Associate Director of Communications Systems
Arlington, VA (On-Site)
About Us

We seek individuals who are driven to make a difference and embody our motto, "To Care is an Honor." Join Ennoble Care today!
Overview
Ennoble Care is seeking an Associate Director of Communications Systems to own our Dialpad and Zoho CRM platforms end to end—from day-to-day administration to the analytics that drive operational decisions for clinical leadership and the C-suite.
This is not just a systems administration role. You'll inherit active automation projects in Zoho (workflow rules, field permissions, validation logic, cross-module integrations) and a growing analytics practice around Dialpad call data (transfer acceptance rates, queue performance, agent productivity). You'll be expected to build on both—and you'll have AI tools at your disposal to do it. We're actively using AI to automate workflows, analyze call data, and eliminate manual processes across both platforms. You'll be expected to leverage these tools to move faster than a traditional admin ever could.
You'll report directly to the CIO and have regular visibility with the COO and executive leadership. This position is on-site at our Arlington, VA corporate headquarters.
Key Responsibilities
Dialpad Administration & Analytics (~610 users across 15+ offices and 11 states)
• Manage user provisioning/deprovisioning, license management (Connect vs Contact Center), number assignment, and extensions
• Configure and optimize call routing, IVR structures, queues, and office/department setup
• Build and maintain performance dashboards for clinical operations leadership—transfer acceptance rates (warm vs cold), queue performance, agent productivity, ring timeout analysis, voicemail detection
• Leverage AI tools to automate call data analysis, anomaly detection, and recurring reporting
• Track and report on KPIs weekly: call answer rate, abandon rate, average speed to answer, queue wait time
• Conduct root cause analysis when performance dips—whether it's a routing issue, a training gap, or a staffing constraint
• Serve as primary technical contact with Dialpad support and account team
• Troubleshoot call quality issues, agent status problems, and routing errors
Zoho CRM Administration & Automation (~50+ liaisons, scaling to 100+)
• Manage user creation, role/profile management, field-level permissions, module configuration, and layout customization
• Own and extend existing workflow automations—bonus point calculations, pathway expiration enforcement, focused pathway caps, cross-module lookups (house call / hospice), referral-to-liaison mapping
• Drive data integrity: account deduplication, referral source accuracy, sync monitoring between Zoho, OA (OperationsAccel), and MatrixCare
• Build liaison performance dashboards and automate the pulse report
• Reduce bonus reconciliation from ~16 hours/month of manual work to near-zero through automation
• Use AI-assisted development to build and iterate on Zoho workflow rules, validation logic, and cross-module integrations faster
Integrations & Cross-Platform
• Coordinate user lifecycle (provisioning/deprovisioning) across Dialpad and Zoho as part of onboarding/offboarding workflows
• Maintain integrations between Dialpad, Zoho, CallRail, and other systems
• Monitor sync reliability between Zoho, OA, and the Dialpad data warehouse (Azure SQL)
• Support other no-code/low-code tools (Scribe, Keragon, Emitrr) as needed
Performance Monitoring & Reporting
• Track and report on Dialpad and Zoho KPIs weekly to leadership
• Identify trends and proactively address issues before they impact metrics
• Support Operations Analyst with data extraction for deeper analysis
Documentation & Training
• Create and maintain system documentation, runbooks, and SOPs
• Develop training resources to improve adoption and reduce errors
• Conduct end-user training for new hires and existing staff
What Success Looks Like
• You own Dialpad and Zoho administration completely—user provisioning, routing changes, and system configuration no longer route through the helpdesk or the CIO
• Leadership gets recurring, self-service visibility into call center performance and liaison productivity without asking for it
• Manual reconciliation work that currently takes 16+ hours/month is automated or eliminated
• When something breaks or trends in the wrong direction, you catch it before anyone else does
Qualifications
Required
• 3+ years of experience administering a cloud communications platform (Dialpad, RingCentral, 8x8, Five9, or similar)
• 2+ years of experience administering a CRM (Zoho CRM strongly preferred; Salesforce acceptable)
• Hands-on experience building CRM automations—workflow rules, validation rules, field-level security, cross-module lookups
• Comfortable writing SQL queries for analytics (you'll query an Azure SQL data warehouse—and use AI tools to accelerate query development and analysis)
• Experience building dashboards or reports in Power BI, Looker, or similar
• Strong analytical skills—able to interpret data and identify root causes
• Excellent communication skills with ability to present metrics to leadership
• Strong attention to detail—you'll reconcile bonus payments where errors directly impact employee compensation
• Ability to work on-site in Arlington, VA
Preferred
• Zoho CRM administration certification
• Experience with Zoho-to-external-system integrations (webhooks, APIs, middleware like Zoho Flow)
• Healthcare industry experience (home health, hospice, or multi-site provider groups)
• Experience with Dialpad specifically (API, webhooks, admin console, contact center configuration)
• Familiarity with data warehousing concepts and ETL pipelines
• Experience using AI/LLM tools (Claude, ChatGPT, Copilot) to accelerate technical work—writing automations, analyzing data, building integrations
• Background in contact center operations (not just IT administration)
What We Offer
• Ownership of two mission-critical platforms with direct impact on business performance
• Direct visibility with CIO, COO, and executive leadership
• AI-forward team—you'll have enterprise AI tools and an automation backlog with clear ROI from day one
• Growing organization—the systems you build now will scale with 2x liaison headcount and continued M&A expansion
• Competitive compensation and benefits package
• Career growth opportunities within IT and operations
Compensation
Salary Range: $90,000 - $110,000 with 10% Bonus based on Annual KPIs

Propy is revolutionizing the real estate industry by building the world's first AI-powered Title and Escrow platform onchain. We have processed over $5B in transactions, and we are on a mission to make closing on a home as easy as buying a stock.
We combine blockchain for security with advanced AI to automate the heavy lifting of closing documents. We aren't just "using" AI; we are building the infrastructure that allows AI agents to securely manage escrow, eliminate fraud, and run 24/7.
We are looking for a pragmatic Applied AI Engineer to join our engineering team.
The role is not about training models and does not involve academic Machine Learning research. It is about building the rails that make AI usable in a high-stakes financial environment. You will bridge the gap between our robust C#/.NET architecture and the probabilistic world of LLMs.

