Mandarin Speaking - Executive Assistant / Procurement Coordinator at Growing Family Office

Position Summary:

This role serves as a pivotal support function for this growing Family Office. The successful candidate will be a true professional—an expert of organization and proactive problem solving—adept at managing multifaceted responsibilities with discretion and confidentiality across both personal and professional facets and able to liaise directly with vendors within their hospitality and sourcing function. This position provides refined assistance in procurement, sourcing, supply chain logistics as well as scheduling, communications, office operations and gatekeeping.

This role is based in downtown Manhattan.

Salary is based upon experience

Key Responsibilities:

Executive Assistance - 40%

• Oversee calendars and orchestrate daily schedules with impeccable attention to detail.
• Coordinate travel plans and itineraries and handle expenses
• Manage vendor relationships, inventory control, and office operations with precision.
• Provide research support and prepare comprehensive documentation and reports as required.
• Deal Support: assisting with preparation of investment materials, coordinate due diligence document flow, support property management communications
• Facilitate effective communication across teams and maintain meticulous records of activities and outcomes.
• Translate business and personal context when needed

Procurement Coordination Responsibilities (~40%)

• Software skills needed at a minimum include Microsoft Outlook and Excel skills
• Vendor Communications: Serve as primary point of contact with Chinese manufacturers for FF&E (casegoods, lighting, fixtures, mirrors, artwork, soft goods); conduct daily communications in Mandarin via email, WeChat, and phone
• Order Management: Track purchase orders from placement through delivery; maintain detailed status logs; coordinate production timelines with installation schedules
• Quality Control Coordination: Schedule and coordinate third-party QC inspections (SGS, Bureau Veritas); review inspection reports; communicate defect resolution with factories
• Shipping & Logistics: Coordinate container bookings, customs documentation, and freight forwarder communications; track shipments from factory to job site
• Database management & Documentation: Maintain spec sheets, samples tracking, pricing records, and vendor correspondence files; build and maintain a database of product offerings

Personal Assistance 20%

• Execute a range of personal tasks from research, purchasing, medical claims, property-related tasks, etc while upholding the highest standards of confidentiality.
• Translation & Interpretation: Provide Mandarin translation for documents, calls, and in-person meetings; accompany Founder and his wife to doctor's visits or other appointments as needed to assist with translation
• Assisting with house repairs, vendor management, ordering things for houses if needed - on occasion may need to go to the house in New Jersey
• Organizing insurance claims, medical bills, personal documentation etc.
• Errands & Logistics: Handle miscellaneous personal tasks with discretion and efficiency

Qualifications:

• Fluent in Mandarin both written and verbal
• Experience with Microsoft Outlook and Excel

As a Ground Maintenance Technician (GMT) in a stationary role, you will be a part of Delta's Ground Support Equipment team. A GMT (Stationary) specializes in completing repairs and utilizes preventive maintenance on motors and controls, Programmable Logic Controllers (PLC), pneumatic systems, conveyor systems, and machine shop equipment. The ideal candidate is proficient in the use of diagrams, sketches, operations manuals, manufacturer's instructions, and engineering specifications to resolve malfunctions and maintain equipment.

Summary of responsibilities:

• Locates sources of problems by observing mechanical devices in operation and repair with precision measuring and testing instruments.
• Determines changes in dimensional requirements of parts by inspecting used parts and using rulers, calipers, micrometers, and other measuring instruments.
• Ensures the proper functioning of mechanical, electro-mechanical, and electronic equipment by troubleshooting, repairing, maintaining, and calibrating industrial equipment and test equipment throughout Stationary GSE in accordance with approved manuals and procedures.
• Maintains equipment, parts, and supplies inventories by checking stock to log inventory levels; anticipating need; placing and expediting orders; and verifying receipt.
• Prepares maintenance reports by collecting, analyzing, and summarizing information and trends.

Qualified candidates must also possess at least one of the following:

• Electrical/Relay knowledge: Understanding and proficiency in repairing 12 to 50 VAC/DC control circuits, 120 VAC single-phase electrical circuits and control circuits, 480 VAC 3-phase electrical systems.
• PLC Controls/Network: Proficiency and knowledge of repairing PLC and the associated computer network systems. Allen Bradly PLCS, SLC 500, SLC 5000 and Micro Logix systems.
• Industrial Maintenance/Conveyor Systems/Passenger Loading Bridges (PLB): Knowledge of system operations for PLB, system operation for conveyor systems and heavy equipment maintenance on hydraulics/electrical/mechanical on large industrial machinery.
• Industrial A/C refrigeration: Knowledge of high-pressure point-of-use pre-condition air systems, low-pressure glycol chiller systems, and repair and isolate system failures, as well as the related software for both high- and low-pressure control circuits systems.
• 400 Hz Generator/Inverter Ground Power: Strong understanding of electronic and electrical components and proficiency at identifying problems and repairing and rebuilding them. A background in 400 Hz, testing equipment as needed to perform repair/overhaul, and the ability to read electrical schematics and drawings are required. Familiarity with Jetpower II, Jetpower Plus, and CSI units. Experience operating passive and resistive load banks and working in an electronics environment.

About the role:

Ensure accuracy, compliance, and efficiency across supply chain financial and logistics

operations. Responsible for validating invoices, maintaining shipment records, and executing

compliance-related postings in SAP. Provide reporting and analysis to support management

decisions, strengthen internal controls, and drive process improvements. Collaborate across

teams and with external partners to resolve discrepancies and maintain audit readiness.

Key responsibilities:

• Validate and process vendor and freight invoices; ensure accuracy of cost allocations for freight, duty, and customs in SAP.
