Job Summary
The Contracting Officer-Sponsored Programs role will review, process, approve, negotiate, and administer assigned sponsored proposals and awards, which may include governmental, industry, non-U.S. and/or not-for-profit funding of grants, contracts, and other sponsored agreements and donations in
the support of research. Provide services and guidance to faculty and research staff. Review, analyze, and interpret new awards terms and conditions.
Responsibilities
Job Duty 1 -
Analyze solicitations and review proposals to ensure proposals are complete and compliant with Institute policies, agency regulations, and solicitation requirements. Review sign any required Institute Representations and Certifications.
Job Duty 2 -
Identify proposal risks and review mitigation strategies with management. Submit all assigned, approved, compliant proposals prior to deadlines.
Job Duty 3 -
Review and interpret sponsored agreement language. Resolve contractual issues, negotiating contract changes, and executing agreements on behalf of the Institute's research corporations with an approved corporation officer.
Job Duty 4 -
Provide Post award administration. Monitor administration of awarded sponsored projects and serve as contact for all business/contractual matters throughout life cycle of sponsored program awards. Resolve issues brought forward by researchers and unit administrators. Prepare business correspondence and notices required by award terms.
Job Duty 5 -
Maintain current working knowledge of applicable federal regulations, state laws, Institute policies, and sponsor requirements.
Job Duty 6 -
Advise faculty, project directors and financial and administrative staff on proposal submission process, post award administration, regulatory compliance requirements and Institute policy, coordinating with other units supporting research including Conflict of Interest, Research Integrity Assurance, Research Security, Export Control, Corporate Engagement, Technology Licensing, and the Georgia Tech Office of Legal Affairs.

Knowledge of different contract types (including Cost Reimbursement, Fixed Priced, Time and Material, Indefinite Delivery-Indefinite Quantity, Other Transaction Agreements, etc.) and terms applicable to sponsored research is preferred.

The Program Manager must possess skills in leadership and personnel management. GME Program Managers are expected to develop unique knowledge of the ACGME Core and Program Requirements, policies, and procedures. The program managers assist in accreditation efforts, educational programming, and support of residents/fellows. Responsible for recruiting and on-boarding trainees, developing projects, managing program financials, maintaining databases, communicating with faculty and trainees and managing internal and external program relations. Is also responsible for assisting with: Annual Program Evaluations, Program Evaluation and Clinical Competency Committee, ACGME site visits, Annual Program Review, ACGME Milestone reporting and Self Studies.
- Program Accreditation: Tracks and gathers data; Inputs answers into surveys/reports; Handles arrangements for site visits/self-study and special reviews; Maintains Program Evaluation Committee (PEC) minutes and action Items.
- Recruitment: Maintains ERAS; Registers for NRMP and SOAP; Confirms NRMP quotas; Distributes applications for review; Organizes and leads recruitment days; Coordinates all arrangements; Communicates with applicants; Schedules applicants and interviewers; Arranges itineraries and schedules for candidates; Schedules Rank Meeting.
- Resident/Fellow Scheduling: Inputs schedules into Residency Management System; Monitors schedules for accuracy; In conjunction with chief residents and/or program leadership, creates and enters call schedule into appropriate platform; Manages all scheduled leave for resident, including vacations, sick, parental, FMLA, and conferences and coordinates all leave with affiliated sites; Runs work hour compliance and submission reports.
- Department Liaison for GME: Liaison between Program Director and residents/fellows; Communicates with GME Office on programmatic and resident/fellow issues; Submits requested documentation; Assists residents/fellows with program questions using outstanding customer service; May attend national or regional GME meetings.
- Curriculum Development: Work directly with the Program Education Committee (PEC) in creating the core and transition curriculum series, workshops, and bootcamps; Creates evaluations in Residency Management Suite; Distributes evaluations and tracks completion; Tracks and reports conference attendance to the Clinical Competency Committee (CCC); Sets up for conferences (speakers, presentation files, zoom, etc.); Gathers and distributes orientation materials.
- Program Communications/Meeting Management: Acts as liaison between the training program and GME Office; May email or mail communications for the Program Director; Acts as initial contact for other programs (internal and external stakeholders); Acts as contact for visiting residents/fellows from other institutions and communicates for Program Director to arrange to bring the visiting resident/fellow to CU; Updates websites; Schedules administrative meetings; Prepares agenda and materials; Takes minutes and distributes appropriately.
- Finance: Reviews program budget for accuracy; Tracks resident/fellow professional development account; Tracks program spending for accuracy and to ensure budget compliance; Works with ADGME to prepare mid-year projections; Makes resident/fellow travel arrangements; Prepares resident/fellow reimbursement reports.
- Policies & Procedures: Distributes policies/procedures; Understands policies/procedures and is able to interpret accurately for residents/fellows.
- HR: Tracks leaves of absences; Submits ACGME temporary increase; Collects credentialing documentation; Analyzes letters of recommendation for appropriateness; Monitors licensure, life support training, and mandatories; Approves and tracks time off (vacations, conference time, sick days, etc.); Writes required documentation for J-1 visa submissions; Advises on effects of LOA to the individual resident's/fellow's training program; Provides guidance and assists residents/fellows with administrative matters.

