Confidential Assistant - Municipal Employees Legal Services (MELS)
Job Description
Provides general administrative support to the Director and Associate Director of MELS and performs work and maintains files of a highly confidential nature. Manages incoming correspondence, performs advanced clerical and office tasks, orders supplies and coordinates complex, multi-party scheduling. Salary: $60-$65,000.
Responsibilities
• Coordinate administrative activities for the Director and Associate Director.
• Act as a Receptionist for the Executive department and provide support to the front desk.
• Oversee confidential material and organize, develop and maintain files - including electronic files.
• Assist with recruitment of support tasks, including interview scheduling and candidate communications via Outlook and other platforms.
• Record, transcribe and maintain minutes and notes at meetings.
• Collect, sort, distribute, and manage incoming and outgoing mail.
• Operate office machines and maintain records, including financial and administrative documents.
• Create flyers and other materials utilizing Power Point and Canva.
• Maintain calendar(s) schedules of activities and appointments.
• Assist with special projects such as continuing education (CLE) sessions and other special events.
• Coordinate logistics for meetings and events, including room setup, sign-in/out processes, and catering arrangements.
• Serve as Backup Office Manager, managing employee attendance and timekeeping through ADP system.
• May be required to work alternate schedules.
Qualifications
• Applicants should possess an Associate’s degree, at a minimum.
• Knowledge of the policies and procedures of Plan benefits and the organization preferred.
• PC literate with experience working with Microsoft Office suites.
• Typing skills 50 WPM, and experience working with Zoom, RingCentral, Webex, and Microsoft Teams.
• Prior telephone and receptionist experience preferred.
• Good verbal and written communication skills.
• Ability to interact with co-workers and members over the phone and in-person in a professional and non-confrontational manner.
