Job Details What You’ll Do: Executive Support (40%) Manage complex executive calendars, scheduling, and travel coordination Oversee email correspondence and draft communications on behalf of leadership Prepare meeting materials, presentations, and board documentation; capture and distribute meeting notes Coordinate board meetings, events, offsites, and executive retreats Handle confidential information with discretion and professionalism Accounting & Finance (60%) Manage full-cycle Accounts Payable and Accounts Receivable Process invoices, payments (ACH, wires, checks), and track collections Perform monthly bank and credit card reconciliations Maintain general ledger entries and assist with month-end/year-end close Process expense reports and support payroll coordination Assist with budgeting, variance reporting, and financial analysis Prepare financial reports and dashboards using QuickBooks, Excel, or similar systems Support vendor management and audit preparation What We’re Looking For 5+ years of Executive Assistant experience supporting senior or C-level leadership, with strong accounting/bookkeeping exposure Hands-on experience with AP/AR, reconciliations, expense reporting, and budgeting support Proficiency in QuickBooks (or similar accounting systems) and advanced Excel skills Strong understanding of basic accounting principles (GAAP knowledge a plus) Exceptional organizational, communication, and multitasking abilities High level of integrity and discretion Experience in small to mid-sized businesses, startups, nonprofits, or family offices highly preferred Bachelor’s degree in Business, Accounting, Finance, or related field preferred Interested in hearing more?