Qualifications:
- Associate degree or equivalent experience.
- Experience of office administrative experience, preferably in a healthcare and/or education setting.
- Experience in general medical education &/or leadership management, human resource experience preferred.
- Equivalent combination of education and/or work experience considered.

Purpose:The Director of Events & Program Management leads strategy, planning, and execution of all North America trade conferences, industry events, and corporate event participation. This role works closely with Marketing & Communications, Business Development, and operational leaders to elevate Avolta’s visibility and partnerships across the travel F&B and retail landscape.
Essential Functions:
- Develops and executes North America conference strategy, including trade shows, sponsorships, and industry events; manages all phases from concept to post-event analysis
- Partners with Business Development to align conference participation with commercial objectives, growth targets, and partnership goals
- Establishes and maintains brand standards and messaging across all event touchpoints, including booth design, presentations, collateral, and digital presence to position Avolta as a leader in travel F&B and retail
- Identifies high value speaking roles, sponsorship opportunities, activations, and thought leadership platforms; secures participation and prepares leaders for maximum impact
- Owns conference budget planning, forecasting, and management; tracks expenses against budget, reconciles post-event costs, and identifies savings opportunities while maintaining quality standards
- Manages relationships with vendors, agencies, and third-party partners including exhibit fabricators, production partners, logistics vendors, and conference organizers; negotiates contracts and oversees delivery
- Directs end-to-end event logistics including booth design, material production, shipping, staffing assignments, meeting agendas, and on-site execution
- Develops post-event analysis framework to measure performance, ROI, lead generation, partnership outcomes, and brand impact; provides recommendations for continuous improvement
- Prepares executive briefing materials, talking points, meeting agendas, and internal communications to support leadership participation and cross-functional coordination
- Maintains centralized event and conference calendar with detailed tracking of commitments, deadlines, costs, and key contacts; provides cross-functional visibility and alignment across all business units and functional areas
- Coordinates signature company initiatives including Hall of Fame recognition events, North America holiday celebrations and team-building events, and annual Avolta Day activities
Reporting Relationship: The Director of Events & Program Management reports to the Vice President of Marketing & Communications
Minimum Qualifications, Knowledge, Skills, and Work Environment:
- Education and Experience: The combination of education and professional experience must exceed 8 years:
- In a technical role: Requires 8 years of experience engaged in event, conference, or experiential marketing experience, preferably in a matrixed or multi-location organization
- A bachelor’s degree in a program related to the functional area can count for 3 of the eight-year requirement
- An MBA or a master’s level degree in a program related to the functional area can count for an additional 2 years of the eight-year requirement
- In the industry: 3-5 years of Hospitality, F&B and/or Retail experience
Specialized Skillset/Competencies/Traits:
- Proven experience leading large-scale conferences, trade events, or experiential activations from concept to execution
- Exceptional project management and organizational skills; ability to manage multiple complex events simultaneously
- Excellent written and verbal communication skills, including the ability to prepare executive-level content
- Strong financial and vendor management experience, including budgeting and negotiation
- Proficient in Microsoft Office Suite; familiarity with project management software preferred
- Business acumen and also has the mindset required to understand the long-term implications of event and conference planning and to advance the organization’s goals
- Demonstrated history of understanding the needs of the business, stakeholders, the employee population and individual circumstances
- Demonstrated history of creating and maintaining positive work environments
- Location/Travel:
- This role is based at the North America Support Center in Bethesda, MD
- This role requires travel up to 40%, including extended days surrounding major conferences
