Position Summary:
The Senior Executive Assistant (EA), C Suite & Office Operations Manager provides high level executive support to multiple C Suite leaders while overseeing the daily operations of AdaptHealth’s NYC Executive Office. This role blends advanced administrative leadership with operational management, ensuring the executive workplace functions efficiently, professionally, and in alignment with organizational priorities. The EA serves as a central coordination point for executive needs, office logistics, vendor relationships, and cross functional communication. Operating in a fast paced, high visibility environment, this position requires exceptional judgment, proactive problem solving, and the ability to manage complex priorities with discretion. This role is fully in person in the NYC Executive Office and reports to the Senior Executive Assistant, CEO Office.
Essential Functions and Job Responsibilities:
Executive Support
- Lead complex calendar and priority management across multiple C Suite executives, ensuring alignment, efficiency, and readiness for all commitments.
- Act as the primary liaison for internal and external inquiries, exercising exceptional professionalism, confidentiality, and judgment.
- Prepare, refine, and organize briefing documents, executive summaries, presentations, and strategic materials.
- Proactively anticipate needs, resolve scheduling challenges, and ensure executives are equipped with the necessary information and resources.
- Maintain organized executive files and workflows to support seamless operations.
Office Operations Management
- Oversee day to day operations of the NYC Executive Office, ensuring a professional, efficient, and well supported workspace.
- Manage vendor relationships—including facilities, IT support, building management, catering, and office services—and ensure quality execution of service agreements.
- Maintain office supply inventory, oversee procurement, and manage budget-conscious purchasing decisions.
- Serve as the on site operational lead, coordinating timely solutions to office, facility, or workspace issues.
- Oversee logistics for onsite visitors, new hires, and traveling executives, ensuring workspace readiness and a positive guest experience.
- Support compliance with facility and security requirements, including access coordination and building protocols.
Collaboration & Communication
- Serve as a key liaison between C Suite executives, internal teams, board members, and external partners, ensuring accurate and timely communication of priorities.
- Draft and route correspondence, manage follow ups, and maintain alignment across executive stakeholders.
- Partner closely with the Senior Executive Assistant and broader EA team to ensure integrated and consistent support across the C Suite.
Meeting & Event Coordination
- Coordinate leadership and cross functional meetings, including agenda creation, material preparation, minutes capture, and action item tracking.
- Organize and support NYC-based executive events, leadership sessions, and onsite programming.
- Assist with board meeting preparation, including materials, logistics, and scheduling.
Travel & Expense Management
- Arrange domestic and international travel—including flights, accommodations, ground transportation, and detailed itineraries—for multiple C Suite leaders.
- Ensure timely and compliant submission, reconciliation, and tracking of executive expenses.
Project Support
- Support special projects through research, data collection, analysis, and report preparation.
- Track milestones, deadlines, and project deliverables to ensure timely progress and follow through.
- Maintain adherence to regulatory and privacy requirements, including HIPAA compliance.
- Maintains patient confidentiality and functions within the guidelines of HIPAA.
- Completes assigned compliance training and other education programs as required.
- Maintains compliance with AdaptHealth's Compliance Program.
- Performs other related duties as assigned.

Summary
GENERAL SUMMARY:
Responsible for assisting the Licensed Healthcare Provider (Physician, APRN, PA) and nurses with patient care, clerical, environmental and organizational tasks. Supports remote clinic sites with order entry and chart completion in the Electronic Health Record (EHR). Collaborates with other staff to achieve quality patient care and customer service goals. Works under the direction of a Registered Nurse.
PRINCIPAL JOB FUNCTIONS:

2. *Performs nursing care and assists provider(s) with examinations and procedures to serve the medical needs of patients, as assigned.
3. *Facilitates flow of patients in accordance with appointment time to avoid delays for the provider and undue waiting for patients.
4. *Greets and rooms patients; taking vital signs, updating patient history, preparing patient for examination/procedures, as assigned.
5. *Rooms patients via EHR status indicator for outstate clinics and enters clinical documentation, orders, and results received from clinic, as assigned.
6. *Instructs patient and family about tests/procedures, normal results, medications, nutrition and other health related issues utilizing approved protocol or written instruction, as assigned.
7. *Assists patients in pursuing preauthorization for Repatha and PCSK9 based on protocol, as assigned.
8. *Documents patient interactions, results, patient questions/concerns and medication changes, in a timely manner.
9. *Responds to calls from patients, pharmacies, hospitals, nursing homes and other medical offices by use of telephone and computer in a timely manner, as assigned.
10. *Coordinates with assigned RN to provide care that is beyond practice scope; including triage of patient follow up, patient teaching, and abnormal test result communication.
11. *Organizes medications sample storage and checks for outdates; pulls sample medications refills for provider per protocol.
12. *Keeps rooms stocked, clean and ready for use; assists with ordering supplies as needed.
13. *Complies with HIPAA and maintains confidentiality in matters related to patient, family, staff, and providers.
14. * Provides care in a non-judgmental, compassionate, non-discriminatory manner remaining sensitive to the patients diversity, autonomy, dignity and rights.
15. *Responds appropriately to urgent /emergent situations and maintains compliance with OSHA and safety plan.

EDUCATION AND EXPERIENCE:
High School diploma or equivalency is required. Current certification as a Certified Medical Assistant (CMA), Clinical Certified Medical Assistant (CCMA), or a Registered Medical Assistant (RMA) required. Minimum of one (1) year work experience as a medical assistant in a relevant clinical setting is preferred, clinic and cardiovascular experience is preferred. Nebraska Medication Aide registry is preferred. Graduation from a Medical Assistant program accredited by the Accrediting Bureau of Health Education Schools preferred
Summary
GENERAL SUMMARY:
Performs interventional radiology and invasive cardiology procedures under the supervision of a qualified physician. Uses radiologic technology and techniques to assist in the diagnosis of patient medical problems for patients throughout the age continuum.
PRINCIPAL JOB FUNCTIONS:

2. *Assists Interventional Radiologist or Cardiologist in all types of procedures performed with angiography, fluoroscopy and ultrasound.
3. *Practices radiation and laser safety for patients, staff and self.
4. *Uses sterile technique as required.
5. *Optimally demonstrates patient anatomy through proper positioning and selection of technical factors. Records, analyzes and documents clinical patient information; recognizes and communicates arrhythmias; monitors arterial and/or venous pressure lines.
6. *Functions in the first scrub role by preparing, organizing and anticipating needed instruments, supplies and equipment for safe patient care for interventional radiology and invasive cardiology procedures.
7. Competently operates all radiology equipment and support systems to include EMR, Scheduling System and PACS.
8. *Utilizes hospital and department computer systems, files and PACS to review patient history and to provide accurate documentation of studies to include patient clinical information.
9. *Properly cares for and images patients of all ages; maintains patient confidentiality.
10. *Coordinates exams within the department and with other departments to provide expedient and complete care; communicates with medical staff, coworkers, patients, families and other hospital staff to ensure quality patient care; shares pertinent information regarding patient conditions with physicians, nurses and other professional staff as needed for patient care.
11. *Handles telephone calls for scheduling, coordination or questions with courtesy and accuracy.
12. Provides information to patients and families to reduce anxiety and convey an attitude of acceptance, sensitivity and caring.
