The Catering Operations Manager holds duties related to successful execution and coordination for on and off premise events. The position entails a need for excellent attention to detail and communication skills; ability to multi-task on a variety of projects simultaneously, accurate distribution of pertinent information both internally to all departments as well as to clients and related vendors. Key Responsibilities:

- Performs final review and assessment of catering events to determine if they meet performance and quality standards
- Resolves customer concerns and ensures timely customer payment

- Strong organization, time management and team motivation skills are essential for success in this role
- Ability to work independently with little direct supervision

What we are looking for:
We’re looking for dedicated and enthusiastic team members to help keep our analog photo booths running smoothly and provide an awesome experience for our customers.
Our ideal candidate is someone who enjoys and/or has experience working on repairing cameras or other machines. This job will require you to get your hands dirty working with the chemicals used in the photographic process, so darkroom experience is a plus!
What You’ll Be Doing:
- Maintaining and troubleshooting our vintage analog photo booths—changing chemicals, loading paper cartridges, fixing jams, oiling motors, swapping transmissions, and other maintenance.
- Help customers make keychains, scan photos, and other point-of-sale operations.
- Work 20-40 hours (between 3-5 shifts) per week—weekend availability is required!

CATERING SOUS CHEF
Our Catering Sous Chef is a highly skilled, hands-on culinary leader who serves as the operational backbone of the catering kitchen, bringing the Executive Chef’s vision to life through precise execution, organization, and leadership. - Own PHG's master compliance calendar — all licenses, permits, certifications, and insurance renewals
- Manage business licenses and permits across Maryland and DC
- Track and renew health permits, catering permits, ServSafe certifications, and regulatory registrations
- Manage annual memberships and vendor registrations
- Coordinate business insurance policies including vehicle, workers' comp, and umbrella coverage
HR & Team Support
- Manage job postings, resume screening, interview scheduling, and candidate communications
- Lead onboarding for new team members — system access, welcome materials, and orientation
- Maintain employee records and HR documentation in ADP
- Support performance evaluation processes, incident reporting, and offboarding procedures
- Coordinate team engagement activities and employee recognition initiatives
Event Operations Support
- Support scheduling and administrative coordination for catering and hospitality events
- Ensure event documentation, contracts, and permits are organized and compliant
- Coordinate internal communications between leadership, kitchen, and event teams

PREFERRED EXPERIENCE & QUALIFICATIONS
- 3–5 years of experience in hospitality operations, hotel administration, catering coordination, restaurant group operations, or food service management
- Demonstrated ability to manage multiple operational responsibilities simultaneously without dropping details
- Experience with platforms such as Tripleseat, Toast, 7Shifts, ADP, or similar hospitality and HR systems
- Strong written and verbal communication skills — you communicate clearly with everyone from kitchen staff to executive leadership
- Undergraduate degree in hospitality management, business, or a related field preferred — equivalent experience considered
- Familiarity with food service compliance, licensing, or permit management a strong advantage
- Must be able to pass a Level II background check

Position Overview
The Catering Sales Administrator plays a critical support role within the sales and events team. This position is responsible for detailed event follow-up, cross-departmental coordination, and production documentation to ensure seamless event execution.
This role is ideal for someone highly organized, detail-oriented, and comfortable managing confidential information in a fast-paced hospitality environment.
The Catering Sales Administrator reports directly to the Director of Sales and works collaboratively with Operations, Culinary, Staffing, Ownership, and the Sales Team.
Key Responsibilities
Event Detailing & Client Follow-Up

Conduct follow-up communication with booked clients to finalize event details

Confirm timelines, menu selections, rentals, staffing needs, venue logistics, and special requests

Ensure all event details are clearly documented and accurate
●
Maintain professional and timely communication with clients
Production Documentation & Meeting Support
●
Prepare and complete weekly Production Meeting Agendas
●
Maintain and complete BEO (Banquet Event Order) checklists
●
Attend weekly production meetings as the designated notetaker
●
Distribute meeting notes and action items to appropriate departments
Cross-Department Coordination
●
Liaise with Operations, Sales Director, Culinary, Staffing, and Ownership to finalize event details
●
Ensure all departments are aligned prior to event execution
●
Follow up on outstanding action items and approvals
Administrative Duties
●
Maintain organized digital event files
●
Update TPP and internal tracking systems as needed
●
Assist the Director of Sales with administrative projects
●
Manage sensitive and confidential information including (but not limited to):

Event Support (Supplemental Hours)

Work Structure

Approximately 25 hours per week of administrative work
