RESPONSIBILITIES

Position Summary:

As Executive Assistant and Office Manager for BA Headquarters, you will report to the Chief Executive Officer and support other executives working at our Philadelphia location. Position Summary
This role combines hands-on accounting leadership with executive support. You will manage daily accounting operations across multiple entities and platforms, ensure clean books, accurate reporting, and smooth integrations — while also supporting the owner with scheduling, coordination, and administrative tasks, vendor supply ordering, purchase orders and tracking logistics.
Core Accounting Responsibilities
QuickBooks Online Ownership

* Own and maintain QuickBooks Online for:

* Chart of accounts setup and maintenance
* Monthly close, reconciliations, and financial accuracy

Integrations & Platforms
Manage and reconcile integrations from:

* Shopify
* Stripe
* MyWorks
* Credit cards & bank feeds
* Troubleshoot sync issues and ensure accurate data flow

Financial Operations

* Accounts payable & receivable
* Ordering and management of Inventory
* Invoicing (wholesale & intercompany)
* Expense categorization and cost tracking
* Payroll coordination thru Quickbooks Online (with CPA/payroll provider)
* Sales tax tracking and support
* Prepare clean monthly financials for CPA:
* P&L
* Balance Sheet
* Cash Flow

Reporting & Insights

* Weekly cash-flow awareness
* Gross margin tracking (products, channels, reps if applicable)

Executive Assistant Responsibilities

* Manage owner's calendar, meetings, and priorities

The Position

- The Executive Director of Cardiovascular Services is responsible for providing leadership, strategic direction, and oversight of the Cardiac Cath Lab, Cardiac Pre/Post Unit, Non-Invasive Radiology, Cardiology Clinics, and Cardiac Rehab departments, ensuring compliance with regulatory standards and alignment with organizational goals.
- Reporting to the Executive Vice President and Chief Nursing Officer, this leader will manage a team of five direct reports and approximately 50 FTEs.
- This leader will play a critical role in service line expansion and operations, helping to implement and improve systems that support continued growth. They will be responsible for developing SOPs, standardizing processes, and building an effective leadership structure.
- Ideal candidates will have proven experience leading a Cardiovascular service line including a Cath Lab. Candidates must have prior clinical management experience and be familiar with service line operations. A strategic mindset, along with the ability to mentor, grow, and develop teams, will be critical to success.

Requirements

- Bachelors degree required; Master's preferred. BSN preferred.
- Active RN license preferred.
- Certified Cardiovascular Registered Nurse (CVRN), Critical Care Registered Nurse (CCRN), AACVPR certification, or a healthcare executive credential (ACHE/FACHE) preferred.
