and assists in the surgical recovery of organs and peri-operative management – including logistics such as arranging transportation, ensuring surgical packaging, and preparing lab specimens for shipment.
- Provides support to donor families and conducts medial/social history interviews.
- Updates donor information into electronic medical record.

This position requires minimum availability of 15 days of call per month. Incentives are available for additional availability.
The ideal candidate will have:
- Two plus years prior experience in a critical care setting.

Key responsibilities this position will perform include:
- Performs daily responsibilities to meet the needs of potential donors, donors, donor families, potential donor families, hospital personnel, physicians, and the OPO. Provides rapid on-site response to referrals. Primary responsibilities will occur in the assigned facility where employed. Increased donor activity, staffing shortages, etc. will require assuming responsibilities outside the primary area.
- Evaluates potential donors. Assesses potential donor families, obtains appropriate authorization for donation, conducts Medical/Social History interview, and assists donor families through identification of potential end of life decisions, attending family meetings and providing donation information as needed. - Coordinates and assists in the surgical recovery of organs and peri-operative management. Assists in arranging transportation for organ recovery teams. Coordinates surgical recovery/packaging and arranges transportation of organs for transplant and/or research. Possesses a working knowledge of pulsatile preservation. Manages all lab specimens for shipment and delivery to laboratories in accordance with established policies.
- Provides support to Hospital Development Coordinator, in the assigned facility, to identify formal and informal leaders, assesses their respective roles, degree of influence and needs. Works collaboratively with these leaders and utilizes their expertise to improve and promote donation. Assists in policy and procedure development. Functions as an expert clinical resource for the hospital regarding organ and tissue donation.
- Participates in decision-making programs and committees in the hospital that have an influence on organ donation, promoting donation and seeking opportunities for further collaboration. Facilitates the donation process.
- Maintains high visibility by conducting rounds to all critical care units with medical teams and functioning as the designated resource within the hospital for all issues related to organ donation. Provides donor and referral follow-up to appropriate hospital staff one-on-one or by post-recovery conferences.
- In partnership with the In-House Donation Specialist (when applicable), develops, provides and evaluates in-house training and in-service educational programs on all aspects of the donation process for hospital staff. Also, collects and reports donation outcome data to various levels of clinical and administrative hospital staff. Documents hospital activities, updates hospital plans, goals, and critical issues in a timely manner on a regular basis.
- Performs other duties as assigned.
PHYSICAL TRAITS: Talks and listens to donor families, hospital personnel, and physicians. Visually assesses donors. Reads charts and documents information. Walks, stands, and sits. Lifts and carries containers up to 70 lbs. Drives to and from donor hospitals. Must be able to stand for more than eight hours a day. Requires the ability to work under stress with numerous interruptions, distractions, and changing priorities. Must have a valid driver’s license and ready access to reliable transportation.
QUALIFICATIONS:
Education Required: RN/PA or related health care degree or licensure. Or OPO experience commensurate with job requirements.
Experience: Minimum one to two years experience as a Donation Coordinator or Organ Recovery Coordinator.
Licenses/Certifications: Valid driver license required and ability to pass MVR underwriting requirements. May be required to use privately owned vehicle during the scope of company business.
Computer Skills: Working knowledge of computers and basic data entry skills required.

