Job Title: Volunteer Director

Position Overview

The Volunteer Director (Part-Time) is responsible for building, expanding, and leading PRC's volunteer strategy across multiple programs, including residential treatment sites, Healing Spaces volunteer activations, meal services, client engagement activities, corporate volunteer engagements, fundraising events, and administrative support.

This role combines strategic leadership with hands-on execution, overseeing the full volunteer lifecycle—from recruitment and training to event planning, on-site leadership, and post-event reporting. The Volunteer Director will serve as the primary steward of PRC's volunteer culture, ensuring volunteer experiences are mission-aligned, well-organized, trauma-informed, and impactful for both clients and community partners.

The ideal candidate is a mission-driven leader with strong relationship-building skills, excellent program and event management experience, and a passion for mobilizing individuals and corporate partners in support of PRC's work.

Primary Duties and Responsibilities

Strategic Volunteer Program Leadership

  • Develop and implement PRC's agency-wide volunteer strategy aligned with organizational goals and program needs.
  • Build and sustain partnerships with corporations, universities, community groups, and civic organizations to create long-term volunteer pipelines.
  • Collaborate with program directors and site leadership to assess volunteer needs, define appropriate volunteer activities, and develop tailored support plans.
  • Establish systems and best practices that support volunteer retention, recognition, and long-term engagement.

Volunteer Recruitment, Communication & Engagement

  • Lead recruitment for individual, group, skill-based, corporate, and event-specific volunteers.
  • Respond to volunteer inquiries and maintain consistent, professional communication throughout the volunteer lifecycle.
  • Maintain relationships with long-standing volunteers while actively soliciting new volunteers.
  • Create, distribute, and manage volunteer-related communications, including recruitment messaging, confirmations, reminders, and follow-up communications.
  • Record and track volunteer engagement, participation, skills, and hours served.
  • Address volunteer concerns, conflicts, or disputes with professionalism and care.

Healing Spaces & Volunteer Event Planning and Management

  • Coordinate closely with program managers and site leadership to plan volunteer activations.
  • Conduct initial planning conversations to assess site needs, wish lists, budget considerations, and feasibility.
  • Determine which projects are appropriate for volunteer engagement, including safety, scope, and client impact.
  • Schedule and lead site walk-throughs, site visits, and cross-departmental planning meetings.
  • Partner with Communications to create promotional and recruitment collateral.
  • Coordinate with Facilities to plan and complete pre-event preparation and post-event needs.
  • Solicit in-kind donations and resources, including:
  • Refreshments and snacks

  • Arrange logistics for supply and donation pick-up and delivery.

Event Planning Considerations Include:

Day-of Event Leadership & On-Site Execution

  • Arrive early to manage site setup and ensure readiness prior to volunteer arrival.
  • Oversee:

  • Volunteer sign-in and consent form completion
  • Personal item storage areas
  • Event signage and sponsor recognition (as applicable)

Fundraising Event Volunteer Support

  • Partner with Development and event producers to define volunteer needs for fundraising events, including:
  • Setup and breakdown
  • Registration and greeting
  • Ushers and activation assistants
  • Auction and raffle support
  • Photographer and vendor liaison roles
  • Prepare and distribute volunteer recruitment communications.
  • Coordinate volunteer orientations and trainings.

Compliance, Reporting & Administration

  • Maintain accurate volunteer records, including hours served, engagement level, and skill sets.

We are hiring a hands-on Clinic Operations Manager to stabilize and scale the behind-the-scenes systems that protect revenue, provider schedules, inventory, compliance, and client experience — so founders and clinicians can focus on care and growth.

You will own both day-to-day execution across all Saelo locations and the systems that support them — from managing pallet deliveries and inventory drop-offs to building scalable workflows and operational infrastructure across the business.

What You'll Own

  • Protect provider calendars and manage client escalations
  • Own inventory across clinics and storage (no stockouts, no chaos)

Position Overview

Santa Rosa United Soccer Club (SRU) is seeking an Office Manager to support the club's day-to-day operations and serve as a central point of contact for families, volunteers, coaches, and internal staff.

Guided by SRU's CAPES values — Community, Ambition, Professionalism, Education, and Sportsmanship — this role helps ensure smooth administrative workflows, clear communication, and dependable operational systems across the organization. The Office Manager plays a key role in maintaining accurate information, responsive service, and organizational consistency throughout the season.

This position works closely with Directors, team managers, treasurers, families, and the Registrar. The Office Manager supports operational and administrative processes but does not perform Registrar duties related to player registration, roster building, eligibility documentation, or governing-body compliance submissions.

Key Responsibilities
  • Provide consistent administrative and customer service support to families, coaches, volunteers, and club leadership
  • Support team managers and treasurers through onboarding guidance, communication support, and preparation of shared resources
  • Assist with PlayMetrics team account processes, including deposits, distributions, rollovers, account closures, and Snack Bar fund coordination
  • Send monthly past-due reminders to families and support treasurers with follow-up and financial transparency
  • Coordinate uniform logistics by serving as liaison to the uniform vendor, maintaining player number assignments, organizing try-on events, and supporting uniform ordering
  • Provide administrative support for tryouts, including check-in sheets, number assignments, attendance tracking, and volunteer coordination
  • Issue donor tax letters and assist with Certificates of Insurance as needed
  • Support leadership with administrative preparation for club events, league requirements, and seasonal workflows
  • Monitor and manage the club email inbox and respond to family inquiries in a timely and professional manner
  • Manage office operations, including mail, supply inventory, printing, and general office organization
  • Collaborate with the Registrar by organizing documents, filtering inquiries, preparing lists and spreadsheets, and providing administrative support during registration cycles (without entering data into registration systems)
What Success Looks Like in the First 90 Days
  • Gain familiarity with SRU systems, workflows, and seasonal rhythms
  • Establish clear, reliable communication patterns with families and volunteers
  • Support team managers and treasurers with consistent processes and resources
  • Improve organization and tracking of key administrative tasks
  • Reduce last-minute issues through proactive planning and follow-through
Required Qualifications
  • Strong organizational skills and ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Professional, friendly, and responsive approach when working with families and volunteers
  • Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar)
  • Ability to work some evenings and weekends during peak periods such as tryouts and major club events
Preferred Qualifications
  • Experience in office management, administrative coordination, or youth sports environments
  • Experience with PlayMetrics or similar club management systems
  • Basic bookkeeping or QuickBooks familiarity

Work Environment & Expectations

This role includes a combination of in-office and remote work. Core in-office hours are typically 9:00 am to 3:00 pm, two days per week. Additional work may be completed remotely as needed to support weekly responsibilities.

Weekly hours generally range from 12–24 hours, with flexibility up to 35 hours during peak periods such as tryouts or major club events. This is a non-exempt position; overtime is not anticipated except when hours exceed 40 in a workweek.

This is a long-term role intended to provide stability and continuity within the club's operations.
