Office Manager
Job Description
Office Manager - New York City
A new boutique medical practice is launching in New York City in 2026, founded by two plastic surgeons who left academic medicine to build a more thoughtful, patient-centered model of care.
The goal is to deliver an experience that matches the weight and importance of what patients are going through.
The model is intentionally small. Every patient is known. Every interaction is deliberate. Clinical excellence and human care are treated as the same standard.
The Role
We are hiring an Office Manager to serve as the operational center of the practice.
This is a founding role. You will not inherit systems, you will build them. You will work directly with the two physicians to define how the practice operates day to day, from patient experience to internal workflows.
You will be the first voice patients hear and the person responsible for ensuring that every detail is handled with precision. The role sits at the intersection of operations, patient experience, and execution.
There is no bureaucracy. Your judgment will directly shape how the practice runs.
What You’ll Do
Patient Experience & Coordination
- Own the patient journey from first inquiry through ongoing care
- Manage scheduling, communication, preparation, and follow-up
- Coordinate across providers, facilities, and external partners
- Serve as a steady, reliable presence for patients navigating complex decisions
Operations & Execution
- Run day-to-day office operations, including scheduling systems and workflows
- Manage administrative aspects of billing and patient financial coordination (training provided)
- Implement and maintain EMR and operational systems
- Identify gaps, anticipate issues, and resolve them proactively
Practice Building
- Partner with the founders to establish workflows, standards, and operating principles
- Bring structure to an evolving environment without losing flexibility
- Contribute to hiring, process design, and scaling over time
- Grow into broader operational ownership as the practice expands
Who You Are
We are less focused on your industry and more on how you operate.
Backgrounds that tend to translate well include: boutique hospitality, patient-facing healthcare roles, executive or chief-of-staff positions, high-touch client services, or concierge environments.
- You are motivated by taking care of people in a consistent, detail-oriented way
- You are highly organized without being rigid
- You communicate clearly and calmly
- You are resourceful and comfortable operating without a fixed playbook
- You take ownership and follow through
- You are composed under pressure and able to manage competing priorities
Why This Role
This is an opportunity to help build a practice from the ground up and shape how patients experience care during a difficult period in their lives.
You will be trusted with real responsibility. Your decisions will matter. You will work closely with physicians who chose to leave established institutions in order to build something more intentional and more human.
