About the Role:
This position is a part-time, in office position. Typical office schedule: 9am-5pm on all-company office days (initially one day/week), approximately 4-6 hours on all other days. Specific hours are within business hours, but flexible based on business needs and advanced manager approval.
Overview:
The Office/Community Coordinator is responsible for our office, ensuring our team, both remote and local, have the resources and environment needed to be successful.
Key Responsibilities:
Office Management:
- Proactive communication and support for anyone who works in or visits our office to ensure a welcoming environment
- Keep office organized and professional. Maintain/manage off site storage. Prioritize a positive, productive, and brand right environment.
- Manage inbound and outbound mail and shipments
- Coordinate with office related services including janitorial, landlord (??), security, groceries, and other
- Coordinate with landlord and/or contractors for any office needs
- Manage parking assignments and security procedures including distributing access codes/keys, keeping technology equipment and confidential documentation secure in the office
- Support for community building activities including delivering supplies, organizing events and monthly staff meetings
- Facilitate Tea meetings, events, interview schedules and/or appointments. Manage internal documents and databases, and create standardized organization systems
- Prepare office for photo shoots and then ensure office is ready for regular work after photo shoots are completed
- Provide ad hoc support during Photoshoots including coordinating basic logistics, cleaning services, food and permits as needed.
- Occasional support for Leadership Team members on an as needed basis; direction given each week. For example: facilitate all staff meetings (materials, technology, scheduling, etc)
- Responsible for adhering to budget and reporting results to finance
Community Building/Support:
- Plan community building activities and events for the team including periodic off-site meetings and retreats.
- Primary point person on Corporate Social Responsibility efforts including volunteering, donations, and other giveback opportunities.
- Create and distribute product discounts and allowances to employees and vendors
- Organize monthly company lunches and regular educational/development opportunities
- Facilitate monthly company values nomination process
- Celebrate and recognize Birthdays/Anniversaries/Life Events
- Plan and execute meetings including projection and video calls for remote team members. Ensure remote team is able to engage fully during in office work days
- Plan and support remote team members when visiting the Bay Area, plan and execute holiday cards/gifts to our team, vendors, and partners

- Facilitate and execute Donation strategy with input from Marketing & Finance
Special Projects:
- As needed, the coordinator will support the Tea team with projects, especially as projects relate to our team, office, and broader community including sample sales, etc.
- Support HR with various employee actives (ie Day 1 Onboarding & Welcome) and project to support Tea culture and engagement activities as needed
- Office décor, organization or space planning as needs and seasons change
- Support team with inbound and outbound packages, including samples and items being shipped back and forth to production vendors. Ensure office stays organized including samples, supporting samples when/as needed
Requirements:
- 1-3 Years of Admin/Coordinator or Office Management (or equivalent) experience
- Exceptional attention to detail, organizational skills, and affinity for order and accuracy
- Physically able to move and maintain sample bins, boxes and racks

Position Overview
We are seeking a dedicated ACT Case Manager to join our dynamic multidisciplinary team. This is a fully offsite, community-based role that involves providing intensive, wraparound services to adults with serious mental illness (SMI) in their homes and other community settings.
The ideal candidate is compassionate, resilient, organized, and passionate about supporting clients facing significant mental health challenges. This is not a traditional office-based role—you'll be working independently in the field, collaborating closely with our clinical team through remote check-ins and occasional team meetings.
Key Responsibilities
- Deliver intensive case management services to adults with SPMI in home and community settings.
- Conduct routine field visits across the Chicagoland area to assess, engage, and support clients.
- Help clients access mental health care, housing, benefits, medical providers, and recovery services.
- Collaborate remotely with ACT team members: psychiatrists, nurses, therapists, peer specialists.
- Maintain up-to-date documentation on client progress, interventions, and treatment goals.
- Assist with medication support, crisis prevention planning, and skill-building activities.
- Promote autonomy and recovery by meeting clients where they are—physically and emotionally.
Qualifications
Required:
- IM+CANS certification (Illinois Medicaid – Community and Supports Assessment).
- Bachelor’s degree in social work, Psychology, Human Services, or a related field.
- At least 1 year of experience working with individuals with serious mental illness.
- Valid Illinois driver’s license, auto insurance, and reliable personal transportation.
- Strong interpersonal skills and the ability to work independently in community settings.
- Tech-literate; comfortable with electronic documentation and mobile communication.
Preferred:
- Prior ACT team experience or community-based mental health work.
- Familiarity with Medicaid documentation and behavioral health service coordination.
- Bilingual in Spanish or other languages is a strong plus.

- Ensure communities meet or exceed revenue goals by actively managing the budget and ensuring timely lease-up and/or re-leasing
- Detailed review, monitoring and processing of community level invoices/bills for payment within parameters of annual budget
- Actively participate in the annual budget/business plan development in conjunction with the Senior Community Manager
- Ensure an atmosphere of hospitality while maintaining a professional attitude at all times in an occasionally sensitive and challenging environment
- Develop and maintain strong relationships with their community: residents, vendors, etc.
- Oversee marketing and customer retention efforts
- Supervise and inspire on-site staff including but not limited to assistant community managers, community specialists, and service managers, in order to yield or exceed desired goals for each community
- Oversee and manage vendors to ensure the provision of timely, efficient, and on-budget services to their community(ies)
- Oversee the initial income certification, recertification, and compliance reporting for their community(ies)
- Acts as the primary contact to ensure that the property meets and exceeds all contractual property management obligations, including the risk management, safety/security, maintenance, marketing, landscaping, and any other relevant issues
- Oversee the timely completion of maintenance requests
- Forecasts and manages replacement of major capital expense items including HVAC system, roof systems, parking lot surfaces, etc.
- Maintain complete and accurate property records on-site and electronically
- Coordinates collection and documentation of all revenues following lease obligations and accounts receivable procedures
- Other duties as assigned
MINIMUM QUALIFICATIONS:
- Bachelor’s degree
- Five (5) or more years in experience in property management or hospitality industry
- One (1) or more years in experience directly supervising staff preferred
- Demonstrated ability understand annual budgets and financial reporting
- Experience managing income-restricted properties preferred
- Excellent written and verbal communications are required
- Proficiency in Microsoft Office Suite: Excel, Word, Outlook
- Must be very professional in both appearance and manner, organized, and with a strong eye for detail
- One of the following:

- (TCS) Tax Credit Specialist
- (HCCP) Housing Credit Certified Professional
