Role Description

RESPONSIBILITIES:
CONTRACT SUPPORT
- Work with Rinnai Associates to implement all contractual agreements, including sales-based programs, with required documentation and management approvals via CLEAR Workflow
- Manage contract tracking process including but not limited to drafting, review, editing, proper approvals, signatures, and final distribution.
- Maintenance of all contracts and legal documents; electronic and hard copy
- Analyze contract requirements, special provisions, terms, and conditions to ensure compliance with corporate policies and procedures.
- Implement, develop, and maintain the Cobblestone data base for contracts and legal documents with electronic copies via a contracts management solutions application.
- Assist in the negotiation of contract terms when necessary.
- Secure and file all contracts in a single, centralized location.

REQUIREMENTS:
KNOWLEDGE
- The successful candidate requires the minimum of a high school diploma or equivalent.

Paralegal
Paralegal responsibilities include preparing, filing and coordinating service of legal documents; scheduling and managing busy calendars of multiple attorneys; organizing and maintaining litigation case files; communicating with courts, clients and attorneys; answering phone calls to the firm, as well as other administrative tasks as needed.
Litigation Responsibilities
- Serve as primary paralegal to multiple senior litigation attorneys, and responsible for all paralegal work on those attorneys’ cases.
- Finalize, format, file and serve documents prepared by attorneys.
- Prepare tables of contents and authorities for and cite-check legal documents.
- E-file documents with and prepare courtesy copies for federal and state courts and ADR tribunals.

The Paralegal supports the Company’s insurance, contract, and real estate leasing functions, including preparation, coordination, execution, and tracking of real estate documents and standard lease agreements, non-disclosure agreements, and submission of insurance applications and renewals. - Support the Legal Department with corporate governance activities, including preparation and maintenance of corporate records, board and committee materials, resolutions, and entity documentation.

Key Responsibilities:
- Case Management: Assist in the preparation, organization, and management of legal documents and case files. Maintain an accurate and well-organized filing system for all legal documentation.
- Research: Conduct legal research to support case preparation, including statutes, regulations, and case law. Summarize findings and present them to the legal team.
- Drafting Documents: Prepare and draft legal documents such as pleadings, motions, contracts, and discovery materials. Ensure all documentation complies with relevant laws and regulations.
- Client Communication: Liaise with clients to gather information, provide updates on case status, and assist in answering general inquiries. Maintain a professional and responsive approach to client interactions.
- Court Filings: Assist attorneys with the filing of legal documents in federal, state, and local courts. Ensure compliance with formatting and procedural requirements.
- Discovery Support: Organize and manage discovery materials, including reviewing documents, preparing discovery requests, and assisting in document production.
- Trial Preparation: Support trial preparations by organizing exhibits, witness lists, and trial binders. Assist in preparing attorneys for trial.
- Billing and Timekeeping: Maintain accurate records of billable hours and assist in preparing invoices for clients. Ensure compliance with firm billing practices.
- Administrative Duties: Perform general administrative tasks, including scheduling meetings, managing calendars, and handling correspondence.

About the Organization
A well-established Chicago-based commercial law firm is seeking a Commercial Real Estate Paralegal to support a busy and growing real estate practice. The firm has a strong reputation in commercial real estate, finance, and litigation, and offers a collaborative environment with a modern office located in the heart of downtown Chicago near Millennium Park.
Due to increased deal activity, the practice is expanding and looking to add additional paralegal support to the team.
Position Summary
The Commercial Real Estate Paralegal will support attorneys throughout the entire real estate transaction lifecycle, including document preparation, due diligence review, and closing coordination. This role works closely with attorneys and senior paralegals to manage transaction documentation, coordinate closing processes, and ensure all pre- and post-closing requirements are completed accurately and on time.
The position requires strong organizational skills, attention to detail, and the ability to manage multiple transactions in a fast-paced legal environment.
Responsibilities
• Assist attorneys with preparation and review of commercial real estate transactional documents
• Prepare UCC searches and filings, financing statements, releases, and transfer documents
• Review and analyze real estate surveys, title commitments, title policies, and underlying title documents
• Support the full closing process from start to finish, including assembling and organizing closing sets
• Draft and edit transaction documents, loan documents, and correspondence
• Maintain and organize documents within the firm’s document management system
• Ensure all pre-closing preparation and post-closing follow-up tasks are completed in a timely manner
• Coordinate with attorneys and internal teams to track transaction progress and outstanding items
Required Qualifications
• Bachelor’s degree required
• Minimum 3 years of experience as a Commercial Real Estate Paralegal (commercial transactions required; residential experience alone is not sufficient)
• Experience managing real estate transactions and closings from start to finish
• Experience with UCC searches and filings
• Strong experience with legal document management systems
• Strong organizational skills and high attention to detail
• Strong written and verbal communication skills
• Proficiency with Microsoft Office (Word, Excel, Outlook) and ability to quickly learn new systems
Preferred Qualifications
• Paralegal Certificate
• Experience supporting multiple attorneys within a commercial real estate practice
• Experience preparing and organizing complex closing sets and transaction documentation
Compensation & Benefits
The expected salary range for this position is $90,000 – $100,000 annually, depending on experience and qualifications.