Key responsibilities this position will perform include:
- Provides extensive on call services to obtain authorization for organ and tissue donation. On-call responsibilities may be affected by increased donor activity, staffing shortages, etc. Facilitates the authorization process for potential organ and tissue donor families prior to, during and after death declaration.
- Evaluates potential donors. Assesses potential donor families, obtains appropriate authorization for donation, conducts Medical/Social History interview, and assists donor families through identification of potential end of life decisions, attending family meetings and providing donation information as needed. Responsible for medical management of donors prior to recovery activities. Directs the placement of anatomical gifts as necessary. Provides transplant surgeons with information necessary to determine appropriate recipients. Coordinates and assists in the surgical recovery of organs and perioperative management of the donor when necessary.
- Provides support to Hospital Development Coordinator, in the assigned facility, to identify formal and informal leaders, assesses their respective roles, degree of influence and needs. Works collaboratively with these leaders and utilizes their expertise to improve and promote donation. Assists in policy and procedure development. Functions as an expert clinical resource for the hospital regarding organ and tissue donation.
- Will visually assess donors, interpret charts, document information and communicate findings. Collaborates with hospital and medical staff to provide potential donor families with accurate and timely information regarding the patient’s current clinical course. Maintains communication with hospital staff and attending physician regarding the potential donor family’s understanding of the prognosis and acts as a family advocate to the health care team as necessary. In the event of neurological deterioration and/or cardiac cessation, provides education to the potential donor family to include signs and symptoms of brain death, the process of diagnosing brain death, or cardiac cessation and withdrawal of support. As appropriate, discusses organ Family Care Coordinator and tissue donation opportunities with the potential donor family with the goal being to obtain authorization for donation.
- In the event the potential donor stabilizes and is no longer considered a potential organ donor, establishes an appropriate support system in collaboration with the health care staff, brings closure to the relationship with the family and returns if needed or requested.
- Provides appropriate information for the bereavement program to all potential organ and tissue donor families who wish to participate. As appropriate, provides a follow-up letter to donor families. Facilitates donor family and recipient communication in accordance with company policy and procedure.
- Performs other duties as assigned.
PHYSICAL TRAITS: Walks, stands and sits. Must drive to on call assignments. Communicates verbally and in writing with donor families, hospital personnel and physicians.
QUALIFICATIONS: - Education Required: RN/PA/Paramedic or related health care degree or licensure or BA/BS preferred and equivalent work experience. OPO experience.
- Two to four years’ Healthcare experience with families, counseling, bereavement and/or crisis intervention preferred. Acute care social worker experience strongly desired.
- Licenses/ Certifications: Valid driver license with ability to pass MVR underwriting requirements.
Computer Skills: Working knowledge of computers and basic data entry skills required.

- Oversee the development and implementation of strategic hospital plans to facilitate growth in the organ and tissue donation.
- Evaluates activities against established strategic hospital plans. Works in collaboration with hospitals’ QAPI departments to ensure hospital performance.
- Conducts in-person meetings with key hospital personnel to establish rapport and identify potential problems. Resolves concerns related to the provision of service with the hospital. Partners with location Clinical Directors and Executive Directors to investigate missed referrals.
- Prepares, distributes, and analyzes hospital surveys. Tracks and analyzes both donor and referral patterns.
- Oversee the development and maintenance of Hospital Development policies and procedures. Leads organizational regulatory compliance with CMS and AOPO with regards to all aspects of Hospital Development.
- Responsible for hiring, onboarding, and training of employees. Evaluates employee performance through dashboards and meeting strategic hospital goals.
- Develop employees to present findings to all levels of hospital personnel. Provides coaching, counseling, and education as necessary.
- Regularly audits hospital documentation activities entered by staff in iTransplant and presentation material.

The role of the Certified Peer Support Specialist is that of a coach or mentor who through their lived recovery experience, can provide the guidance and role modeling necessary to promote wellness, purpose in life, develop relationships, and the insight necessary to move forward. Peer Specialists support all individuals in the following goals: improve quality of life for individuals, promote individuals’ recovery, increase individuals’ ability to effectively deal with challenges and problem solve crises, increase individuals’ ability to manage stressors outside an inpatient hospital setting and assist individuals in navigating between system access points and levels of care.
Essential Functions:
1. Link individuals to a variety of self-determined supports and services, including traditional mental health services such as case management, psychiatry and individual therapy, mutual aid support groups, natural supports and discover other kinds of healing and/or purposeful activities that may contribute to the recovery process.
2. Have contact with individuals a minimum of four times per month; two of these contacts must be made in person.
3. Provide 1:1 peer support services to people in the community (including their home and other community-based locations).
4. From a recovery perspective, provide a strength-based review of an individual's abilities, strengths, and assets.
5. Encourage individuals to become the expert of their own lived experiences and develop voice and choice around service participation to be empowered in their recovery.
6. Assist the individual in exploring goals and priorities while participating in the peer support program and collaborate on the creation of a plan to receive support for the duration of program enrollment.
7. Support individuals in navigating systems of care and encourage the participant to communicate with other services providers to allow for maximum self-determination and dignity in care.
8. Complete Crisis Plans and document activities according to funding source.
9. Responsible for accurate documentation and maintaining case files as required by agency policy, government regulations, and applicable local, state, and federal codes. This includes documenting progress notes in the electronic record.
10. Work with the participants’ collateral and community contacts to promote continuity of care with written and explicit consent to support their recovery journey.
11. Participate in visits with the participant as necessary to engage them in the recovery process.
12. Assist participants in their process of stabilization and recovery.
13. Provide educational discussions with small groups of participants.
14. Facilitate psychosocial or other self-help, recovery-based groups to engage participant in recognizing and understanding early triggers or signs of usage, and assist in the development of prevention strategies.
15. Active listening and positive communication skills.
16. Attend and participate in staff meetings and weekly supervision.
17. Attend in-service training and conferences as required.
