Your new role

ROLE DESCRIPTION:
We are looking for an administrative assistant to support staff and operations for our Boston Office. Responsibilities include but are not limited to:
DUTIES AND RESPONSIBILITIES:
- Enter New Hire Staff and Terminations, Brigade, into HR Passport (HRP) under the direction of the operations manager.
- Answering ADU hotline and sending emails for organizers to follow up.
- Meet with candidates to assemble New Hire packets, collect documentation and send to Payroll and HR for processing.
- Occasional travel within MA & NJ
- Arrange Travel/Hotel/Car/Train reservations using the Concur system/BCD travel negotiating and ensuring best prices/options.
- Reserve and set up Conference rooms/meeting rooms in the appropriate office space.
- Manage zoom accounts
- Set up calendar invites and meeting schedules
- Handle Logistics for events such as ordering food/beverages, setting up tables, assisting with driver sign-in, parking validations.
- Maintain and order office supply through Amazon or Staples.
- Order union merchandise(swag) for events and rallies from our trusted vendors.
- Process Check Request(s), Invoices for all outside vendors, Brigade/NOTP Expenses using the BP Logix system.
- Submit weekly Timesheets every Friday and follow through with managers for approvals
- Log all Amex Card transactions when used, for the monthly reconciliation.
- Trouble shoot office equipment with the help of IT Union Help Desk.
- Other administrative duties as required.
QUALIFICATIONS AND EXPERIENCE:
- Minimum 2-year experience in an equivalent position.
- Ability to multi-task, prioritize responsibilities and meet deadlines.
- Being well organized and detail oriented.
- Strong professional and calm demeanor, exhibiting tact, and working well with people of diverse economic/cultural backgrounds.
- Proficient computer, database, phone system and other technology skills covering a variety of office equipment.

Responsibilities:
- Transports participants around the community, to and from medical appointments and other outside appointments, as necessary.
- Assists participants to and from the van for all pickups and drop offs.
- Uses preventative measures to maintain vehicles’ interior and exterior on a consistent basis to ensure safe transportation.
- Notifies the Director immediately of any incidents out of the ordinary, client injuries, client falls, or accidents.
- Works with Supervisor of Drivers to identify specific needs of each participant.
- Removes snow around surrounding area of vans during the winter months to ensure client safety and the safe operation of the van.
- Assists the Day Care Center Staff with local activities and other duties, as needed.
- Ability to pass a fit test. Position may include duties that require wearing a face mask where a seal is critical. Incumbent may be required to not have facial hair that interferes with a tight seal of the respirator.

Qualifications:
- Valid state Driver’s License from the state of residence
- Minimum 5 years of safe driving experience
- Must be able to pass a DOT Physical and DOT mandated driver training
- Able to physically move and maneuver participants in a wheelchair