- Familiarity with the US Real Estate, Title, or Escrow process.
- Working in a transparent environment which focuses on solving problems and getting things done.
- The opportunity to work with very smart and driven people.
- The ability to grow your talents and career in a high-growth sector.
- A remuneration package that is based on the candidate's motivation, skills, and experience.
Please submit your resume to this job ad along with a portfolio of your AI-related experience, GitHub account and anything else you find applicable.

Position Overview
We are seeking an experienced Contracts Manager to oversee and manage full-lifecycle contract matters for a mid-sized chemical engineering project. This role will directly participate in the review of terms and conditions, negotiations, risk identification, and performance monitoring during the construction phase of the EPC Contract. The ideal candidate should have experience working on the owner’s side or with a major EPC contractor, be familiar with U.S. federal and Texas state contract law, and be capable of ensuring strong alignment between project progress, cost, and contractual terms through professional contract management.
Key Responsibilities
1. Pre-Award Phase & Terms Review
● Terms Review & Negotiation: Lead or participate in the review of terms and conditions, provide input on clauses, and engage in negotiations for EPC contracts, design contracts, and major equipment procurement agreements. Focus on risk boundaries during project execution (risk identification and terms proposal), obligations and liabilities of both parties, indemnity, limitation of liability, force majeure, change order processes, and payment terms.
● Risk Identification: Assess commercial and legal risks in contracts from the owner’s perspective, particularly ambiguities in responsibilities between the owner and contractor. Propose risk mitigation strategies for common local challenges such as hurricanes in the Houston area and supply chain disruptions.
● Contract Finalization: Lead clause negotiations with contractors, collaborating with the project manager, procurement team, engineering team, design team, project controls department, and internal/external legal counsel to ensure the final contract text accurately reflects the project scope and commercial intent.
2. Construction Performance & Compliance Monitoring
● New Payment Application Review: Strictly review contractor submissions (including change requests, delay claims, formal correspondence, and payment applications) for compliance with contract requirements. If submissions do not align with contractual rights and obligations, lead drafting responses and interfacing with the contractor.
● Delay Analysis: Collaborate with the project controls department to track the project schedule. In the event of delays, analyze based on contract terms to determine whether they constitute excusable or non-excusable delays, and prepare documentation for extension of time (EOT) or counterclaims accordingly.
● Change Management: Review contractor-submitted change orders for alignment with contractual rights and obligations. For non-compliant submissions, lead drafting responses and interface with the contractor. For valid changes, collaborate with project controls to verify authenticity and pricing basis (e.g., labor and material unit rates per the contract) to prevent scope creep.
● Correspondence Management: Stay aligned with daily project activities. Upon identifying potential risks during execution by project teams, consider contract compliance and evidence chain preparation. Lead the drafting, review, and archiving of routine commercial correspondence, meeting minutes, and notices exchanged with the contractor to ensure all communications are contractually binding or serve as legal evidence.
3. Compliance & Dispute Resolution
● Compliance Checks: Ensure contractors comply with applicable labor laws and regulations at the project location (Houston/Texas), as well as import/export requirements.
● Claims & Dispute Resolution: Anticipate potential disputes and assist the project manager in handling claims and counterclaims. Provide detailed contract interpretation and factual evidence before disputes escalate to mediation or arbitration.
4. Documentation & Reporting
● Contract File Management: Maintain comprehensive electronic and physical files for all contracts and amendments. Ensure the completeness and validity of critical documents (e.g., insurance certificates, bonds, payment records).
● Status Reporting: Regularly report to the project management team on contract status, potential risks, change order backlogs, and payment forecasts.
Qualifications
Basic Qualifications
● Education: Bachelor’s degree or higher in engineering, construction management, law, or supply chain management.
● Experience: 8+ years of contracts management experience in large-scale industrial/chemical/energy projects, with full-cycle involvement in at least two EPC projects valued at over $50 million.
● Technical Knowledge: Proficient in U.S. contract law (UCC and common law principles); familiarity with AIA, ConsensusDocs, or FIDIC contract suites is preferred.
Key Skills
● Technical Understanding: Ability to interpret construction drawings, schedule logic, and technical specifications, and translate technical issues into contractual language.
● Negotiation Skills: Strong commercial negotiation skills to protect company interests while maintaining positive relationships with contractors.
● Language & Communication: Fluent in English (written and verbal), with the ability to draft precise and unambiguous contractual correspondence.
● Software Proficiency: Proficient in MS Office, particularly advanced Excel functions.
Personal Attributes
● High integrity and professional ethics, with the ability to make objective judgments under pressure.
● Detail-oriented with strong logical thinking and analytical skills.
● Ability to collaborate effectively in a multicultural team and adapt to a fast-paced site environment.
We Offer
● Competitive salary and performance-based bonuses.
● Comprehensive medical, dental, and vision insurance, plus 401(k) matching.
