Executive Assistant / Office Manager
New York, NY (Financial District)
Target Salary: $120,000 - $150,000
A highly active private investment firm based in the Financial District of New York City is seeking an experienced Executive Assistant / Office Manager to support senior leadership and assist with the coordination of daily operations across the firm.
The organization is active in real estate and alternative investments, managing a diversified portfolio of assets across the United States on behalf of institutional investors and an affiliated family office. Since its founding, the firm has completed over $1 billion in acquisitions across residential and healthcare real estate and continues to expand its investment platform.
Key Responsibilities
- Provide direct administrative support to senior leadership, including managing complex calendars, scheduling meetings, and coordinating logistics for internal and external meetings
- Track priorities and assist executives in managing daily schedules, follow-ups, and key deadlines
- Coordinate domestic and international travel arrangements including itineraries, accommodations, and logistics
- Draft and manage professional correspondence and communications on behalf of leadership
- Maintain strict confidentiality while handling sensitive legal, financial, and personal information
- Assist the General Counsel with the coordination and execution of legal documents, including signature pages, notarizations, and closing materials
- Support the preparation and distribution of investor reporting materials and transaction-related documentation
- Maintain organized document management systems and shared drives, ensuring proper filing, version control, and accessibility
- Serve as the primary administrative point of contact for the office, including greeting visitors, coordinating conference room schedules, and managing visitor access with building management
- Oversee day-to-day office operations including supplies, mailing and shipping, and general office organization
- Assist in planning and coordinating firm events, meetings, and company retreats
Qualifications
- 7–10+ years of Executive Assistant experience supporting senior executives in a professional services, private equity, investment, or law firm environment
- Bachelor’s degree or equivalent professional experience
- Strong written and verbal communication skills
- Highly organized with exceptional attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- High level of professionalism and discretion when handling confidential matters
- Proficiency with Microsoft Office including Outlook, Word, Excel, and PowerPoint
- Experience supporting legal or transaction-related workstreams including document execution, closing materials, and corporate documentation preferred
- Familiarity with real estate transactions, corporate structures, or investment vehicles is advantageous
- New York Notary Public designation, or willingness to obtain shortly after hire, preferred
